Workflow that simplifies staff training

For our team, the workflow suits us very well and we find it easy to onboard new hires because once someone hits the update button, the prompts clearly guide them on what step to take next which makes training much easier.

Cons

I find that certain reporting features prevent me from using the back button which forces me to repeatedly restart the process for every program I attempt to run, creating a frustrating interruption in my workflow.

I like the flexibility in the form builders and reporting tools, since I can design virtually any form I require and then extract the resulting data from the system with minimal effort.

Cons

I've run into problems because it doesn't integrate smoothly with Dr's First and Carasolva, maybe they're incompatible or just don't play nicely togetherand on top of that, I really feel the product lacks a proper patient portal for pushing forms to clients, collecting payments and sending appointment reminders.

Simple tracking and monitoring

From my perspective this program is great because it's simple to learn and I can easily pull up our roster to monitor each person I support and keep detailed track of everyone I serve.

What bothers me most is that since the recent upgrade the notes print with fonts that are far too small to read comfortably and I really wish the developers would revert the typesetting to a larger font size.

easy platform, gentle learning

While I've used several other platforms, I really appreciate how easy this product is to use overall because it lets me get things done quickly without a steep learning curve.

Cons

It would be great if there were ways to import precisely the specific pieces of data I need into the report buildersbecause right now some builders include options that others simply lack which ends up making parts of our reporting fairly difficult to accomplish. I often find myself wishing for the ability to pull exactly and only those particular fields onto a single report, since having that level of control would make the system feel perfect for our needs. Additionally, I'm interested in learning more about the Medicaid functionality within this tool, although I don't believe we currently have access to that module.

Useful tool

Pros

We originally used this tool as our company's electronic health record for a period before transitioning to RMA and even now we continue to use this tool within our department as an internal roster system while also relying on it to supply e-consent values to the Bronx RHIO and to Healthix, so it still plays a useful role in our workflow.

Cons

Simple reporting and scheduling

Pros

I've found it incredibly simple to generate reports, any data entered into the system can be pulled into a report which makes analysis easy and the Form Builder and Plan Builder are incredibly user-friendly, while scheduling through the Charting Timetable works brilliantly. Overall, it's a very simple EHR.

Cons

One change I'd like is that every form could trigger a notification to the required signers so they know there's something awaiting their signaturebecause at the moment I have to follow up manually. I'm also really eager for a client portal so the people we support, or their guardians, can sign documents directly online and another small but important change I'd like is in the progress notes, being able to tick off a goal and immediately have a textbox appear beneath it where staff can describe how they supported the person before moving on to the next goal. Despite these wishes, this remains the best EHR we have ever used.

Having used this platform, I've found it remarkably user-friendly and quick to adapt whenever regulatory requirements change and their support team and help desk consistently provide excellent service, it's a full-featured system that supports electronic records and because access is permission-based I can see HR, Quality Improvement, auditing, billing and program teams all operate within the same platform, while the developers continually push updates and improvements.

Flexible configuration and reporting

Pros

In our agency, I find this software gives us the flexibility to create and configure programs individually or organization-wide. Using the FormBuilder, I can design forms exactly how we want which made implementation smoother. The ReportBuilder lets me craft reports for specific users, programs, or the whole agency, helping us congreatate and track data efficiently. Thanks to that, I can monitor program success in real time. Throughout our transition from paper charts to electronic records, the implementation consultants were supportive and the senior consultant we were paired with afterward remained responsive and helpful. In my role as implementation researcher and system administrator, I've worked directly with several team members who consistently show professionalism and problem-solving skills. Based on the positive results in our first three years, I'm planning to expand by adding the BillingBuilder feature soon.

