“Fast multilingual RFX drafting works”
Pros
Having the platform pull from our Knowledge Base, Content Library and previous projects to create new responses or reuse older ones has been a huge help. It also does a really good job drafting and translating content in multiple languages. For project tracking, it's especially valuable when several team members are involved. When deadlines are tight, it's a very fast and practical way to complete RFXs and even large projects can be wrapped up in just a few hours.
Cons
The thing I'd really like in the Answering Page is the ability to use Control + F to search through the app. That would make it much easier to jump back to answers mentioned earlier and copy and paste them into new questions especially since many RFXs include repetitive content. A feature like that would be very useful.

“Collaborative content hub is great”
Pros
Responsive has been a really amazing place for storing our boilerplate content and project qualifications. The platform also works well for collaboration making it simple for multiple people to share and access information in one place.
Cons
One thing that could be better is the search feature since it can be a bit too broad when entering terms in the search bar. Tags do help a lot with keeping things organized but the search itself still has room for improvement.

Navigation has been very easy for our team and it does a really good job of bringing all of our go to market responses into one place for the different members of our commercial team.
Cons
I'd still like to see more built-in AI that can query internal databases and pull answers to questions the way ChatGPT or Claude can through connectors.

“AI really boosts my workflow”
Pros
The interface is modern and keeps getting better with frequent updates and new enhancements. The AI capabilities are especially promising and have been a huge boost to both my productivity and the speed at which I can respond to RFIs and RFPs. I've also noticed the quality of the AI-generated responses improving quite a bit over the past 6 to 9 months. Those AI features really help me stand out at work, so I'd love to see even more of them.
Cons
It still doesn't feel flexible enough in a lot of areas. Setting up AI runs can be more complicated than it should be and the collaboration features are a bit limited right now. I'd also like to see better custom options. My manager created some custom fields but after they were added, it seemed like there wasn't much we could actually do with them.

Pros
One thing I really like is how smart the platform is. It learns from movements, responses and question patterns over time, which makes the whole process feel more automated. Because of that it takes fewer clicks to move around and get where I need to go, so navigation is much faster and more efficient.
Cons
At times though it seems a little too jumpy and can make it hard to click exactly where I want without it spazzing out a bit. I'd also like a simpler way to look back at recent RFP answers and quickly reference what has been saved to the library.

“Not practical for our workflow”
Pros
As a document management tool it can work as a central place to store our templates with the right access controls in place. It also supports a build-once, reuse many model, so shared or repetitive sections can be updated in one location instead of being changed across multiple templates. We are still in the process of standardizing and organizing our templates before we can take full advantage of that but the long-term benefits for efficiency and governance are clear.
Cons
Right now it does not seem especially user-friendly for what our company needs. Our setup may simply be more complex than what the system is really designed to handle. The amount of time needed to configure and organize more than 20 templates, each with around 10 sections or subsections, is considerable especially since that is only one small part of a larger system also used by three other groups. On top of that everyday use would probably take more time for our team than the process we already have in place. Because of that it is hard to see us depending on it for daily work. More likely, we would use it mainly to manage templates, download them into Word and do the editing there, which is basically the same way our assignments are handled now.

“AI-powered RFP saves time”
Pros
Back when we weren't using it our team could lose hours or even days digging through old spreadsheets and chasing subject matter experts for the same handful of answers especially when a question was phrased a little differently. With this one in place, the AI now takes care of that first round and it's been impressively accurate. It pulls in the right context for security questionnaires and RFPs and that has reduced our initial drafting time to almost nothing.
Cons
One thing that can still be a little unreliable is collaborating with guest accounts. When I need to bring in someone who isn't on the platform, it's not always clear whether they actually received the question or reviewed it. Compared with a Google Docs @ tag, where revisions are more visible and tags can be resolved, this feels less transparent, so I usually end up checking in through Slack just to confirm.

Pros
Having everything for the RFP process in one place is really helpful for all stakeholders. RFP questions, conversations and workflows can all live in the same spot, which makes coordination much easier. It's clear to see what's already been answered, what still needs review and where to assign team members so the right people are handling the right questions and the workflow keeps moving.
Cons
The issue that comes up at times is with the responses that are pulled in automatically. Occasionally an auto-response gets attached to a question even though it doesn't actually answer what's being asked.

“Great collaboration with AI boosts”
Pros
Right away it comes across as a full featured platform with a visually appealing interface that's easy to navigate. Team collaboration works really well thanks to permissions and clearly assigned project roles and project updates happen in real time, which helps keep progress accurate and visible. The AI functionality is also a big plus especially for speeding up long assessments with its draft feature, while cutting down repetitive work through accurate responses backed by referenced source material.
Cons
It has a lot of functionality and definitely opens the door to building more efficient workflows but it also takes a fair amount of time to set up and refine properly so the results stay accurate and repeatable.

