Efficient functionality performance

Pros

Everything about the functionality feels flawless and using it is incredibly easy. The setup makes perfect sense which helps keep work efficient from start to finish. Being able to manage contracts so well and even print barcodes is a really smart feature.

Cons

A thing I'd still love to see is the option for users to set up all vendors themselves, except for those using EDI. I do understand why those need to be handled by the IT team and to their credit, they're extremely efficient when setting up those vendors as well as any others.

simple implementation process

Pros

Getting everyone on board was pretty easy because the system is very simple to use even with lots of users and different role types across our organization. That usability was a big reason we chose it in the first place. The setup process was also fairly simple and our dedicated handler did an excellent job making the transition feel as easy as possible. It has also helped bring much more cohesion to our unique purchasing model which includes both centralized and decentralized processes while still giving us plenty of control.

Cons

There really aren't features I dislike but I do wish updates were released more quickly. That said, the team is very open to suggestions when something isn't working the way it should in real time. The reporting can be a bit of a hassle at times although customer service will run reports for you if needed. The inventory module still has room to improve but it seems like it's heading in the right direction.

Customer service excellence

Pros

Using the system feels very easy and the customer service is invaluable. They're also always open to suggestions that can improve the day-to-day experience for end users.

Cons

Since I'm not a very technical person, this software still works really well for what I need. The reporting could be more user-friendly but I don't have to run reports very often.

Accounting integration capabilities

Pros

Approved invoices download straight into the accounting software which makes the payment process much more efficient.

Cons

The downside is that the invoices don't include much detail. If that information were entered, I usually wouldn't need to track down the original invoice every time someone asks a question, I could just open it in the system and get the answer right away.

Spend visibility insights

Pros

Having everything in one place has been a huge plus. Ordering is much more accessible so it really works as a one-stop shop. The monthly dashboard gives full transparency into spending and overall the platform has made the ordering process more organized and efficient. Customer service has also been outstanding.

Cons

One challenge was adding new products. We're now set up on a website sync that lets products transfer over without needing to be added manually.

great shop features and invoicing tools

Pros

Using the front end is pretty easy and that has helped a lot across our 13 satellite offices. They really enjoy the "Shop" feature because it works a lot like Amazon. You do not have to enter exact item details and it pulls up a list of products that closely match what was typed. The templates and favorites are also useful. We have not taken full advantage of them yet but more people are starting to use them. Being able to build a list of items we order regularly and add the entire list at once instead of searching for each item individually is very convenient. The invoicing process is another strong point. The system will not allow an invoice to be processed until everything on it has been received. Receiving items is fairly simple too and it removes the need to scan packing slips. GL coding for invoices and items is also a big plus. Each item can be assigned its own code which lets it transfer correctly into our accounting software, GP. Customer service has also been very good. They respond quickly and most of the time they can handle whatever request comes up. They are limited by what the system itself can do but they are knowledgeable and usually able to resolve almost anything.

Cons

The reporting is pretty limited and really needs to be more powerful. There is no option to create your own report and save it for repeated use so if you need something custom, you have to submit a request for it. Even with the standard reports that are already available, there is often a lot of data manipulation needed to get them into a usable format. Some reports are even too large to download which means customer service has to run them for you. On the invoicing side, they could not make the trade discount function correctly based on payment terms. Instead, they had to set up a workaround where the discount has to be calculated manually and then entered by hand. At least it still transfers correctly to GP. We place orders twice a month and each cycle generates around 80 to 90 POs. We need a way to print all of those at once so they can be uploaded into a document management system but right now each PO has to be opened and printed individually. Hopefully that changes later on. Customization is also almost nonexistent. Since it is a web-based system and everyone is using the same version, you cannot have invoice features adjusted or add shortcuts specific to your needs because it would affect all users. I really wish there were more customization options. There is also no way to make mass changes to inventory or non-inventory items and no way to make bulk access changes for which offices can see certain items. On top of that, you cannot pull up a GL code list without it showing every location tied to that code.
