Micromain: A Cautionary Tale for CMMS Users

Pros

The original was robust and adaptable. Nothing good about this downgrade.

Cons

Warning: If you value a functional preventive maintenance workflow, think twice before considering Micromain's "upgraded" platform. What our leadership thought was an upgrade has proven to be a significant downgrade that continues to hinder our operations. The Downgrade The new Micromain interface feels like a high school computer science project—barely functional would be a generous assessment. Where we once had a robust chronological list for tracking maintenance schedules across numerous assets, we now struggle with a clunky calendar system that: Takes an unreasonable amount of time to load Fails to reliably trigger preventive maintenance schedules Offers no preview function to verify scheduled tasks Operates inconsistently (our elevator bi-annual maintenance runs sporadically) Broken Reporting Module The reporting functionality—arguably the core feature of any CMMS—is completely broken. When requesting fixes, we're told additional consultation fees are required. This is particularly frustrating because: The reports worked perfectly in the original software Analytics features simply don't function Customer support is frequently unavailable Database Management Nightmare The transition from searchable SQL tables to "dynamic" pagination has been disastrous: Searching thousands of records now requires clicking "next" repeatedly Each page load adds 2+ minutes of wait time Drop-down menus don't allow multi-item filtering Records sometimes fail to populate in drop-downs Nothing is sortable like the previous version User Experience Disasters Settings don't save consistently (labor assignments, PM schedules, etc.) Save operations vary illogically across features Some fields require clicking a checkmark to save, others don't Record updates are unnecessarily complicated No intuitive workflow patterns My Experience After a full year of troubleshooting and working with support, basic functionality remains elusive. Our leadership switched to this "upgrade" without consulting the end-users, and we've been dealing with the consequences ever since. Final Thoughts Beyond the technical issues, the most concerning aspect is that a company would completely overhaul a working platform without adequate testing or user feedback. This represents more than unreliability—it shows a fundamental disregard for customer workflow. If you're considering Micromain's new platform, be prepared for: Unstable software performance Ineffective customer support No guarantee of continued functionality High costs for basic support Look elsewhere for your CMMS needs. The investment in this platform has been detrimental to our preventive maintenance operations.

Working with the system was really helpful

Pros

Managing everything from creating a work order to closing it through the mobile app is super convenient and easy to use. The interaction with the platform feels smooth and userfriendly.

Cons

The system can be complex especially when using the analytics feature to create reports for task management. I have been using it for over two years and have not received support, or maybe I am just unaware of how to access it. It would be really helpful to have a dedicated channel with tutorial videos to get the most out of the software.

Requires UX/UI improvements

Pros

Great for tracking equipment usage and scheduling planned maintenance.

Cons

The UX/UI definitely needs improvement. It is not something our field technicians can easily pick up and it requires a lot of backend support.

Good tool for maintenance

Pros

Our organization is standardizing across all sites with Micromain Software after converting from Bigfoot Software.

Cons

Moving data from Bigfoot Software into Micromain is not as simple as a copy-and-paste process, which made migration more challenging than expected.

The best choice for work order management

Pros

Simple and easy to use, plus it allows data exports into Excel, which is really handy.

Cons

Uploading documents to a work order feels tedious. The system also limits customization of the layout and reporting fields. The design looks outdated and does not feel like modern software.

The best in maintenance software

Pros

The functionality feels unlimited. It handles everything we need and the advanced reporting feature has been a game changer. Making data-driven decisions has saved us so much time and money.

Totally impressive!

Pros

This is by far the best facilities management software I have used. It covers everything I need and more.

Cons

It took a little time to get used to but once I got the hang of it, I absolutely loved using the software.

Excellent experience overall

Pros

The customization options are impressive, especially for field naming to match our preferred conventions. Our team really likes how we can upload documents and images for each piece of equipment. Customer support is outstanding and incredibly knowledgeable, which was one of the big reasons we chose MicroMain.

Cons

Not as user-friendly as other options on the market but the overall functionality makes up for that.

Highly accessible and easy to navigate

Pros

A great software solution with strong management strategies. I really appreciate how user-friendly it is, whether for personal or business use. Big thanks to the software engineers for creating such a solid tool.

Cons

The software is powerful and allows for great management, but even though it is user-friendly, it could really benefit from a well-structured manual to guide users in making strategic decisions.

Not user-friendly, needs improvement

Pros

Honestly, I found this software very difficult to use and not very easy to use. The only real positive is that it does store information well.

Cons

Unfortunately, this software is not very simple and is quite difficult to use, making it hard to keep track of work orders effectively.

Highly effective for tracking and documentation

Pros

Tracks everything you could possibly need for equipment and maintenance. The recurring ticket feature is great for reminders.

Cons

For a small shop, the software sometimes feels too large and unnecessary, especially for people who are not very computer-savvy.

It has helped us a lot

Pros

Its super easy to train employees on and it covers about 95% of what we need.

Cons

It would be great to have a dedicated column in the system for labeling planned work. I would also love a "save layout" option, so I do not have to reconfigure it every time I log in.

A fantastic tool to keep around

Pros

It has tons of features for a minimal cost. plus customer service is excellent!

Cons

Not as userfriendly as some of the other software out there. I wish I could create new fields on the fly. If I start a new work order under an asset that is not yet in the system, I have to back out and create the asset first. A dropdown option under the asset tab to quickly add new items from any screen would make a huge difference. This kind of flexibility should be available across all functions.

Micromain is effective most of the time

Pros

I am still getting familiar with the software but so far, it does its job well. It helps organize tasks and makes it easy to prioritize work.

Cons

Takes a while to get used to, and it is not very intuitive at first. But once you understand the full system and its functions, it becomes routine.

Simple to use

Pros

Easy to navigate without unnecessary clutter. I really like how I can generate purchase orders and link them to work orders. The reporting system works well once you get the hang of it. Training was excellent!

Cons

No complaints, but it would be really helpful if an email was automatically sent to staff when they are assigned a work order. I would also love it if, every morning, the system automatically printed out all work orders due for that day.