Cons

I've noticed that it doesn't offer a native mobile app. While I can access it through a mobile browser, it becomes cumbersome on smaller devices when staff are in the field. Employees have mentioned that a phone app or a smoother signature workflow would make on-site client or family signatures much faster. We've also had repeated issues with e-signatures and alerts notifying users when forms are ready. The helpdesk always resolves the problems but since they recur, I list this as a con.

accessible platform and improves workflow

Pros

This product is really easy for everyone on our staff, from Direct Support Professionals to Executive Leadership. That accessibility has made daily operations smoother. Our implementation specialist worked closely with us to customize forms and workflows which made adoption much less stressful. While configuring the BillingBuilder took time since it was different from our old system, we had plenty of support. One of the biggest benefits has been the Reporting tools, managers, executives and other staff all find them easy to use and extracting data now drives process improvements and boosts efficiency.

Cons

A few areas could use improvement from my perspective. One example is the notification tied to the new E-Signatures Configuration for Progress Notes, our workflow requires staff to sign notes after review but the system immediately sends a notification even if the staff member already signed it. I'd like a way to disable that alert. Another challenge arises when creating new forms different from the current version, we need access to older forms across several ReportBuilders for compliance but this tool doesn't provide an obvious way to move forms. If a form is moved to a blank holding area, I can only access it through client history which complicates regulatory reporting.

Some parts of the software feel outdated and clumsy and in my experience they desperately need a refresh, yet the company's communication about when or how those areas will be modernized has been disappointing, I haven't received clear updates on progress. Lack of iRecord Integration Limits Reporting

Pros

Perfect tool because I can design custom forms to gather necessary information and then generate reports that are genuinely useful for coordinating with different specialists. It also lets me define rules for progress notes, e-signatures and billing, keeping workflows controlled and consistent.

Cons

We're hamstrung by the fact that this tool can't talk directly with the New Jersey Department of Human Services' Division of Developmental Disabilities, particularly the iRecord platform and because of that gap we miss out on easy interoperability that would otherwise let utilization reports automatically pull in the necessary metrics, something that's simply not possible with our current setup. For instance, the ISP (Individual Service Plan) and the SDR (Service Detail Report) within iRecord clearly list the billable units assigned for a calendar year or any defined timeframe and if those figures were easily available inside this tool across programs and individual records, we could run congreatated reports showing both the units allocated and the units already used which in turn would reveal any lost potential revenue, instead we spend considerable time manipulating and reconciling data to reproduce the same insight. Beyond the reporting pain, having that direct connection would greatly simplify transferring ISP/SDR figures into this platform and eliminate much of the tedious manual entry that currently drains staff time.

I could talk endlessly about how useful the module has been. It's user-friendly and made onboarding far less painful than expected, even with a team initially anxious about switching systems. Aggregates agency information easily

Pros

Having worked at several large agencies, I rely on this system to gather information across all programs without missing anything which is extremely helpful. Generating reports is easy and I can produce virtually any type needed, from board reports to individual staff feedback. I can drill down into single programs, select a subset, or review everything at once, whether I'm looking at homeless services, veterans programs, domestic violence supports, shelters, senior services, or more.

Cons

I feel the platform has a great deal more unrealized potential and while the developers are clearly working to improve each section, I often wish it would operate faster, it's not from lack of effort on their part, rather there's simply not enough time in the day to wait for slower processes which can be frustrating when I'm trying to get through a heavy workload.

great tool

Pros

It includes a 'formbuilder' tool that does exactly what it suggests, it lets me convert any of our existing organizational forms into the system. Using an simple, user-friendly interface I can pick and place dropdowns, text fields and other input elements and then save that custom form so it appears throughout the application, for example on a client's face sheet, inside progress notes and in other relevant areas of the system.

Cons

While I find much of the platform useful, several areas feel tough and could use refinement. To illustrate, there's a charting timetable where I can set up reminder events so staff receive tickler alerts but frustratingly that timetable doesn't integrate with the module where the corresponding action, say an assessment, is actually completed. Because those two pieces don't communicate, I or my colleagues must manually update the timetable with completion dates which is inefficient, I would much prefer if that workflow was automated the same way their PlanBuilder (Treatment/Service Plan) module functions.

smooth paper-to-digital transition

Pros

We made the leap from paper files to this software and our organization found the transition to be quite easy, the company's technical team provided substantial support and walked us through every phase of the migration so we never felt left on our own. They were consistently reachable and quick to reply whenever we had questions which made staff training much easier because it proved simple for our team to pick up and navigate. The ability to upload our own forms and tailor various sections was a major deciding factor when we chose to buy this platform.

