The strongest aspect of Clearooms is its balance between simplicity and functionality. It removes unnecessary complexity from workspace management and gives employees a self-service experience that requires minimal training. From a consulting perspective, I appreciate solutions that deliver clear business value without creating additional operational overhead.
Cons
For larger organizations with complex requirements, additional configuration options would be valuable. More detailed reporting, expanded integration capabilities and greater control over workflows would help businesses tailor the platform to their specific operational models.

From my perspective I found it especially useful that little maintenance it required after deployment. Users adapted to it almost immediately and the number of questions related to workspace bookings dropped noticeably. It integrates smoothly with existing workplace tools and simply continues working in the background without demanding ongoing attention from the IT team.
Cons
For organizations managing multiple sites, I like to see richer monitoring capabilities, more granular permission controls and enhanced reporting on workspace utilization. Those additions would make it even more useful from an operational standpoint.

Pros
Little inconveniences that come with hybrid work have been removed. Before heading into the office, I can quickly check that a workspace is available rather than relying on assumptions or messaging colleagues. It makes planning office days much simpler especially when working on content projects or campaign meetings.
Cons
The product is intentionally simple but I think it could offer more flexibility for larger organizations. Better occupancy analytics, customizable booking preferences and smarter reminder options would add more value without making the interface feel complicated.

Pros
Biggest improvement was the reduction in operational friction. Instead of relying on emails or someone manually managing room availability, teams could simply check availability and reserve a workspace on their own. That freed up administrative time and made office attendance much easier to coordinate. I also liked that employees rarely needed support after the initial rollout.
Cons
I wanted more strategic reporting around office utilization and long-term occupancy trends. It would also be helpful to have more automation for booking policies across different departments and locations.

For me, the biggest plus is that it made hybrid office scheduling way less confusing compared to the old process of asking around on Slack or checking random spreadsheets to see who was coming in. People can quickly book desks or meeting rooms themselves and the floor plan view honestly helps a lot when teams want to sit together on certain days. The setup is also friendly for normal users. Most people in our office understood it without needing much training otherwise complicated workspace tools usually get ignored. Outlook calendar sync worked well for us most of the time and automatic booking visibility reduced double quite a bit.
Cons
Simple overall but some settings and configurations can feel a little confusing initially when managing multiple office areas or changing floor layouts later. Also had a few situations where calendar syncing or desk availability updates took slightly longer to refresh. Reporting is decent for basic usage but I still feel analytics and occupancy insights could be more detailed especially for larger hybrid teams trying to track office usage trends properly.

We implemented Clearooms in early 2023. It was the simplest hot desking management tool to set up, with built in support for SSO and user provisioning. It also came in at a lower cost than competing options. Whenever we have needed assistance, the support team has been responsive. An added benefit is that Clearooms supports visitor registration alongside meeting room bookings. Our team accesses the platform through the Teams integration, the mobile app and the web interface. They particularly value being able to see their booked desk on the uploaded floor plans.
Cons
Placing all desks on the floor plan can be a little fiddly. The app’s design could also be improved but given the overall value it is a minor drawback.

Clean and simple to use, we have this rolled out to 250 employees in the UK and very rarely have any issues, the guys at Clearooms are always on hand to support for minor changes I need making to my room plans.
Cons
I find the mobile app a bit glitchy sometimes but its always resolved quickly. This doesnt happen too much so not a huge issue.

An extremely easy platform to use. Booking a desk is a 2 second process and it provides a great visual on who is 'in' the office - no need to email people and ask as you can just check Clearooms to see who has booked which desk!

I think the only thing I would like is the ability to do same day bookings as I don't think we are able to do this, unless I am wrong!

Value for money, we have 80 staff 22 desks. The way other systems are costed was disproportionate to the usage we would have. Also, Dawn is so helpful in my new role I’m dealing with a lot of different systems and struggling immensely with trying to get an account manager or a customer support person to actually listen to me and help me with an issue I have. Dawn has been great for this. Employee of the month.
Cons
As an admin, the back section has quite a lot of intricate detail. I appreciate for bigger companies who have multiple buildings it’s probably required but for our version, the back-end admin system feels overly complex and could be simplified. Sometimes I feel lost when I’m looking for something unless I know exactly what it is that I’m looking for.
