“Perfect tool for school hub”

Having everything a school needs in one system is a huge plus. It covers the basics like student and parent details but also includes more specific records such as doctor's notes for medication, IEP/504 information and scholarship award IDs. Teachers are able to message parents directly and the admin team can track whether emails were received and opened which is really helpful. Students can use their portal to check for missing grades and coordinate with teachers to submit missed assignments. Parents can also log in to order lunches, buy items from custom school stores for things like field trips or yearbooks and keep up with their student's grades. On top of that, principals can access their admin accounts to make sure teachers are posting grades on time and reach out when needed. If mistakes happen, the online support team can help identify what happened, correct it and provide the right training.

Cons

One challenge is that parents sometimes have trouble figuring out where things are in the system. For whatever reason, they tend to find navigation a bit difficult.

Whenever I need help online, especially from customer support, the experience is always simple and reliable. Her expertise is outstanding and she's been able to guide me through every issue I've run into.

Cons

Filters and grids are still the parts I struggle with most. It may just come down to my own lack of understanding since I haven't spent much time learning them but I still don't really grasp how they work. Thankfully, support is always there to help when I need it.

Running our school feels much more organized with this student information system because it really acts as a single place for everything we need. We rely on it for attendance tracking, library management, donor information, payables and receivables, enrollment, after-school programs, lunch management and registration, all within one convenient platform.

Cons

Getting comfortable with the system takes time and the learning curve is definitely steep. It has taken many hours of focused training to fully understand and use all of the platform's features.

It really feels like a school in a box. The features and support genuinely make it worth the cost. There was a bit of a learning curve at first but once everything clicks, it stays with you. I've enjoyed picking up new tips and features as I've become more familiar with the system and our school families have been loving it too.

It was a little stressful to start because we were transitioning from another company and were already used to how their system worked.

This product has been an excellent value for us. It offers far more functionality than we're even taking advantage of at the moment. The learning curve hasn't been too difficult and both the online resources and customer support have been outstanding. It really feels like the ideal student information management system for our needs.

We honestly don't have any negatives to mention. Anytime we've needed assistance someone has always been ready to step in and go above and beyond.

Our school relies on it as a student information system for managing student records, teacher administration and school operations like billing. The value for the price has been fantastic, the security gives families peace of mind and getting comfortable with the platform was very easy.

Cons

One inconvenience is having to build separate registration forms depending on the situation, such as new versus returning students and different age groups so the correct fee structure can be displayed for each one. It's not a major problem though and once those forms are set up, I can just update them each year when needed.

Through a major system change this year, customer support was honestly the reason we got through it. Moving to a new platform was not popular with instructors or parents but support stayed with us every step of the way. She was incredibly helpful and really made the system work for our needs.

From an administrator's perspective, I'm not very involved with classroom edits and that side of the platform so my instructors would be better suited to speak on those details. My use is mostly focused on sending mass emails for things like Monday updates, finding students and handling the tasks I need so I can stay focused on running the school in person.

Right from the start, the customer support has been outstanding. This student information system really covers everything in one place, accounting, attendance, incidents, grades, billing, optional text messaging and more, and it comes at a price that feels very reasonable.

Cons

There was definitely a learning curve when getting familiar with the full system. Since it includes so many features, it can be tough to become fully confident in every section. That said they offer both video tutorials and a written how-to library you can search through for help. And if the answer is not there, customer service is just a few clicks away. Their team knows the system well and if they cannot resolve something right away, they make sure someone follows up with a solution.

It covers pretty much everything we need to manage and run the school in one software.

Cons

System isn't very user-friendly or simple. A lot of the menu labels are confusing and the help page is outdated and still uses misleading menu names.

One of the biggest advantages for us is that it's a closed system which helps protect our students' and families' information here in the US. It also includes far more features than we could realistically ever need, all within a single platform.

