Pros
What I really appreciate about it is how fast I can pull up client information while I'm on the phone which saves me time and keeps conversations smooth.
Cons
I feel the layout could be improved further to make it even simpler.

“Constantly introducing new features
Pros
I store all of my job information in it which helps me keep everything organized and track progress. I can run reports on virtually anything I might ever need and at any moment I'm able to see how much work we've done for a particular customer, no more digging through years of files. They constantly roll out new features and improvements to make the software faster and simpler to use. The mobile app is superb for our field techs, it reduces a ton of paperwork and I can get my work done from anywhere as long as I have a computer or a tablet.
Cons
Occasionally a work order is created under the wrong building and I wish there was a way for me to transfer or reassign that order to the correct building without having to close it out and create an entirely new work order. It would save time and prevent duplicate paperwork.

“Offers so many customization options

It can manage a lot of data while offering a huge range of features and customization possibilities. I really like that it lets me store and manage both residential and commercial client records within the very same platform.
Cons
When I first started with this system and I wasn't familiar with CRMs, the layout felt a little tricky . It's not impossible to learn and once I invested the time it became simple but there is definitely a learning curve. In my experience some of the features I wanted required custom work that could only be done through very thorough training and development provided by Dataforma's in-house reps. That was disappointing for me because those particular capabilities were part of the reason I signed up after the sales pitch.

“Mobile app needs more features
Pros
Even when I forget to enter a work order, it doesn't vanish. The system keeps track of it and I'm confident I'll still be able to invoice for that job a month, two months or even a year after I've finished the work.
Cons
I wish the mobile app offered a broader set of features. I'd prefer it behaved less like a simplified browser and more like a fully native app that feels user-friendly and powerful on my phone.

Pros
It keeps our workflow organized and helps us respond more quickly to clients which means our invoices are getting to customers faster than before.
Cons
We like pretty much everything about this tool but it would be great if it had a built-in timesheet feature so our staff could log their hours directly.

Pros
Its so easy to use and it includes everything I need to prepare quotes for service jobs, keep track of them while they're in progress and then bill the customer once the work is finished.
Cons
I find some of the reports hard to run and they often come out very large. It would be much simpler if they could be executed with a single button click instead of having to load various screens and configure multiple settings every time.

Pros
I appreciate how much data this software can store and then summarize into reports because it lets me selectively decide exactly which details to present to clients or to our management team without wasting time.
Cons
We've found that several of the input fields feel excessive and redundant which only makes data entry more confusing and slower than it needs to be.

“Saves history of buildings
Pros
Having all of a building's history in one easy-to-find place is fantastic. I find it so helpful for tracking past work. It logs every change order, includes a PO system and I appreciate how it syncs with Outlook.
Cons
I wish the system would connect the 'reported to' person on work orders with that contact's profile because then I could quickly review the history of items they have reported over time.

Pros
The lead tracking process is incredibly simple and everyone in our office can follow prospects from that first phone call all the way through to closing the deal.
Cons
The client portal feature costs extra and doesn't offer much flexibility for customization which is disappointing.

“Impressive functionality
Pros
I'm really impressed with how effortlessly it tracks leads and manages sold projects. The document storage for each project keeps everything organized and the reporting features are solid. There's honestly so much more functionality available than what we're currently using. I'm excited to explore all the other capabilities!
Cons
Keeping everything current can be a real challenge. We've fallen way behind on updating our records because it means entering most data twice, once here and once in our accounting system. With how busy things get, we barely have time to input leads, let alone maintain everything else. It's not really a product issue, more that we need to figure out a better workflow.

We found it easy to use, the search feature is nice and it is simple to enter data.
Cons
I find the platform restrictive as it provides only a few fields to work with. It must create custom exported reports and queries. Searching is limited and combining information across platforms for example merging records from two systems at the same time requires a special query.

An excellent way to keep individual jobs, projects, buildings and similar things organized. It brings all contacts and relevant documents together in one easy-to-access place.
Cons
Sometimes, like many platforms of this kind, I notice it can get overwhelmed when too much data accumulates and items occasionally go missing. Although I usually manage to retrieve what was lost without much trouble, there's still a risk of losing information.

Pros
Picking it up is easy for me. I was able to get started without much of a learning curve.
Cons
I've run into a few major annoyances. It forces updates after every entry so I can't finish multiple windows before it restarts. The system slows or freezes, boots me out repeatedly and makes me log in again, sometimes several times in a single day. On top of that, customer support has been poor, they don't follow through and I'm worried about how they handle privacy.

When I've run into problems, DF provides solid customer support. They solve all my issues and never keep me waiting.
Cons
I know Dataforma says users 'own' their data but it doesn't offer ways to link tables together.

“Solid training and amazing tracking features
Pros
Being able to track practically every detail about a job, customer or building is incredible. Our field techs find the system really easy to use and they reliably provide us with the information we need so our customers get exactly what they require with excellent turnaround times. Their employee running our training has been phenomenal and has exceeded our expectations by leaps and bounds.
Cons
The only negatives I've seen so far come from our own side. We have a hard time fully embracing change and occasionally slip back into old habits instead of sticking with the new processes.

I'm really disappointed by the reporting features. I want to be able to create my own reports easily but I don't have that capability and that limitation can be quite frustrating at times.

I'm really impressed by the plot feature. It lets me view all the contractors across a specific state. I also appreciate that I can discover the numerous vendors situated around where I need work done which makes planning much easier.
Cons
So far, I haven't run into any issues with this database. I can complete everything I need to on the site and there seem to be plenty of functions that I'm likely not familiar with yet right now.

What I love most is how user-friendly the platform is. Whenever I've run into a question or problem, support gets back to me right away and everyone on the team has been really pleasant.
Cons
I honestly don't have any complaints. I've dedicated an entire monitor to it since it serves as my central hub for all routine, day-to-day tasks.

It's easy to use and offers features we can grow into. The team seems genuinely interested in building out a database with plenty of built-in and custom capabilities and they're consistently accessible and accommodating.
Cons
I've been waiting for them to release an update they announced earlier and to finalize the development of other features we've discussed that would truly help us.
