“smooth plugin with great reports
Pros
Using the Outlook Classic (M365) plugin lets me create matters smoothly right from my inbox, and I find the reporting analytics excellent and really easy to use.
Cons
Honestly, my only complaint is that there isn't anything about it I dislike, I just wish a lot more people would recognize and adopt the advantages this system offers.

“Very interactive!
Pros
It is really interactive and efficient, and managing and tracking matters feels practically easy. It has helped align our workflows and provided far greater visibility across all of our matters, which has been a huge advantage for our team. On top of that, I have to highlight our account manager, she is unfailingly helpful, very responsive and always ready to jump in with answers or training whenever we need it. Her proactive help and genuine dedication to making sure we fully benefit from Xakia have made our overall experience noticeably better.

“simple legal intake portal setup
Pros
Setting up the legal intake portal was incredibly simple and I loved how quickly it picked up our process within minutes. Before I knew it, in just a few short hours I had the entire portal fully configured and ready to use.
Cons
I found moving from our previous management system to be tedious and I struggled to adapt to Xakia's formatting ,getting acclimated took a lot more time and effort than I expected.

“Real-time insights for legal operations teams
Pros
As a legal operations professional, I can access real-time, objective insights about the work my legal team is handling which helps me make data-driven choices about how tasks are distributed, what to prioritise and where to apply technology to cut down on manual effort.
Cons
I've noticed it can be challenging to achieve consistent adoption, usage and engagement across larger teams, which leads to patchy, inconsistent data. Also even though I believe it is top-tier for matter management, its document workflow and automation features feel less mature and connecting it to other systems isn't simple (and from my perspective, that's not a problem unique to Xakia).

“best for matters
Pros
I have found the onboarding and daily use for managing matters to be very interactive and the way it links with other document management systems really boosts cross-team collaboration. From my perspective the cost per user is fair and the reporting tools are by far the most comprehensive I've encountered in matter-management platforms. I also rely on the Outlook integration, which adds genuine day-to-day convenience.
Cons
there isn't a mobile interface, although I wouldn't be surprised if they introduce one down the line. Having a mobile app would make life much easier for lawyers who are frequently traveling or working remotely.

“Simple, user-friendly & great value
Pros
It's incredibly simple and user-friendly. It represents outstanding value for the cost, with budget-friendly licensing that gives access to a system that really makes a difference. The dashboards and reporting are flexible and the way it alignes matter intake and management is impressive. I can now effortlessly monitor matters and documents, spot bottlenecks and understand team resourcing, workload and the overall value of our legal function.
Cons
I would like to see a few more integration choices (for example MS Office or Content Manager) to make things even smoother and I'd appreciate admin tools that let me make bulk updates, for instance adding an internal client across a number of matters at once.

“Easy and bundles many tools
Pros
Xakia is incredibly easy to use, it's one of the most user-friendly platforms I've used. It also bundles several tools into one place ,billing administration, matter tracking, intake forms, contract handling, e-signature capabilities and more.
Cons
I find the intake builder fairly restrictive and not very customizable which limits how I can design intake workflows. Also, the CLM mostly acts as a place to store and execute contracts and doesn't let me create solid contract workflows.

“quick to set up and use
Pros
I'm finding it simple to implement, configure and begin using. My team picked it up fairly easily, helped by excellent online and in-person training sessions. The reporting options are very thorough and give me several types of data to really dig into how the team, the work and our clients are performing. The pricing feels reasonable. I am genuinely pleased with the support the team provides and I appreciate that Xakia keeps enhancing the system over time.
Cons
I have noticed there is still room for improvement in the user experience, particularly with the intake form and to a lesser extent the matter form and how external spend is managed. Since we use the platform beyond just legal teams, I also find some of the built-in legal terminology can't be changed to suit non-legal groups which can be awkward for wider team use.

Pros
It is very interactive and loaded with customization options. Their customer support really stands out. They get back to every question promptly and consistently go the extra mile to make sure our needs are addressed.
Cons
We would like to see more integrations with the other enterprise applications we rely on (for example, HubSpot CRM) and additional customization options for the intake form landing page.

Pros
I am a fan of how easy it is to set up and use which helped our team adopt it quickly and I appreciate the broad selection of built-in reports, metrics and visualization tools.
Cons
None so far, it has checked every box we hoped for and then some. I'm particularly eager for the planned Outlook integration improvements because that will make managing matters even more alignd and efficient.

Pros
One thing I really like about Xakia is how interactive its interface is, it makes moving around the system simple even for people new to it. It feels thoughtfully put together and the documentation for each service is clear, so I can follow every step of our procedures in an orderly, efficient way. That clarity has noticeably improved our team's workflow and helped us keep our tasks accurate. On top of that, Xakia brings key information into one place and smooths out collaborative work which boosts our overall productivity. All in all, I find it to be a dependable tool that constantly and effectively supports what we do.
Cons
I'd really like the option to pull every report in the formats and views I've envisioned so I can present our work the way I want. It's clear some of those capabilities might be tied to subscription tiers and that's a key factor to keep in mind.

“Nearly everything I could want!!
Pros
Honestly, it's nearly everything I could want especially their customer service. I've never had a support request sit unanswered. They're really receptive to suggestions for new approaches which I find incredibly refreshing and helpful.
Cons
There's not much I can complain about honestly. What I'd like to see is the ability to set up automated reminders to internal stakeholders within a matter, something similar to what the contracts log already allows. That's really the only improvement I can think of.

“Simple layout that works
Pros
The interface of it is really simple and easy to use. What I love is that I can quickly make changes to matters, intake forms and information on the internal client portal without needing help from Xakia or any tech teams.
Cons
It would be great to see some improvements in the intake and internal client portal features. For example adding conditional questioning and allowing more customization of the portal to make it more user friendly for our business team would be really helpful.

Cons

Pros
It is comprehensive matter management system which integrates well with Outlook and Netdocs. Also it allows us to easily track what each team member is working on at any time. It has even improved our efficiency quite a lot. Setting up new matters is quick and it captures important information that gives us real time insights into our workload, its complexity and the strategic impact across the business. The search function makes it easy for any team member to find matters and use previous advice to respond to client queries faster. The reporting function is also amazing letting us create customized reports for clients in no time. It's very user friendly.
Cons
There is occasional interaction with the document management system but nothing too serious.

“The best for to handle legal matters
Pros
Xakia is easy to use and its ability to collect detailed data without filling out too many fields is great. The integrations with SharePoint and e-billing software are proven quite beneficial for us too. The support is also excellent and setting everything up is really fast and easy. Also it is highly customizable but also works well. The internal client portal for legal service request management is a nice touch and the out of the box reporting looks great.
Cons
It can be a bit glitchy at times but that is balanced out by how easy it is to use. Plus the matter creation templates can be a hassle for us to create and update.
