AI process mapping boost

Pros

A big advantage for our organisation has been the newer features especially the AI Process Map generator and the process map file upload. The file upload feature lets us take older maps, workshop notes or even high level discussion points and quickly turn them into the starting point of a map in it which cuts down a lot of admin time. Their team have also been amazing with support while helping us get set up and running.

Cons

One key gap for our organisation is the lack of a two step approval and publishing workflow. In our previous software we could send a draft for approval first and once it was approved it would then move on for publishing. This software doesn't currently support that since approval and publishing happen together. Because of that we've had to build a separate approval process which is less streamlined. Another issue is that arrow paths in a process map are set automatically so lines can cross over and make the workflow harder to read. On top of that you're unable to add another recording to an existing SOP which makes later updates or expansions more limiting.

Consistent workflows each time

Pros

Creating and sticking to process maps has never come naturally to me and most of the static tools I've seen on the market usually end up being a one time exercise. Once they're rolled out they barely get looked at again unless someone new needs training so they become outdated pretty quickly as the process evolves. This has been very different because the process map is actually used every single time the work is done which means it stays relevant and can be updated continuously as things change. One of the biggest benefits for us is the consistency it brings since everyone is following the same process. We can always see the current status of any project or workflow and because many of our teams are made up of just one person it's incredibly helpful when someone is unexpectedly away (someone else can step in, see exactly where things are up to and understand what still needs to be done). I also really value the sharing community around it. We're all so busy across the sector and being able to share processes not only saves a lot of time but also gives us a chance to collaborate, exchange ideas and improve how we all work.

Cons

There honestly aren't many negatives to mention. If I had to point to one it's that rolling out any new process can come with challenges especially around change management and people who are naturally more resistant to doing things differently.

Strong Automation

Pros

Is thoughtfully built especially when it comes to automation. Getting it up and running was easy and their team has been very quick to respond whenever needed. It's also a real advantage for us that it has an established and growing footprint in the local government space.

Cons

Interface could use some work particularly on the process mapping side of the platform. The online support materials and knowledge base have also felt a bit inconsistent although they do seem to be getting better.

responsive support

Pros

Working with the software has been a really positive experience especially because Will Dowden, Sean Wallace and the wider team have been so responsive. Whether we needed new features switched on or help troubleshooting setup issues, the support has gone well beyond what we expected. Public workflows and AI driven automation have made collaboration much more efficient across our processes. During a period of major change it has given our team the ability to roll out and manage workflows quickly. That flexibility (paired with such strong customer support) makes it a standout option for councils and other public sector organizations.

Cons

A sticking point for us has been its licensing model. Because not every employee at our Council has a license it can be tricky to build workflows (such as a travel request) that everyone can access. Some staff only need to start a workflow once every year or two so paying for licenses across the whole organization is hard to justify. As a result it adds extra complexity when trying to create workflows that are inclusive and usable across the entire Council.

clean process maps that scale

Pros

Getting process maps built in it is very flexible and it doesn't take long to get comfortable using it. The workflows you create look clean and polished and they're simple to share across teams. End users have never complained about them and in fact they usually comment on how much clearer and more transparent everything becomes once a process is mapped here. Being able to create unlimited subprocesses also means even very complex workflows can be documented without running into limitations. On top of that the built in review and approval features make it useful not just for individual departments but across the whole company when mapping an entire business process network.

Cons

One limitation is that it doesn't include its own built in repository so instead it relies on linking documents from other document management systems.

versatile workflows that boost clarity

Pros

It has been incredibly versatile for us. We rely on it in all kinds of areas from handling LGOIMA requests and improving new employee onboarding to automating water invoicing and plenty more. We've built more than 20 flows that keep our processes transparent, consistent and simple for everyone to follow. It's made a huge difference in improving both efficiency and clarity across our work.

Cons

A drawback is that there's no way to step back within a flow if someone makes a mistake or chooses the wrong action. Having more flexibility to fix errors without restarting the process or asking an administrator to step in would be a big improvement.

drag-and-drop process

Pros

Right from the start it has been very easy to use. The 'drag and drop' tools make it quick to build process maps and workflows and it's accessible enough that anyone can use it without needing advanced IT skills or prior experience. It has also given us much better transparency and visibility across our key processes.

Cons

There really haven't been any downsides to using this software.

powerful workflow delivery

Pros

Is an incredibly powerful platform for creating value quickly. The reality is it's hard to capture requirements perfectly before users actually see a solution working but this tool changes that. It lets you map out the business process while users are talking and instantly turn that into a live digital workflow. Because the process map and the working solution are effectively the same thing there's no gap that leaves you with outdated documentation that no longer matches what's been built. We've completely removed the downtime between gathering requirements and showing customers something functional. Everything happens in the same workshop and in just four hours we can often identify requirements, build a working workflow and even get through three or four review rounds.

Cons

Not really a downside but it is something worth keeping in mind: the platform's simplicity and flexibility. Since business users can be empowered to build workflows that reflect how they currently operate the tool itself stops being the limiting factor. That means more focus is needed on validating requirements and questioning whether the current state process should simply be recreated or whether it's actually the right time to improve it. In practice the effort shifts away from technical build work and more toward business analysis. Honestly that's a pretty good problem to have.

Workflow visibility done right

Pros

Getting started with doesn't take much at all and it really helps keep processes standardized. People can finish the day without juggling multiple handwritten notes or trying to remember where something was left off. It cuts down on human error and gives everyone one central platform with a clean dashboard that shows exactly where a process sits, who it's waiting on and the full history of the flow. It's also useful that you can add a unique task or comments whenever needed. Another big plus is how fast their team is at resolving platform issues and they regularly roll out genuinely cool new features.

Cons

There's nothing major to complain about. One small issue I've noticed is that when copying and pasting steps within a workflow, the variables tied to the pasted steps update correctly but the original existing steps can end up becoming incorrect.

Pros

Very easy to start off with and one of the things I appreciate most is its process mapping function along with the ability to automate those processes.

Cons

The training materials could be better developed.
