What Is Team Procure?
Team Procure is procurement management software for managing purchasing and sourcing processes. The platform starts with purchase requisitions, which it routes through configured approval workflows. It can then convert approved requests into purchase orders and link those orders with invoices, bills, and goods receipts. Team Procure also runs RFQs by inviting suppliers, scheduling tenders, and comparing bids through a pricing matrix.
The software manages supplier records, onboarding documents, performance data, and supplier communications through its supplier portal. It assigns purchases to projects and budgets and provides spending alerts when configured limits are reached. Team Procure then organizes granular spending data into customizable reports and audit trails. It also provides permission controls through custom roles, locations, and module-level access.
What Is Team Procure Best For?
Its standout feature is ‘Purchase Requisition’ management, centralizing the creation, customization, prioritization, and tracking of purchase requests. Its configurable approval workflows route requests based on project or department, while custom forms, file attachments, and instant notifications keep relevant purchasing information connected to each request. This gives teams a structured way to manage requisitions from submission through approval.

Team Procure Use Cases
Based on our analysis of Team Procure’s capabilities, we have identified key scenarios where the software is a good fit for organizations managing purchasing, sourcing, and supplier operations:
Managing Procurement Across Construction Projects
A construction company managing multiple projects may need to track suppliers, project budgets, deliveries, and schedules across different locations. Without a centralized procurement process, project teams may have difficulty keeping these purchasing and delivery details aligned. The software's project tracking capabilities allow teams to monitor project progress alongside deliveries, budgets, and schedules. Its project-based budgeting also lets teams allocate budgets by project and track purchasing against those allocations.
Managing Raw Material And Subassembly Procurement
An automotive company sourcing raw materials and subassemblies may need to coordinate purchase requests, suppliers, and product information across multiple projects and departments. Disconnected purchasing processes can make it difficult to route requests, manage approved suppliers, and monitor vendor performance. Team Procure's Purchase Requests feature centralizes requests and approvals, while Supplier Onboarding provides a single platform for managing suppliers and tracking their performance. Its Product Management capability organizes products and services so they can be readily ordered.
Preventing Production Delays From Low Inventory
A manufacturing company may risk missing production deadlines when critical materials or inventory items run low across its warehouses. Teams may also need a central way to identify which items require attention before placing new orders. The platform's Inventory Management feature tracks inventory items across warehouses and supports reordering when stock reaches critical levels. Its Critical Items repository also keeps important items centralized for easier ordering.
Managing Medical Supply Availability
A healthcare organization may need to coordinate medical supply purchasing across multiple departments while monitoring product availability and delivery times. Delays in acquiring required supplies can disrupt the procurement process and make it harder to maintain consistent availability. Team Procure's Custom Products feature provides a centralized catalog for frequently used items and supports reordering as needed. Its supplier management capabilities also provide a single system for tracking suppliers involved in the purchasing process.
Is Team Procure Right For You?
Are you looking for procurement software that connects purchasing, sourcing, supplier management, and spend analysis in one platform? Team Procure addresses disconnected purchasing workflows and approval bottlenecks by centralizing requests, purchase orders, supplier data, and approvals.
The platform references compliance with the General Data Protection Regulation (GDPR) when processing personal data and requires users to comply with applicable data privacy regulations.
For security and scalability, it uses account access controls and security keys, while its cloud-based architecture supports additional users and workflows as business needs grow.

Team Procure Features
Purchase Orders
This feature allows teams to organize Purchase Orders (POs) by project and department while maintaining visibility into order amounts and delivery schedules. Team Procure lets users create POs within budget limits and receive alerts as spending approaches configured thresholds. Users can also add bills, record goods receipts, log payments, and use 2-way or 3-way matching to reconcile orders, received goods, and bills before payment.
Spend Analysis
Team Procure features Spend Analysis that provides a detailed view of organizational spending across projects, departments, suppliers, locations, and item categories. It lets users compare allocated budgets with actual spending to identify deviations and overspending. Users can also analyze supplier expenses, track paid and unpaid amounts by location, measure savings from RFQs, and create customized reports with visibility rules and scheduled generation.
RFQ Management
Through RFQ management, teams can invite suppliers, set bidding timelines, and collect offers with custom fields for delivery dates, warranties, and attachments. The software supports custom price adders for costs such as freight and packaging, enabling consistent offer comparisons. Teams can review item-level pricing, estimate potential savings, and convert selected offers into one or multiple purchase orders.
Supplier Management
The software lets teams manage suppliers by centralizing supplier details, documents, and profiles in a searchable repository while categorizing vendors by product lines, services, or other criteria. It supports supplier evaluations using default or custom scorecards and tracks performance over time. Teams can also use supplier analytics to review spending, lead times, and supplier performance through reports.
Supplier Portal
With the Supplier Portal, teams can manage supplier onboarding through customizable registration forms, category-specific questionnaires, and configurable approval workflows. They can send invitations individually or in bulk, review supplier submissions, and request changes before approval. The portal also provides suppliers with a centralized dashboard for purchase orders, tenders, and bills, along with live chat and file exchange capabilities.

“Easy to search documentation”
Pros
I really appreciate how convenient it is to search documentation for both current and past requests and orders. The system is also flexible enough for all kinds of users, regardless of technical skill and the user-friendliness is excellent. On top of that, the interface is clean and neat which is definitely a nice bonus.
Cons
It would be better if orders could still be modified after an order request has already been submitted.