Cons

Great tool overall but I do wish there was a simpler, single-step way to print an entire record. Right now, it requires navigating several screens and completing a few extra steps which makes the task more time-consuming than it should be. Based on my experience with this vendor, though, I'm optimistic they'll implement this convenience eventually since they listen to user feedback and make product improvements.

User-friendly and configurable tool

Pros

From my perspective, this program is remarkably user-friendly and highly configurable and it even manages to meet the reporting demands of several different funding sources at once which in my experience cuts down on an enormous amount of administrative time, the help desk has always been excellent and the product team is a pleasure to collaborate with, while I particularly value how easy it is to set up and run key performance indicator reports.

Cons

Haven't come across any major drawbacks in my use. The pricing feels reasonable and in my opinion, it's a great fit for agencies that need to comply with HUD's HMIS reporting and program requirements.

Mobile-friendly and reliable tool

Pros

It is remarkably simple to use and highly accessible and I love that it performs very well on our mobile tablets, while their technical support team has been outstanding whenever we've reached out.

Cons

To be honest, for everything we need, this solution covers all our requirements without leaving any gaps.

Not very intuitive platform

Pros

I appreciate that it's highly customizable and I find it easy to access and operate the specific features I rely on regularly.

Cons

I do wish there were more built-in guides or prompts to help me discover features because I've found that figuring everything out on my own isn't always very easy.

Handles multiple programs

Pros

After almost two decades on this tool, I've stuck with it for 18 years and haven't regretted the decision, our organization runs more than fifteen distinct programs, each with its own reporting demands and AWARDS handles them all. My managers can keep an eye on multiple programs through daily keyword alerts that get sent automatically and they can pull up Service Plans, Reviews and Assessments in just a few clicks. We also appreciate being able to design and modify our own forms whenever reporting requirements shift which keeps us flexible.

Cons

Because it's web-based, I occasionally notice minor glitches but whenever I report an issue, the support team fixes it quickly. Those brief interruptions usually don't derail our workflow.

valuable documentation and compliance

Pros

For our team, the documentation, auditing and compliance capabilities have been incredibly valuable and while we're still getting up to speed with Billing Builder, I appreciate that the tool's features are continually being enhanced through regular updates, additionally, the report and form builders have provided substantial benefits to our organization and their training arm is excellent, offering numerous complimentary sessions that cover different modules, recent additions and other features in depth.

Cons

Some functions require a lot of data entry which I find tedious and time-consuming. The Billing Builder has a steep learning curve that took significant effort to master and certain features, like Form Builder, are limited to a few users. Setting up Billing Builder and scheduling workflows can also feel awkward and difficult at times.

organized and easy reports

Pros

the way everything is organized and presented really helps since it tends to be quite simple when I'm handling easy tasks and I can generate reports without fuss, although they aren't extremely granular, still, the way those reports are formatted usually makes them easy for me to scan and understand.

Cons

Not a con but I get frustrated when I make a mistake because going backward is tricky. Often, I have to restart a process from scratch instead of picking up where I left off. For example, if I slip up while entering a service, I have to start over, whereas in other areas the back button works. That inconsistency really slows me down.

