all-in-one and customizable

Pros

Having everything in one place was the biggest advantage of FacilityOS. I didn't need to bounce between multiple systems just to handle routine work which made day-to-day tasks feel a lot more manageable and far less frustrating. The interface was clean and simple so it was fairly quick to learn, even when working through more detailed processes. Another thing I appreciated was the flexibility to customize it around what the team actually needed instead of being locked into a rigid setup. The real-time updates were useful as well especially for tracking issues and keeping work moving. Overall it made the whole management process feel more organized and a lot less stressful.

Cons

At first it can feel a little overwhelming especially while learning the system. There are a lot of features and settings which is definitely valuable over time but in the beginning it sometimes felt like too much to take in at once. A few tasks also required extra steps which could slow things down during busy periods. I noticed too that some areas of the platform felt less simple than others so it sometimes took a bit of clicking around to find what I needed. It became much more manageable once I got familiar with it but the initial learning curve was definitely frustrating.

flexible fit for multi-site teams

Pros

You can choose only the parts you actually need which makes it really flexible. It also handles large, multi-site operations well and scales nicely for bigger organizations.

Cons

Getting everything in place takes some work. Since the platform is highly modular, onboarding and configuring it can be fairly time-consuming.

Simple check-ins and reporting

Pros

Getting people checked in feels very simple. The interface is simple and the check-in flow runs nicely without a lot of extra steps. Real-time reporting and audit trails are also a big plus especially when it comes to staying aligned with regulatory requirements.

Cons

There are occasional technical hiccups and the initial admin setup can be a bit challenging. It can also be confusing for new admins to switch back and forth between FacilityOS and VisitorOS.

User-friendly setup and support

Pros

Integrating it into our workflow didn't take much effort. The system is simple to pick up and even team members who aren't very comfortable with technology were able to use it without much trouble. Customer service has also been helpful and responsive whenever we've needed assistance.

Cons

One thing I've noticed is that we do end up contacting customer service fairly often although they do respond quickly and are helpful when they do.

Pros

Handling a large volume of visitors is exactly where iLobby shines. The way it connects with access control, security systems and active directories keeps information organized, simplifies management and adds another layer of security.

Pros

One of the best things about FacilityOS is how simple it is. Looking back at the full visitor history for any given day is quick and really convenient.

Cons

Honestly I haven't run into any downsides. The setup was simple and there's plenty of guidance available along the way.

Highly customizable

Pros

Right from the start, FacilityOS feels very simple to use and gives plenty of room for customization. Its integration with other software is outstanding and the compatibility across systems is among the best I've seen.

Cons

A downside is that some of the more advanced settings can only be changed through customer support specialists which can be a bit inconvenient.

unstable connection

Pros

The appointment notifications are useful and come through at the right time.

Cons

The connection has been inconsistent and won't stay stable. I've been back and forth with technicians for the past month trying to get the device connected again.

Helpful alerts and screening

Pros

Running a large facility, the text and email alerts from the iLobby system have been especially useful whenever a visitor checks in. It has also been a real benefit during the COVID-19 situation we've been dealing with. We were able to add a set of prescreening questions into the sign-in flow pretty quickly. It did take some coordination with our IT department to get everything configured properly and they were very helpful throughout the setup process.

Cons

Navigating the software has been simple overall. We really haven't run into any major issues beyond a few problems that seemed to come from the platform itself.

Constant crashes and broken integration

Pros

When it does function, the software is acceptable. Visitor processing still takes longer than it should although that seems more related to our program adding COVID screening questionnaires which has slowed the whole check-in flow down.

Cons

The thermal camera integration performs very poorly. We have 6 iLobby units with thermal cameras and on average at least one or two of them crash every single week. Tech support does help bring them back online but we should not have to fully reinstall the system and request a code from iLobby every time there is an update, whether it comes through iLobby or the App Store. Their standard troubleshooting also includes resetting the wireless interface and network settings which is unnecessary. I've had to tell my IT teams to refuse that step. The reinstall code issue has nothing to do with resetting the system and doing so wipes out our configuration settings which then makes the devices harder for end users to work with.

Efficient visitor management

Pros

Using it has been very simple and that's the standout part for me. Visitors and vendors have both commented on how efficient the system is which has made a really positive impression.

Cons

Uploading group names for a meeting could be handled better. That part feels a little too complicated right now and takes more steps than it should.

Pros

Very user-friendly overall and it's simple to manage everything from the admin side.

Cons

At the moment the only downside is that the evacuation feature doesn't also send text notifications to people.

Pros

FacilityOS is simple to use and comes with a lot of built-in features. One thing I really appreciate is being able to quickly look up the extension numbers for the people visitors are meeting with and notify them if the visitor is running late.

Cons

Sometimes the tablet doesn't seem to charge and there's no clear explanation for why it happens.

Pros

Guests and visitors can check in through iLobby without needing a receptionist and the person they're meeting gets notified right away. It's been a really effective setup for handling sign-ins.

Cons

I'd still like to see more customization options. A few of the fields are fixed as standard so they can't be adjusted the way we'd want.

Fantastic visitor management

Pros

It adapts well to our organization's needs. It has saved us a lot of time when checking in frequent visitors, stays online reliably and connects to the badge printer without any hassle. Their customer service has also been excellent.. we always get quick responses and helpful support whenever an issue comes up. On top of that, our visitors regularly share positive feedback about the iLobby system.

Cons

Every now and then, we do have to reboot the system which is pretty typical for software like this. Usually one restart is all it takes and then everything is back online.