At the same time, it isn't always very simple and can be difficult to navigate. Even after using it for several years, we're still working through the learning curve. Part of that may come from the fact that we're a part-time program and don't have a full-time staff member dedicated solely to managing it the way larger schools often do. For instance, we don't have a dedicated accountant or an experienced bookkeeper like many institutions would so it naturally takes us longer to understand certain functions and the reasoning behind them. It feels like you need a stronger technical accounting background to really use it effectively which goes back to the idea that it could be made more user-friendly. The interface also feels somewhat dated and could use a refresh to make it more visually appealing.

Having student management and the financial side in one platform has worked really well for us. We've also recently started using the school store and register features and both have been helpful for the two projects we're currently working on.

Cons

Compared with other school platforms, this one isn't as user-friendly. Entering information and pulling reports takes multiple steps and without the support team it would be tough to get every step right. The app also needs improvement, since parents should be able to do everything there that they can access through a web browser.

The customer support team has been outstanding whenever I've needed help. Being able to schedule dedicated time for more in-depth assistance has been especially valuable, while quick support responses for smaller questions have also made day-to-day work much easier.

Over the past two years, working with customer support has made an enormous difference, especially while balancing school operations, teaching responsibilities and business management at the same time. Connecting every department within one system has been a major benefit for our organization. The support team has been excellent from the beginning so we've never felt left on our own to figure things out. Since switching to Heartland for payment processing, accounts receivable has become more efficient, collections have sped up noticeably and processing fees have dropped significantly, all of which has improved our cash flow.

Cons

The one thing I would still like to see is more customization options for the financial statements.

Being able to speak directly with a real person is one of the biggest advantages for me. Scheduled calls provide focused one-on-one support and the ability for the team to remotely access my screen while explaining the process has been especially useful for learning the system step by step.

Cons

A lot of the forms and setup steps are not very user-friendly. The whole process feels pretty complicated, especially compared with something like Google Forms. If it weren't for support being so patient and walking us through everything, I honestly don't think it would have been practical for us to get fully set up on our own.

For our private school, this has delivered strong overall value and covers everything we need to manage operations effectively. The online support has been excellent and parents have also really enjoyed using the app.

Cons

A few tasks take more clicks than they probably should. The interface could use a more modern update and Heartland can be difficult to deal with at times.

Transcript setup is really confusing and tends to create problems. Also, there's no undo button which really should be available for at least 60 seconds after an action in case something gets done by accident.

Amount of reporting and data available through the platform is extremely impressive and it honestly feels like we've only begun exploring everything it can do.

Getting around it on my own can be challenging so I end up reaching out to customer support quite a bit. At least the calls have been getting shorter, since most of the time I only need a quick nudge to head in the right direction.

Product definitely feels outdated. Both the features and the interface look like something from the early 2000s internet. That said it still does everything it's supposed to and it includes texting features plus a mobile app. On a personal level, one thing that really bothers me is that most of the forms use Times New Roman and there's no way to switch to a different font. Eek.

Handling day-to-day school administration feels much more organized with this software. Student enrollment, attendance tracking, grading and scheduling are all built in and those tools really help cut down on manual work and save time. The parent and student portals are also a strong point, since they give real-time access to grades, attendance and assignments which helps improve communication and keeps everyone more involved. Another thing I've valued is the flexibility to customize fields, forms and reports so the system matches a school's specific needs instead of forcing a one-size-fits-all setup. It also connects well with other systems schools already use, like LMS platforms, financial software and transportation tools which makes data sharing more efficient and reduces duplicate entry.

Cons

One area that could be stronger is reporting and analytics. The reporting tools are useful but there's still room for more customizable reports, better filtering options and deeper insights from the data. The mobile app has also been a little inconsistent at times, with some features not feeling as accessible or as well-optimized as they are on the desktop version. On top of that, while the customization options are valuable, getting everything set up and tailored in the beginning can take quite a bit of time and effort.

Compared with other school software I've used, this one is much clearer and far more user-friendly, while also offering more of the tools our school actually needs. I can manage the entire school office from one system, including finances, grades, parent communication and all student and parent records. Another big plus is the fast customer support. Whenever I reach out online, I'm connected with a representative almost immediately and they consistently answer my questions without bouncing me between multiple people.

Honestly I can't think of anything about the system that I dislike.
