As a user I really like the clean, highly customizable design because the options for font size, style and color let me make forms and interfaces much easier to read and far more visually appealing which has noticeably improved my daily workflow, the platform's flexible features also give me great control over forms, workflows and client communication and I find IntakeQ's tools adaptable enough to meet a variety of practice needs. Setting things up was easy thanks to clear guides and instructional videos so I was able to optimize the system quickly without getting stuck and when I've had questions their Q&A resources and customer support have been responsive during support hours, with reps responding promptly and effectively to resolve issues. On top of that the platform is simple and user-friendly even for beginners which cut down on training time for my team and the pricing feels reasonable given the capabilities included, delivering great value for what we get. I also appreciate the multi-account discount because adding sub-accounts to a main account comes with attractive savings that reduce our overall costs as we scale.
Cons
Occasionally I run into navigation confusion because a few settings are tucked away in menus that aren't immediately obvious which can slow me down when I'm trying to make quick adjustments.

As someone who uses this daily, the clean and highly adjustable design really stands out to me. I can change font size, style and colors to make forms easier on the eyes which has improved how I work day to day. The features give me strong control over forms, workflows and client communication and the tools adjust well to different practice needs. Getting everything set up didn't take long thanks to clear guides and videos and whenever I've had questions, the Q&A resources and support team have responded quickly during business hours. Even beginners on my team picked it up fast, pricing feels fair for what's included and the multi-account discount helps lower costs as we grow.
Cons
Sometimes I get slowed down because a few settings are hidden in menus that aren't obvious which makes quick adjustments harder than they should be. I enjoy customizing fonts and colors but a couple of layout areas still feel restricted and I wish I could tweak them more freely.

I really enjoyed how customizable it is and at first I dove in excitedly but after a while those options collapsed into an overwhelming maze of processes and interconnected settings that I couldn't seem to escape and whenever I tried to alter even one thing it tended to break other parts of the system leaving everything messed up.
Cons
My recent customer service experience has been extremely poor. Beyond deflecting responsibility, representatives have attempted to gaslight me over a specific issue: a report titled 'pay period income report' that does not in fact contain the income data for that period. Being told that this incorrect report is accurate rather than having my legitimate concern addressed is both unprofessional and infuriating.

From my perspective customer service has been really disappointing. I've dealt with reps who deflect responsibility and even make me feel like I'm at fault. Seeing a report labeled "pay period income" that clearly doesn't match and being told I'm wrong, has been incredibly frustrating.

Before I started using it many of the features that initially appealed to me disappeared in practice because I kept struggling to get anything to function properly and even though I'm quite tech-savvy the fact that I couldn't fix issues myself was frustrating. The process for getting help is riddled with flaws and having to call four times about the exact same problem felt completely unacceptable and wasted my time.
Cons
When urgent issues arose I experienced very poor follow-up and was often given conflicting guidance that actually increased the workload on me for no sensible reason. Overall the customer service felt inadequate and accountability seemed absent and the product itself left me unimpressed.

For managing my patients' information the platform feels incredibly simple and what helps my team most is the ability to build custom processes that guide us step by step. When a patient submits an online interest form, a designated staff member receives both a notification and a reminder to set up a call, then after intake my front office gets a prompt to process the order while I receive a separate alert to schedule the appointment. This coordinated workflow has been extremely helpful in preventing missed steps.
Cons
After using this tool for a year and a half I've come across a few persistent frustrations, the most significant being problems with time zones that affect scheduling and reminders. Whenever a client is located in a different time zone their appointment doesn't display in my schedule in that client's local time so I am forced to manually note the actual call time on the calendar to avoid confusion. And on multiple occasions the system has also sent meeting reminders to clients showing the incorrect time. Another annoyance is that the overview section of a client's chart does not automatically date and time stamp changes and since it took me several months to realize that was missing I now habitually add dated notes in the comments area so there is a clear record with timestamps of conversations and any updates to the client's information.

There are a few inconsistencies I have noticed that scattered throughout the platform. For example voice recording is accessible in certain areas but inexplicably missing in others which has been a bit frustrating when I want to capture audio quickly. I was also impressed by the Snippet tool during the demo, its potential seemed promising but in actual use I haven't discovered many situations where it adds value and it's not available everywhere I take notes which limits its usefulness. Those inconsistencies are the main drawbacks I've come across during my first three months of using the system.

Compared to other EHRs I've used this one feels a bit slower and doesn't have as many features. The visual design also seems plain to me though I know that's a personal preference.

Pros
Customizing my notes has been very simple and the layout stays clean so I don't feel slowed down while working.
Cons
It frustrates me that I can't send forms to multiple patients at once and I also can't change a client's display name which feels unnecessary.

“inconsistent features with limited snippets
Pros
Overall the interface stays clean and easy to move through without confusion. Clients book appointments without issues using the calendar, text reminders cost little or nothing and telehealth works reliably. I can copy and adjust forms to match my workflows and I feel optimistic about upcoming AI improvements.
Cons
Over my first few months I've noticed some inconsistencies. For example voice recording is available in some sections but missing in others which is inconvenient. I was excited about the Snippet tool during the demo but in practice I haven't found it that useful and it isn't available everywhere I need it.
