“all messages in one place”

Pros

My sister recently began selling crochet items through social media and I ended up handling the leads, customers, sales and everything else for her small startup. For this kind of online business, it has been a really solid fit. The biggest advantage is not having to download every app and keep each one open all the time. I can set aside a couple of hours at night and from one platform, manage, check and reply to customer messages coming in from different channels from people interested in buying the crochet products.

Cons

During a flash sale, once requests started coming in quickly across multiple platforms like Facebook and Instagram, the mobile notifications in it were delayed. Also, connecting WhatsApp in the beginning felt a bit confusing and harder than it should have been.

“Perfect fit for startup support”

Pros

Running this tool has been exactly what our small startup team needed from an on-site chat support tool. Getting it set up was quick and connecting it with our workflow was even simpler. We use it with both Slack and email and it handles our daily support needs really well. Compared with other bloated tools that hide their pricing, this one feels like an obvious choice. We rely on it every day with a single support agent and have been very happy with it.

Cons

After nearly a year of using it every day, we still haven't run into any issues.

“Impressive customer engagement”

Pros

It's an excellent tool for handling customer engagement. The platform is very user-friendly, highly responsive and gives us a solid place to manage customer support issues all in one spot. I used it regularly in my work and it does a good job of storing customer data while also providing useful insights. Implementation was simple which adds even more value to the product. Their support team has also been impressive, responding to questions quickly whenever needed. Overall, the way it fits into daily operations has really helped the organization grow faster.

Cons

Even though it's a very good tool overall, one area that could use some improvement is the UI especially to help new people get comfortable and adapt to the platform more quickly.

“From six apps to one thread! Amazing!”

Pros

From the start of my day, the shared inbox is always open on my second monitor. Every channel we use feeds into one queue, the website chat widget, support email, WhatsApp, a Telegram bot, plus Instagram and Facebook DMs from the marketing side. Before Chatwoot, each one lived in a separate app with separate logins and if a customer began on chat and followed up by email, it became two disconnected conversations that nobody clearly owned. Now the entire interaction stays together as one thread. The part that has earned the most appreciation from me is the continuity across conversations. If someone shares an email address in the chat widget and then closes the tab, my response goes out by email under the agent's name and when they reply, it returns to that same thread instead of creating a brand-new ticket. That single behavior got rid of a constant source of "where did this conversation end up" confusion that used to waste a few minutes every shift. Self-hosting under the MIT license is really the reason we adopted it in the first place and that point matters. The community edition runs on our own infrastructure with no seat limits so adding a fourth or fifth agent does not increase our cost. For a small support team that grows unpredictably, that changes the entire pricing equation. We are paying for a server we already know how to manage instead of a subscription that rises with headcount. Having access to the code matters in a quieter but still important way too. When something acts strangely, I can inspect the actual code path instead of opening a support ticket and waiting around and that has already helped more than once when a webhook did not fire the way I expected. Internal collaboration is also handled the way I wish more platforms would do it. Private notes and @mentions let me pull a teammate into a conversation without the customer ever seeing that back-and-forth so a tricky billing issue gets resolved right inside the thread instead of being copied into Slack and then pasted back later. Labels help us organize the queue in our own way by tagging conversations by product area or whether engineering needs to look at them and auto-assignment quietly routes new threads to whoever has room instead of letting them sit unowned. None of those things are flashy features but they are exactly the kind of mechanics that determine whether a busy queue stays manageable and Chatwoot does that part really well. Canned responses are not glamorous but I rely on them all the time. We keep a couple dozen saved replies for the questions that come in every day and being able to insert one and tweak a sentence before sending cuts a reply from two minutes down to about thirty seconds. The chat widget SDK falls into the same category of useful and dependable. We pass in the logged-in user's details so the agent already knows who they are speaking with and what plan they are on which means customers do not have to repeat account details they already gave us when signing up. The API and webhooks are better than I expected from an open-source product and that is where Chatwoot stopped being just a support inbox and became part of our wider stack. We send conversation-event webhooks into our internal tools and in the other direction we use the API to create contacts and attach custom attributes from our database. Those custom attributes are especially valuable because they let me store the details our team actually needs, like account ID and subscription status, instead of being limited to whatever fields a generic CRM thinks are important. I will admit it took longer than expected to get everything wired up but once it was done it has been running in the background without needing much thought. As for Captain, the AI layer, I would give it measured praise rather than overhype it. The co-pilot that drafts replies and translates messages is the part that has actually changed the feel of a shift because it puts a draft in front of me that I can tighten up instead of starting from an empty reply box and the translation has helped us respond to a few non-English customers we probably would have struggled with otherwise. The assistant for handling first-line questions from our help center is solid for repetitive requests and clearly less reliable when nuance is involved which is about what I expected from a feature this new. It is catching up to the more mature AI agents in the market rather than fully matching them and at this price I am fine with that tradeoff. One last thing worth mentioning is that the entry tier does not nickel-and-dime you on channels. Every messaging channel we care about, including WhatsApp and the social inboxes, is available without forcing us into an expensive plan. That is the opposite of how a lot of tools in this category work. Add in pricing that is published clearly instead of hidden behind a sales call and the overall cost is refreshingly predictable which for a team that watches software spend closely is a feature by itself.

Cons

A couple of limitations are still worth calling out. SAML SSO is only available on the Enterprise plan and a dedicated account manager is reserved for subscriptions with 20 or more agents.

“Excellent for whatsapp support”

Pros

Managing customer conversations with it feels very simple because the interface is user friendly. Its omnichannel capabilities, including integrations with social media, WhatsApp and email, let our team respond to customer queries from different platforms in one central place. We mainly rely on it for customer interactions over WhatsApp and it has worked flawlessly for that.

Cons

Chatwoot comes with plenty of features but there are still a few things that could be improved. The platform would be even better with more advanced AI-driven automation. The reporting tools are helpful although having more customization options would make them fit specific business needs better. At times, there is also a slight delay when syncing WhatsApp conversations and that affects the overall user experience a bit.
