agency operations management

Pros

It fits really well into day-to-day agency operations and doesn't take long to learn. Training employees on it is pretty easy too. The scheduling and billing tools are the standout features for me. Billing gets processed quickly and when something goes wrong, running a report makes it much easier to spot the issue.

Cons

At times, caregivers have trouble downloading the app and when that happens, it can be difficult for us to identify the mistake right away.

EVV issues concerns

Pros

The reporting tools are put together nicely and it's possible to customize the reports based on what's needed.

Cons

EVV side is where things really fall apart especially when people are trying to clock in and out. It freezes a lot and there are times when it takes them around 10 minutes just to get into their accounts.

Claims processing workflow

Pros

Cutting down the time it takes to prepare and submit claims has been a real benefit.

Cons

The connections with other vendors and payors could be much better. Batch claim submissions have been troublesome and getting a timely response from support hasn't been possible. When claims are delayed for any reason, it directly impacts revenue and payroll.

Reliability concerns risks

Pros

Honestly, this isn't software I'd recommend. A lot of providers in Minnesota are moving away from it and switching over to Pavilion instead.

Cons

The biggest problem is how unreliable it is. We've had patients and staff talk about leaving because some worked shifts don't appear in the system which means people don't get paid. They also can't view what they've worked during the pay period so they're unable to plan around their limited units. In Minnesota, scheduling isn't handled in a traditional way since it's based on participant choice so patients, staff and responsible parties all need clear visibility into hours worked during the pay period. On top of that, billing is inconsistent too, it randomly fails to bill and tracking down the issues takes a huge amount of manual effort.

Unified workflow solution

Pros

Having everything in a single program really helps especially when it comes to both patient care and billing. It keeps the workflow together and makes daily tasks much more manageable.

Cons

One thing I'd still like to see is insurance information already preloaded into the program since that would save extra setup time.

Easy learning curve

Pros

Getting started was easy, the system was quick to learn and support has been available whenever needed. Ticket turnaround is also fast which has been a big plus.

Cons

Over time, the platform has expanded quite a bit and that growth has made it take longer to work through tickets and finish tasks. It feels like the company could really use more support staff.

Billing challenges

Pros

At this point, I really don't have anything positive to add.

Cons

Dealing with customer support has been frustrating because my billing issue still hasn't been resolved. They've supposedly been working on it for a year now. On top of that, it doesn't meet the EVV requirements for the state of North Carolina, at least not for this agency.

Poor support experience

Pros

The software is easy and simple to navigate so using it doesn't take much effort.

Cons

Getting help from customer service has been a really bad experience. It can take hours on hold just to reach support and then weeks or even months before an issue gets resolved. Some problems have been left pending for nearly a year.

Unfriendly interface design

Pros

There's a great set of management tools here and it does a good job staying compliant with New York State DOH requirements and regulations.

Cons

Support knowledge gaps deficiencies

Pros

Nothing about this software worked well for me. The whole experience has been bad right from the start. Onboarding was awful and trying to get help from customer support was just as frustrating. I kept getting passed from one person to another and the people handling the transfer usually couldn't actually help. Overall, it was a terrible experience.

Cons

Customer support does not seem to know the software well enough to properly assist users. There is also far too much red tape involved just to get answers to software-related issues and most of the time, no real answer is given at all.

Increased workload demands

Pros

Honestly, there wasn't anything beneficial about it. It ended up requiring far more effort than it should have.

Cons

Compared with free sites, this made me do nearly double the amount of work and on top of that, I still had to pay for it.

Easy access features

Pros

Getting into the app is really easy and signing in is hassle-free with thumbprint or face recognition. It feels very user-friendly and finding what I need never takes much effort.

Good experience!!

Pros

Since we use it specifically for our waiver clients to handle billing for the CHC Program in PA, it fits that need well. Having everything kept in one place makes the information quick to pull up and convenient to access.

Cons

I haven't run into any problems with the software itself.

decent tool

Pros

Right from the start, the system feels very user friendly. It also does a great job of keeping administrative data, nursing records and payroll separated which fully supports HIPAA compliance.

Cons

One ongoing frustration is that the system often does not accept calls so caregivers end up calling the office instead. On top of that, manual entry is time-consuming and takes a long time to complete.

Connected workflow experience

Pros

Everything connects well across the business, from hiring staff and checking exclusions to bringing on a new client, scheduling and delivering services. The flow from one step to the next feels very natural and keeps daily operations moving efficiently.

Cons

The integration process was challenging and the training moved pretty quickly. That said, the IT team genuinely cares about their customers and clearly understands how every part of the business ties into HHA and affects the overall operation.

Missing key features

Pros

Compared with the software we were using before, I honestly can't think of anything about HHA that I actually prefer.

Cons

It really needs basic features like sending shift reminders to caregivers the night before and notifying admins if someone hasn't clocked in within 15 minutes of their scheduled start time. It would also help a lot to be able to edit the insurance POC so it reflects the most current information. Caregivers should be able to view their full monthly schedule and applicants should have the option to apply to our agency directly online.
