ACE works.

Pros

The interface is very likeable, its streamlined but follows a logical flow where I can quickly access every necessary detail.

Cons

A module that considers asset management deployment and calibration/PM scheduling requirements would be a valuable addition. Although it's configurable, new administrators may not immediately realize this, as the LMS system and document/project components are more noticeable.

Very Intuitive Software Platform for document management in Pharma Industry

Pros

ACE was incredibly user friendly and allowed me to maintain detailed and accurate records of activities and quality control test results. It's an intuitive software for entering data into relevant data management systems. Additionally, it proved to be very helpful for tracking and analyzing data as needed. I could easily work remotely, compile data, and provide timely data summaries to management.

Cons

If a mistake occurs during a test, it would be helpful if the ACE system provided predefined options, including an "other" option, to select the possible reasons instead of manually entering an explanation.

ACE

Pros

It's a cost effective choice and ideal for small companies venturing into eQMS implementation for the first time. It works wonders for companies seeking an eDMS solution.

Cons

The more advanced eQMS features, beyond document control, such as the audit module, could benefit from improvement. It would be great to have more customization options.

ACE in a GMP environment

Pros

Dashboards are easy to navigate, providing direct status updates on documents and workflows. The software is cloud-based.

Cons

Configuring workflows to meet full GMP requirements is complex. For example, it took numerous attempts to set up a workflow that ensures one action cannot be completed before another, or allowing users to change due dates. In a GMP environment, this is crucial, and ACE's configuration in that aspect is challenging. Our system is not yet fully GMP compliant in this regard.

Highly Recommend this Software

Pros

It offers effortless customization and can be utilized for any QSM in any industry.

Cons

The feature I like the least, but would greatly appreciate having, is the ability to drag and drop when creating workflows instead of relying on variables.

ACE Implementation and Features

Pros

ACE is a highly adaptable SaaS application with excellent user interfaces, features and response time. It offers a wide range of configurable attributes, making it extremely flexible. ACE boasts robust collaborative functions, including chat functionality, group chat with custom-defined groups and history, easy record creation and transition, data capture capabilities, document repository, configurable workflows, Live Scribe and saved Scribe notes feature, user-friendly dashboard, strong analytics reporting with export functionality, step-wise configurable in-app and email notifications, task alerts, role-based access restrictions and permissions, audit trail, and API. The implementation team is knowledgeable and responsive.

Cons

Regarding product implementation, the process requires substantial improvements. The team would benefit from having a dedicated Business Analyst for each implementation, as well as a professional technical writer and solution architect. Communication and project management within the team need significant improvements. The company should publish a product roadmap and establish a process for gathering product improvement suggestions from clients. In terms of ACE itself, the tool is excellent but there are some fundamental improvements needed such as robust PDF rendition capabilities, a customization dashboard for company branding, customization of system notifications to include company branding and remove ACE branding, alerts for group chat, intuitive record creation and a parent-child relational database structure, and more configurable permissions for Scribe functionality.

A relatively simple QMS system to use

Pros

This QMS gives the impression of a form-based system where users input information into designated fields. It's quite user-friendly when the required information is clearly requested. Document links are available, and it's a web-based software with relatively fast response times after clicking the "submit" button. It takes approximately 1-2 months of daily usage to become familiar with the software. It is specifically tailored for QMS and QMS-related activities.

Cons

Certain functions like specific document searches, can be challenging for new users. It would be helpful to have a drop-down quick help box instead of navigating through the Help Section, which can be overwhelming with a large amount of information to search through. The drop-down menu currently only displays document IDs, but it would be beneficial if it also showed part of the document title to facilitate selection.

ACE Pros and Cons

Pros

ACE software serves as a comprehensive solution for maintaining, modifying, and issuing controlled copies of various types of documents. It includes an audit trail feature. ACE facilitates transactions similar to SAP, including work orders and change controls, making processes easier. It also keeps track of deviations and CAPAs, allowing for easy attachment as child records to the Master Batch record (MBR) since they are all within the same platform. ACE simplifies the inventory process by keeping records of purchase orders, raw material specifications, and associated certificates for materials and equipment. Additionally, ACE enables the execution of User Required specs, Functional Required specs, Risk Assessments, and System Impact Assessments on systems through its user-friendly workflow and interface.

Cons

ACE can serve as a Dropbox like tool for storing all project related documents, but implementing this functionality successfully would require a different workflow.

A really solid SaaS Quality Management System

Pros

The user interface is simple, uncluttered, and effortless to navigate. The seamless integration of document control makes the software highly deployable, and its cost is reasonable compared to competitors like Sparta System's TrackWise(TM), Oracle Agile(TM), MasterControl(TM), Documentum(TM), and OpenText(TM). The fact that it operates on the cloud as software-as-a-service helps alleviate common system administration issues experienced with other systems. Another aspect I appreciate is that it comes pre-validated, saving us from the time-consuming and costly process of hiring validation consultants.

Cons

While the software is relatively new compared to its competitors I don't consider this to be a significant disadvantage.
