ActivTrak Use Cases
Based on our analysis of platform's capabilities and common workforce analytics use cases, we have identified key situations where ActivTrak fits well in organizations managing distributed teams and digital work environments:
1. Distributed Teams Monitoring Work Activity Across Remote And Office Environments
Organizations with employees split across remote and in-office setups often struggle to understand how work time is actually spent across tools and tasks. Managers report difficulty in comparing productivity patterns when visibility is fragmented across locations. ActivTrak is used in these environments to review digital activity patterns in one place, helping leaders assess how work hours are distributed across teams operating in different settings.
2. Operations Leaders Managing Uneven Workload Distribution
In many mid-sized organizations, managers face challenges where some employees are overloaded while others have unused capacity. This imbalance often leads to missed deadlines and inconsistent output across teams. ActivTrak is applied to review how tasks and activity time are distributed, allowing operations teams to identify where workloads are concentrated and where adjustments may be required across roles.
3. HR Teams Observing Work Patterns And Employee Engagement Trends
HR teams in fast-growing organizations often need visibility into how employees spend their working hours without relying on self-reported updates. A common challenge is identifying shifts in engagement or changes in work habits over time. ActivTrak is used to review long-term activity trends, helping HR teams observe changes in focus time and overall work patterns across departments.
4. IT And Finance Teams Reviewing Software Usage And Licensing Decisions
IT and finance departments frequently deal with underused software licenses and overlapping tools across teams, leading to unnecessary spending. Identifying which applications are actively used versus those sitting idle can be difficult without usage data. ActivTrak is used to review application and website usage patterns, helping teams evaluate software usage levels when making decisions about renewals and subscriptions.
5. Managers Investigating Workflows And Activity Sequences
Team leads and managers often need to understand how work progresses across tools during a typical workday, especially when reviewing process delays or inconsistencies. The challenge is reconstructing activity flow without relying on manual reporting. ActivTrak is used to review sequences of digital activity across applications, giving managers a structured view of how work moves through different stages within daily operations.
Is ActivTrak Right For You?
ActivTrak may be the right fit if your organization is looking for an HR platform to make data-driven decisions to enhance productivity and operational efficiency. The software adheres to several compliance regulations, including HIPAA, SOC 2 Type 1 and Type 2, CCPA, and GDPR, to ensure security and privacy of confidential user data while balancing workforce visibility with employee rights and ethical use.
The platform also limits screenshot captures based on specifically-configured alarm conditions, giving users complete control over the data collected. Trusted by organizations across various industries, such as Preferred Rate Mortgage, Parts ASAP, MedRisk, and Echo Global Logistics, the software is capable to meet the needs of growing organizations.

“excellent interface for data insights
Pros
We find the interface excellent for pulling out data and it makes it simple to quickly locate the information we need. We have also uncovered productivity insights that were not attainable before. It also has not caused any issues with our security software. Other vendors often forced us to constantly monitor and clear false alerts for potentially harmful apps.
Cons
I often have to delete extra users because they push me past our licensed user count. There are useful features I'd like but they are locked behind higher-tier editions instead of being included.

“essential for managing remote teams
Pros
I really like the detailed reports on time tracking and website usage. Overall this tool became essential for our team when we managed remote employees across the continental U.S. and South Africa.
Cons
Honestly having to commit to a one-year license was not my favorite. As we wanted the flexibility of a monthly plan or at worst the ability to renew every three months.

“simple alerts and activity labeling
Pros
It is really simple to set alerts and it is equally easy to label activities as productive or unproductive.
Cons
When an alert goes off I cannot view live screenshots from users and I wish there were a way to watch video of what they were doing.
