Smooth real-time updates

Pros

I love how it simplifies project management with real-time updates. It's so smooth and responsive, I can see progress instantly without constantly refreshing the page. It also has a fresh, modern feel that really sets it apart from other tools.

Cons

Yeah, it's definitely a unique system so the whole feel of it can be a little unfamiliar when you're starting out. The tricky part is there aren't really clear guides or built-in tutorials to walk you through it, so you kind of have to explore and figure things out on your own. It definitely makes the learning process take a bit longer than you'd expect

User-friendly tool

Pros

I really appreciate how user-friendly it is and the flexibility to quickly find the exact information I need.

Cons

Pros

From the start, Wiplist was focused on managing our internal admin for all staff. As the MD, I rely on its data and reports to understand the business's rhythms and find ways to improve our results

Cons

At first, switching over from our old platform, Brief Case, was a real struggle. But after a few really helpful training sessions with the team, it became a complete non-issue for us

Excellent interface!!

Pros

Wiplist is so easy to use, thanks to its fantastic interface. Getting started was simple and the reporting and time tracking features are excellent, they give us exactly what we need without any complication

Cons

I don't have anything negative to say, the product is both simple enough to use efficiently and detailed enough to use thoroughly.

great multi-project tool

Pros

As a multi-functional tool, Wiplist lets our team effortlessly handle multiple projects like scheduling, cost tracking, estimating and timeline management are all easy and the reporting is fantastic for business insights.

Cons

We do run into a few bugs here and there, which is pretty understandable for a platform that's still growing. A feature I'd absolutely love is the ability to create digital callsheets. If they could link directly to our deal memos and purchase orders, it would let us track the crew on set and send live updates to everyone, kind of like how StudioBinder works.

Perfect for centralizing a solo business

Pros

It's perfect for me as a sole trader because I can manage all my projects, quotes and invoices in a single place.

Cons

I like to offer my regular clients special deals on certain products. While this tool does have a discount function, it's a bit clunky, I have to manually calculate the prices and then they don't even show up correctly on the final invoice. Another headache is with PayPal. Since Wiplist and PayPal calculate GST at different points in the process, the total on the Wiplist estimate never matches what the client actually pays through PayPal which creates confusion.

Highly recommended!!

Pros

Our 10-person design studio has relied on this tool for years and I highly recommend it for time tracking, estimating and invoicing.

Cons

I honestly don't have any complaints. The product hits a great balance, it's simple enough to be efficient but detailed enough to handle all our needs thoroughly.

Game-changing reports

Pros

The custom reporting for individual team members is a game-changer. It finally allowed us to ditch those time-consuming and error-prone spreadsheets.

Cons

We use a separate app for scheduling our projects right now. Wiplist has some of the same features but it's not quite as powerful for our workflow yet. The good news is, I hear they're working on improving that.

Great for tracking time and costs

Pros

It makes tracking time on jobs simple which helps me monitor labor costs and stay on top of client billing.

Cons

It can be tricky to find specific jobs sometimes especially when they have really similar names. I'd love to be able to just search for them using their unique job number instead.

Smooth estimates

Pros

The way it handles estimates and turns them into invoices works really smoothly. We use the scheduling feature every single week to plan our designers time and all the different tracking and report views are super helpful.

Cons

Project Overview table is a constant annoyance. I have my preferred column layout but I have to set it up manually for every single one of our 300+ projects, it doesn't save as a default. I'd also love to mark some items as billed and others as retainer on the same invoice. The scheduler can be glitchy too; when you drag tasks, it sometimes snaps to weird 5-minute intervals and throws off the whole day. Oh and it would be a huge help if we could set up recurring weekly tasks for designers who have standing meetings. And it logs me out way too often.

Easy complex estimates but tedious time entry

Pros

There's a bit of a learning curve but once you get the hang of it, everything just becomes easier. I especially love how simple it is to put together even the most complicated estimates and proposals.

Cons

The formatting options are too limited. I need better font styling to create clear hierarchies in our documents. Being able to duplicate parts would also be a massive time-saver. I've requested this and heard it might come later this year. Honestly just adding tasks and filling in timesheets still feels more tedious than it should be, though I'm not sure what the fix is.

Pros

This platform has been a total game-changer for us. It's helped us streamline our project management and reporting, giving us a crystal-clear view of a project's progress from start to finish, right through to getting paid. Cons

Easy team management

Pros

It's very easy to use and manage our data. I can easily track and manage my team's performance and having all our information in one central location is a lifesaver.

Cons

The search function is clunky. Instead of just typing a job name or number into one search bar, you have to specify exactly what category you're searching in which isn't very intuitive.

Easy agency management tool

Pros

It's customizable and clearly built for this specific purpose. After 25 years in the industry, I can honestly say it's one of the easiest agency management tools I've ever used.

Cons

There are a few small issues. Deleting a task isn't very intuitive, and you can't drag items in estimates. The interface looks very similar throughout, making it hard to find what you need quickly. It would also help to have customer-facing screens to show progress, so we don't have to use other tools.

Easy to use

Pros

It's so easy for everyone on the team to use. Projects update in real-time and we can access everything from anywhere which is a huge plus.

Cons

The timesheet view can be misleading. Even if you log a 15-minute task, it takes up the same visual space as a 2-hour block, which sometimes makes the daily schedule look confusing at a glance.

All-in-one functions, requires workflow adaptation

Pros

It honestly has all the functions I need like estimating projects, tracking time, logging expenses and generating invoices. For the day-to-day admin and accounting side of my work, it covers everything.

Cons

Like any specialized software, it has its own way of doing things. Sometimes it doesn't match my preferred workflow so I've had to adapt. It is what it is.

Perfect tracking

Pros

I've been running my studio for over 30 years and have been using Wiplist since it first started. It handles all my studio's tracking and staff planning needs perfectly.

Cons

The support was fantastic at the start, really personal and direct. But as the company has grown, it's become less consistent. Now I sometimes wait a while for an email reply and I miss having a live chat option. Some video tutorials or better documentation would go a long way.

powerful but prone to data loss

Pros

The connection to other apps like Xero works perfectly and the data and reporting features are fantastic.

Cons

We've had some really frustrating issues with estimates just vanishing. Once, a huge $300k proposal we wrote for a pitch in December completely disappeared, no one at our company or even Wiplist support could find it, so we had to rewrite the whole thing from scratch. Then just last night, I was filling out a phase description on a new estimate and got suddenly logged out, losing all my work again.

Excellent workflow!

Pros

The ease of use, the great workflow and the exceptional customer service make it a winner. I absolutely love the messaging and activity features as they keep all the communication about a job organized and help the project flow smoothly. This product genuinely feels like it was custom-made for our business while other tools we tried only managed to do about 60-80% of what we actually needed

Cons

Nothing major, really. We just had to adjust our workflows to fit the system but that's pretty normal whenever you switch to a new platform.
