Using it has been very simple and the support from their team has been excellent. It also gives us the flexibility to add new features and continue developing what we need without hassle. Another real benefit is how much it helps with succession planning especially with being able to store information and build out reports.

Cons

Honestly I can't think of any downsides. I'd definitely recommend it and our Trustee Board members have been really pleased with it as well.

Feels very user friendly and it has made my day-to-day work much more manageable. My documents stay secure and it also solves that frustrating situation where something was emailed out and then becomes impossible to track down later. Also, the site has a really polished look.

Really it's difficult to find fault with it. It performs exactly the way I need it to and it's easily my favourite product in this category.

Getting meeting packs published is simple and the platform is simple to navigate and use day to day. The support team is also incredibly helpful, whether it's answering questions by email or jumping on a call to talk through any issues or queries.

There is not really a major downside although I have not been able to upload multiple documents at the same time. That said, it may be more down to how I am using it than a fault with the tool itself. They are consistently working on improvements and regularly keep users informed about newly added functionality.

Been a real time-saver. It's simple to work with, feels secure and gives us a reliable way to communicate with Trustees especially around things like trustee discretions. The audit trails are very useful and it also works really well as a presentation tool for meeting packs.

Cons

A few parts of the workflow can feel a little repetitive particularly when adding Trustees to a meeting and giving them access to specific meeting items. Even with that, it's still an excellent product overall.

For our nonprofit, the most remarkable thing about it has been how well its collaboration tools work alongside the AI companion. Being able to share, find and manage documents so easily across different team members has noticeably accelerated the way we make decisions. The AI companion really stands out too, helping us quickly retrieve information and analyze content from a wide range of documents so our knowledge base gets used far more effectively. Also, Knowa's charity-friendly pricing has allowed our organization to take advantage of these advanced features without putting pressure on our budget.

I used it on a tool to help trustee boards evaluate their effectiveness has been a really positive experience. They understood what we needed from the start and consistently focused on making the user experience better. Throughout the setup and testing of the module, they collaborated closely with us and responded quickly to our feedback. Our clients have also shared very positive feedback about the end result.

At times, the AI can be a bit overly suggestive but that hardly happens and honestly doesn't feel like a real drawback. I'm genuinely struggling to come up with anything meaningful to criticize here.

From publishing the agenda right through to approving the minutes, the functionality for running Trustee board meetings is exceptional. At a recent meeting, our legal adviser actually praised it without any prompting and said it was the best board management software they had seen. The secure collaboration between Trustees and advisers is another big plus especially with the ability to keep a tracked record of discussions, decisions and approvals.

I'm still getting used to the filing structure on our site. The search function works very well and is effective but it's still not quite the same as already knowing exactly where to look or where something should be filed in the first place.

Creating agendas in it and inviting Trustees to review them is one of the best parts of using it. It's simple, efficient and saves a lot of time.

A few things could be improved though, having to grant access within other access levels inside spaces feels a bit tiring, even if I understand it adds security. I also don't think the 'stay logged in for 2 weeks' option is ideal since it doesn't feel very secure. Another frustration is that folders and documents don't appear in any clear order which has been confusing for some Trustees who have asked why older files, like something from 2009, show above newer ones from 2022. An ordering feature would really help especially if documents could be numbered and arranged by date.

Pros

Handling trustee work across several schemes is far more manageable with Knowa. It gives me a secure and accessible place to store, search, retrieve and share both current and historical scheme information. Also, it supports meetings, makes collaboration with colleagues and advisers simple and even helps when online decisions are needed. It really covers everything I need.
