cloud system that works better

Pros

At first I had some doubts about switching to a cloud based office management system but it didn't take long to realize this one performs far better than the server based systems I'd used in the past.

Cons

A few competing platforms do offer more effective EHR sections.

Pros

The platform itself is easy to use but the pricing setup is awful.

Cons

It's far too expensive. They even charge an extra $200 if you don't use a feature. Plenty of other systems are much cheaper and just as simple to use. Total scammers, do not use it!

Frustrating reports

Pros

After working with many software platforms over the past 20 years this one stands out as the worst one I've ever had to use.

Cons

This is an extremely poor product. The reports are incomplete, badly organized and unreliable. Support is even worse because it's nearly impossible to reach anyone by phone. You usually have to leave your name and number then wait several days for a callback if anyone calls back at all. When asking about the software they claim the reports can be customized but once you contact support to learn how you're told by a representative (not even an IT specialist) that changes can't actually be made to "that specific" report which ends up being the case for every report. Because the reporting is so lacking you're forced to do a lot of extra work by pulling and cross checking data from multiple reports just to put together the complete and accurate information needed for proper analysis. That's exactly the issue with this software. Its reports are missing nearly everything a business owner would need for dependable complete insights making it a highly inefficient tool for managing an optometry practice.

Pros

There's nothing about this product that I would recommend to anyone.

Cons

Using this EHR is a frustrating experience. It feels badly designed, takes far too many clicks to get anything done and is very difficult to use. Also the customer service is terrible so I would not recommend it.

Pros

The layout is easy to work with, everything stays well organized and the software support has been excellent!

Cons

I'd still like to see a night view mode added, more customization options for deposit reports and better handling of end of day A/R changes.

simple invoicing

Pros

Out of all the EHR systems I've set up and worked with this one has been the easiest to work with. The whole workflow feels smooth and handling invoicing is very simple.

Cons

One thing to keep in mind is that we had to handle most of the setup on our own. It took a while but it also helped us become much more familiar with how the program works.

Pros

It's very user friendly and I can handle everything in one place without needing to bring in outside vendors or third parties.

Cons

The claims side is overly complicated and feels pretty complex. It takes time to learn and can be difficult to put into practice.

Good support

Pros

Getting started with the software is pretty easy and the learning process feels gradual rather than overwhelming. Even without a dedicated app I can still access it from mobile devices which has been very helpful. The support team has also been dependable, on the few occasions something came up they responded quickly and handled it well. The interface looks clean and professional and I really appreciate how customizable it is. Reliability has also been a strong point since in more than a year of use the system has been down for less than 10 minutes total.

Cons

Frustrating that updates or requested changes can take quite a while to be carried out. The contact lens database also isn't current so the office has to enter that information manually. On top of that contact lens parameters are not built into the system and it will let you enter CL prescriptions that are not actually available. Because of that you still have to double check online or in a TQ to confirm the lens parameters before finalizing a prescription.

convenient access anywhere

Pros

Being able to sign in to it from somewhere other than the office is incredibly convenient and makes remote access really useful.

Cons

A downside is that if there are internet problems our systems go down as well. It would also be helpful to have the option to edit patient statements.

powerful tracking across locations

Pros

Managing multiple locations is much more organized with this system and it lets us keep track of almost everything. From inventory to employee records and commission tracking it covers a lot and makes daily oversight much better.

Cons

The lab remake process really needs to be redesigned. It would work better if lab remakes had their own simple remake tab. Insurance submissions, write offs and payments should also include employee history so it's clear who is changing the billing status.

reliable records

Pros

Keeping up with patient orders, accounts receivable and overall customer records has been much more manageable with ECP. Since our office doesn't have a doctor on site it works really well as a simple user friendly system for handling records and placing orders.

Cons

A few of the reports could be more concise and easier to locate than they are now. Inventory management can also get a little confusing at times although that seems to be a challenge no matter which program you use.

quick charting

Pros

Starting off with it was very easy and I was able to learn the charting workflow quickly and document much more efficiently. We were also able to upload prior medical records from another system without trouble and access them when needed. The ERx feature has saved me a huge amount of time since I used to have to call pharmacies manually. Also the medication lists have finally been updated in a way that makes them much easier to use and much faster to search through.

Cons

Having the option to mark a glasses or contact lens prescription as inactive within the list would make it better especially for contact lens trials given by the doctor or when a prescription changes in the middle of the year. It would also be very useful to have an alert pop up as soon as a patient is selected for things like repeated no-shows, an account balance and similar warnings.

Detailed reports

Pros

Running this software has been a solid experience because it does exactly what we need without feeling overcomplicated. For a general optometry office that mostly handles glasses, contact lenses and medical visits the charts stay clean and organized instead of being packed with every possible test. There's also a blank special testing section where you can enter your own notes when needed. I really appreciate that IOP is displayed in a graph which makes it much easier to spot trends without going back through earlier visits. Another helpful feature is being able to email patients their prescription directly and the system keeps a record that it was sent. One of the biggest advantages is how quickly staff can pick it up since the software feels very user friendly. Reports are also extensive and detailed. It's useful to track how many patients were seen and for which procedures, how many frames were sold and from which brands or manufacturers, what percentage of patients came through specific third parties and production broken down by staff member or doctor.

Cons

Something that would really improve it is integration with VSP billing and glasses order entry since we rely on VSP heavily. That would cut down on duplicate entry and help avoid input mistakes. It would also be very helpful if EOBs from VSP could be integrated so payments could be posted to each individual item. Right now we handle that manually and because of the time involved we only separate services and bulk materials. Technically we could break it down further by hand but it just isn't worth the effort. The reporting is strong overall but I'd still like to see a report that shows the actual net especially since so much gets written off through third parties.

Pros

Being able to track exactly how much I've spent in each product category has been really helpful. It gives me a clear picture of where the money is going and how much I should plan for when it's time to restock products.

Cons

I haven't run into any issues yet but if something does come up I'm confident the customer service team will look into it and help find a solution.

appointment reminders and integrated reporting

Pros

To get appointment reminders out by email, text and phone has been a huge plus. It also includes an employee time clock, keeps my inventory fully connected with the EHR and lets me run all kinds of reports without trouble.

Cons

Would really like to see integration with Weave so our phone system could handle patient based automation.
