Clean design and proactive support team

Pros

Running our clinic with this system has been an excellent experience. It's very user-friendly, well structured and has a polished, professional appearance that keeps everyday tasks efficient and organized. The layout feels user-friendly so training new staff is simpleand doesn't add unnecessary stress. One feature that has been especially valuable for us is the detailed client records and charting. Having secure, comprehensive client information stored in one place gives us real confidence when it comes to compliance and staying organized. The photo tool is another big plus since it makes it simple to document treatments and monitor progress which is incredibly important in an aesthetics clinic. We've also been really pleased with the support and training videos. Their team is responsive, knowledgeable and genuinely invested in helping clinics get the most out of the software. It's also encouraging to see new features being rolled out more often because it shows they're actively improving and developing the platform. Overall, it has been a secure, capable and beautifully designed solution for our clinic and we're extremely happy with it.

Cons

Even though we're very satisfied overall, there are still a few things that could be better. We're not thrilled about paying extra for text reminders and email communications. It would also be much more convenient to have a view-only option for client documents instead of having to download them every time. Another feature that would really help is a tagged before-and-after photo gallery so results could be shown more easily during consultations.

Patient customer care team

Pros

The support team was very helpful and patient the whole time. They guided me through everything I needed to do and she was absolutely awesome.

Cons

At the beginning though, it felt like we were getting the runaround because no one could pinpoint where the problem was.

Outstanding support

Pros

Support has been incredible and the platform feels very user-friendly while including everything I need to run my medspa business.

Cons

Pros

Since 2018, Aesthetics Pro Software has been a real growth partner for my medical spa and we've been operating for 17 years.

Cons

I really don't have any major complaints. The only downside has been that adding new documents for new services felt expensive.

budget-friendly EMR

Pros

Using AP has been a really positive experience. The software is user-friendly, reasonably priced and the customer service has been excellent. We also value that AP keeps improving the system instead of letting it stay the same. On top of that, their team checks in with us regularly to make sure everything is going well which we really appreciate. Features like the patient portal are also a big plus since tools like that help us stay current and competitive.

Cons

A few areas could still be better. Uploading pictures could be more simple and it would help if invoices could be edited on a later date when necessary. We'd also like to see more flexibility in the commission setup since we pay commission based on net profit and that option currently isn't available in AP. It would also be much more convenient if we could scan our forms directly into AP rather than having to create them from scratch.

centralized solution

Pros

Having all the patient information I need in one place has been really helpful and the customer support during training was excellent.

Cons

I'm still getting familiar with the software overall and up to this point everything has been going well. The only challenge I've had is entering older patient information.

Stellar support

Pros

The thing that has really stood out is how responsive, knowledgeable and supportive the customer service team has been every time I've needed help. The platform is also highly versatile and it keeps improving with new features and updates which makes it a good fit as my business expands and my requirements become more advanced.

Cons

The biggest limitation has been the lack of stronger integration options with other platforms. It performs well as a standalone system but more smooth connections with accounting, marketing and e-commerce tools would make day-to-day workflows much more efficient.

Hard to upload pictures

Pros

monthly cost is reasonable and the scheduling calendar is useful.

Cons

Uploading pictures feels far too complex. I also can't load scanned documents into the patient record in AP and getting to the camera to take photos is harder than it should be. There really should be simpler links to patients documents and pictures.

Helpful recorded sessions

Pros

The staff made sure I understood how to use the website and took the time to walk me through everything clearly. The meetings were also recorded which has been really helpful because I can go back and reference them whenever I need to.

Cons

There's definitely a lot to absorb at the beginning but having the right trainer makes a big difference. Once the training is finished and you spend some time clicking around on your own, it starts to feel much more manageable.

wonderful one-on-one training

Pros

one-on-one training has been outstanding. Every support person I've talked with has been friendly, patient and really clear in the way they explain things.

Cons

Awesome customer care

Pros

Customer service has been the best part of using it. I've been on it for the last 7 years and there are a lot of features that I really appreciate.

Cons

The AP Marketing Template is very hard to work with. It regularly throws errors and takes far too much time to use. I've reported the issue several times but nothing has improved. I'm also let down by the gift card feature. It would be much better to have a real gift card image available to email to clients. Thank you for looking into this.

Useful tutorials

Pros

Getting started can be a bit confusing at first but the tutorials are really useful and the support team is incredibly helpful. They're easy to reach and do an excellent job walking users through the platform whenever needed.

Cons

There's definitely a learning curve with the platform and some parts don't feel very user-friendly so it can take extra time to find your way around certain features.

Competent support staff

Pros

Between the security, strong value for the cost and responsive customer support, this software has been a really positive choice. It handles patient record management and overall patient management very well, payment processing works reliably and the charting features are also a big plus.

Cons

I really haven't run into anything I dislike at this point. The only difficulty has been the learning curve that comes with starting any new system and that has more to do with me not being very tech-savvy than with the software itself.

simplicity stands out

Pros

One thing that really stands out is how simple it is to use and the fact that we can rely on it to send emails and market directly to patients is a big plus. This software will definitely help us step up our game.

Cons

Well designed system

Pros

Helpful guidance throughout

Pros

Their team covered exactly what I needed and I appreciated having plenty of time to review everything. It was also really helpful that they walked through it with me instead of rushing.

Cons

Nothing major comes to mind but I do wish they had sent the link by text. I had to download the app first and logging in took a little extra time.

I love the ability to create patient records

Pros

Using it feels very simple and the tabs you can switch on really help make things more efficient. I'm also able to create patient records without any trouble.

Cons

the training session felt too short. I'd prefer it to last an hour and next time I'd like to log in and share my screen during the session.

Slow support wore me down

Pros

Launching my business with this as my first EMR felt exciting because it came across as very modern and high-tech. It worked well as a starter system and helped me get going but once I began expanding my services, it no longer fully matched what I needed.

Cons

Running into problems with it was incredibly frustrating. There was never a way to speak directly with someone or even use live chat. Instead, I had to open a support ticket, wait for a reply and keep going back and forth that way. At times, resolving a single issue could take several days.

Good integrations but tedious forms

Pros

The pricing and integrations are the biggest wins here. The reports also seem pretty accurate and outside of that, it does what I need it to do. Honestly, every EHR has its shortcomings.

Cons

Creating forms and consents is the frustrating part. There really should be an option to upload your own because having to build them manually takes a lot of time and effort with all the toggling and typing just to get them to look the way you want.