feasible and highly reliable tool

Pros

When I compare this program's system to other e-prescribing and clinical products I've used, it clearly stands out as a far superior option in terms of overall performance and usability and it feels much more simple for everyday tasks, over the past eight to nine months I've noticed the support team improve dramatically, with response times now being excellent which has made a real difference in our workflows. From my perspective this solution outperforms similar e-prescribing programs we've tried: the documentation is far more accessible to everyone who needs it, the forms are simpler to complete than those in other systems I've found at different mental health clinics and the e-prescribing flow has been significantly smoother, in fact, for the last nine months we've had no major issues. When I prescribe with this tool it takes far fewer steps, it's faster and more simple and I can immediately confirm whether a prescription was successfully transmitted which is something I've often not been able to do with other vendors that can leave you wondering for days whether a transmission ever reached the pharmacy, that kind of uncertainty has caused patients to be unable to fill prescriptions in other systems, sometimes only revealed after several days. Considering the relatively low cost, I find this program delivers far more value than many of the inefficient, pricey alternatives we evaluated. From what I understand and from my hands-on experience, the control panel is easy enough for clinic supervisors to manage directly, enabling them to resolve common problems with progress notes and other clinical forms without needing constant vendor intervention. I will admit that when we first rolled it out the initial training wasn't as thorough or comprehensive as I would have liked but over the last nine months the agency supervisors have done an excellent job training staff and that particular issue has improved markedly, overall I now have a very positive impression of this system and I would recommend it.

efficient, cost-effective platform

As an RSS customer since 2008, I've watched this technology evolve and consistently rely on it because it delivers an efficient, cost-effective product that supports a wide range of program types and given how quickly things change these days, partnering with a vendor that stays innovative and responds promptly seems critical to the long-term success of all agencies.

approachable and knowledgeable team

Pros

Speaking as the Administrator at a peer-run, peer-operated agency in New York City, I can honestly say that the people behind this technology are approachable and very well-informed and whenever I've had a question or run into an issue they jump on it right away to get things sorted out. Over the years I've worked with a variety of mainframe and web-based databases and hands down this one has been the least frustrating to use, largely because the screens are simple and there's a surprising amount of flexibility built in for customization. Often I find there are multiple routes to accomplish the same task which sounds like it could get confusing but in practice means I don't have to backtrack when moving on to the next step. When I need to add or modify a list of options, it's typically done almost immediately. On the regulatory front, particularly with changes in the mental health field, they stay proactive and keep everyone informed about upcoming updates and they continually adjust the software as new service guidelines are issued by oversight bodies. They also communicate when they're rolling out major changes so I'm not blindsided. The online help documentation is updated to mirror software changes and includes step-by-step instructions for many common procedures which I rely on. I also take advantage of the free monthly web trainings and refreshers they offer and I find the annual Expo to be invaluable because it features numerous workshops tailored to anyone from line staff to managers, administrators, IT personnel and executives, with staff available to answer questions in person. Because of all this, I've recommended their software to anyone who's asked for my opinion.

Cons

Don't have any negatives to report, nothing about the product or the support has been frustrating for me.

great for data reporting

Pros

I've found the product outstanding, it has been instrumental in gathering essential data and allows me to produce a wide range of demographic and statistical reports for my program. The interface is simple and includes numerous critical features. Their customer service is excellent, with skilled support staff available to help with technical issues. Overall, I can't think of any negatives to report about my experience with this product since 2007.

backbone of daily workflows

Pros

Ive relied on this tool at Lakeview for well over a dozen years and in that time it's really become the backbone of how we manage daily documentation and routine functions, easily supporting our workflows. From the very day we signed up through the present, we've worked with the same Senior Project Manager which has made communication far smoother and more consistent than I expected. As regulations shift constantly, I've appreciated that the platform can evolve with our organizational needs, scaling and adapting rather than forcing us to retrofit processes. What stands out for me are the 24/7 Helpdesk resources that get issues resolved quickly when the comprehensive online help doesn't cover something, plus the Meaningful Use Certification and HIPAA compliance that were decisive for our procurement. Because the software is web-based, our staff can work remotely without missing a beat and the addition of certified electronic signatures is finally moving us toward our long-term goal of fully paperless electronic records.

Cons

I don't really have any complaints to offer, there aren't any glaring drawbacks I've found and nothing significant enough has come up for me to list as a con given how well the solution fits our needs.