Cons

It has been a really great tool for keeping all the information we use for different RFP responses in one place. Everyone on the team can get to the most up to date content whenever they need it, which makes collaboration much better and helps us stay organized and on track with projects.
Cons
The part I'm least happy with right now is the export function in it. Exporting a project back into its original format can be a bit tricky. There are several workarounds available but they still add extra time to the back-end process.

Putting together responses goes much quicker since the platform automatically pulls in relevant answers from previous projects. Also it helps a lot with visibility, so it's clear who owns each task without having to keep following up with teammates. Having all the approved content stored in one place keeps everyone aligned and working from the same information.
Cons
There's definitely a learning curve because the platform is quite dense and takes time to fully understand. The final exports also usually need some manual formatting fixes before they look professional. On top of that the content library needs regular attention, otherwise the search results can become crowded and harder to sort through.

One thing I really enjoy about it is the filtering on both the content and project dashboards. It helps me quickly narrow things down and find the exact content I need.
Cons

From the start Responsive is user friendly and genuinely useful for actual RFP work. The content library made reusing curated, reliable answers really practical, team collaboration worked well across departments and the automation saved real time without making the process feel too complex or out of my hands. Overall it took a lot of the friction out and made the whole workflow feel far more manageable.
Cons
At times the platform did feel a little heavy. Search and answer suggestions occasionally needed quite a bit of tuning and when content wasn't kept organized, the library could become cluttered pretty quickly. Reporting and admin work also seemed more complicated than necessary especially for everyday use.

The platform is mostly easy to use. It fits the way my team collaborates and does a good job of helping us stay on top of things so nothing gets overlooked.
Cons
It would be better with more clearly defined product areas for search. The process for adding people, sharing comments and saving could also be simple since it seems a bit wonky right now. The hover behavior in the text is also fairly slow and awkward to use.

One of the biggest wins for me is how quickly I can import projects. Being able to export back into the original upload format is also really valuable. The AI has been a standout feature for me and the support team is consistently responsive, accurate and genuinely helpful. On top of that the staff, webinars, coffee chats and overall community have been incredible.
Cons
The frustrating part is discovering certain hidden limitations only after running into them and checking with support, only to learn that they are actual product limitations. One example is that only one AI Draft can be run per project so if I need to add another document, a staff member has to clone the project first.

“Powerful tracking with team visibility”
Pros
Progress tracking is easily one of the biggest strengths here. It saves our proposal managers a huge number of hours when it comes to monitoring project status and that alone makes the platform worth it. On top of that it creates strong accountability for associates who are reviewing content. Without its content library and review workflow, our responses would not be at the level they are today. Another major benefit is employee management. Since I oversee the proposal team, being able to check the status of every project each morning through the Project view, executive dashboards and similar tools is incredibly valuable.
Cons
Template exports are still a pain point. My team ends up spending a lot of extra time fixing formatting whenever an export doesn't come through correctly especially when we need to use our own template while also matching a client's RFP format. Most of the time it doesn't export the way we need it to, so proposal managers are left doing a lot of manual cleanup. I've raised this issue before. I'd also really like to see some kind of sequential authoring option within a project. Right now several people may contribute to a single response but once one person finishes, there's no built-in way to track that handoff or progress. Because of that we've had to create a manual tracking process and it takes far too much time.

“QA library boosts overall efficiency”
Pros
Having the Q/A Library available is the biggest advantage of this tool. Being able to store company information and quickly pull from work that was already completed saves a lot of time, improves efficiency and reduces how much we need to depend on internal stakeholders for the same details.
Cons
The hardest part is working with online portals and dealing with formatting issues. When a portal does not support simple input or export, the process becomes very manual and time-consuming, even with help from the Q/A library. On top of that customers all structure their documents differently and many of them are not simple to upload into it, which ends up creating duplicate work.

Managing projects in it is very easy and dividing responsibilities across everyone involved is simple. Assigning reviewers and flagging them is also very convenient. On top of that the content library is organized well and flagging questions there is just as manageable.
Cons
One thing I'd really like to see is a dedicated notes section within each project so the whole team can share comments and impressions in one place. It would also help if reviewing content in the library were easier to manage, more like the workflow used within a project.

The good thing is that managing all my RFPs in Responsive has been really easy and the collaborative features make it much easier for the whole team to work together when putting responses together.
Cons
Overall the platform works really well. The only occasional issue is that the AI can wander off a bit when trying to find matching topics but that usually comes down to giving it clearer instructions from the start.
