top service but glitchy forms

Pros

Hands down, the best part about it for me is their customer service, it's exceptional across the board! That includes both the IT team and the Sales staff. I also appreciate how much you can tailor workflows and the range of functional medicine templates they offer.

Cons

My biggest frustration is with the fillable templates. when I populate them into subjective notes, apostrophes get turned into question marks and some fields simply don't transfer over, so not every item populates as expected.

Very helpful for small business

easy to use platform

Pros

From my experience you can really tell the platform was built with a lot of thought. It's not just functional it feels simple and easy to work with which makes all the difference day to day. And they've nailed it about the team ! On those rare occasions when something does go sideways it's so reassuring to know there are real people behind it who are genuinely great at stepping in. They don't just throw a FAQ link at you.. they actually help you solve the problem which honestly makes you trust the whole system even more.

Cons

Reporting isn't the most simple. It's great and meets my needs but isn't super easy to navigate and the password reset function could use improvement.

Pros

The support team, learning resources and overall EMR experience are what I admire most. It feels welcoming even if you're not highly technical.

Cons

Highly customizable all in one

Pros

I've liked how customizable the system is and how often improvements are rolled out. Support tickets get handled quickly and having billing, scheduling, charting and inventory all in one place has been a huge advantage for me.

Cons

I noticed that there are small inefficiencies in daily use like how things sort or appear which can add a few seconds to tasks and cause mild frustration.

simple tool with growth

Pros

For simple use cases this tool has worked well for me and offers a lot of room to grow. I've seen many upgrades over time and being able to reach the team easily and get fast answers has been one of the best parts of using it.

Cons

I would like to be able to graph and track wound sizes over time. For now I copy and paste an Excel chart into the notes. The photo system seems geared for aesthetics so before-and-after photos are limited and I have to upload all my images under documents.

Flexible charting for practice

For my functional medicine practice I find this tool really helps with documenting non-traditional details without making charting feel complicated or limiting.

Cons

My MA cannot enter diagnostics during a session while I am charting concurrently. When she adds results in a general note I lose all the supplements and continuity is broken for the next appointment which is very inconvenient.

smooth daily EHR flow

From my experience the flow of the EHR works well for daily use and I personally appreciate how quickly the support team responds whenever I submit a ticket.

Cons

The patient educational handout link under the email system has a drop-down but no search function so I have to scroll through a long list to find the right handout which is tough.

Fast template based charting

Pros

When it comes to charting I rely on the ease of building templates that let me work faster and I like that I can type freely, add my own notes or use click-based options depending on the situation.

Cons

Video quality on the virtual platform isn't great in my opinion and while they're switching to Zoom the per-minute cost might become expensive.

Using the app on my phone has been a big win for me since I can move around the system easily and always find the information I need without hunting for it.

Cons

I find it takes a lot of clicks to locate what I need when a chart is open. Unlocking a chart requires several steps rather than opening directly from the "charting history."

simplifies solo provider work

As a solo provider I can honestly say this tool has simplified my daily work a lot and I regularly jump into their live office hours on Zoom when I need guidance which has been incredibly helpful.

Cons

If I could change one thing it would be making it easier to add consent forms to an appointment in real time. Currently these must be pre-configured as add-ons which also add extra cost. I do wish there were a clearer way to view each individual patient's experience on this tool.

As a practice, we find the system incredibly easy to use, our notes are simple to create, the built-in eRX is fantastic and the single-step billing workflow makes things so much simpler, we really love it.

Cons

When I log into it on my phone I can't send prescriptions which is frustrating. I'm uncertain whether the problem comes from MDToolbox or Optimantra itself. If the developers could resolve this issue it would make a big difference for me when I'm out and about without access to my laptop.

Fantastic choice for my clinic

easy to learn with great help

Pros

It is simple to pick up and the Support Team has been incredibly knowledgeable, helpful and quick to respond to any tickets or questions I raise.

Cons

We often find ourselves using the same forms, consents and other documents repeatedly and I wish each file could have a unique document or form number attached for easier tracking. It would also make life simpler if we could export a complete list of those forms.

perfect for an integrative practice

Pros

It has really changed how I run my integrative practice. Scheduling is simple and efficient, new patients can book through my website using an embedded link and they automatically get confirmation emails that include links to intake forms and consents, so I'm not constantly chasing paperwork. The patient portal is clean and easy to use and my patients often tell me how user-friendly they find it. I especially like being able to send treatment plans right through the messaging system, and having a secure place where patients can upload labs or other documents. The library of educational handouts is a great bonus & it gives patients access to reliable information whenever they want. A feature that stands out for me is the Fullscript integration inside the chart note and it has saved me a huge amount of time and tightened up my workflow. I use Fullscript with the majority of my patients and appreciate how simple it is to recommend and manage supplements directly from the note. I also rely on the e-prescribing and lab-ordering tools which are both built into the chart note, those integrations have noticeably improved my workflow and cut down on administrative time. Telehealth has been smooth, the built-in video chat works reliably and patients find it easy to connect. I've also invested time customizing email and charting templates which makes daily documentation faster and more consistent. And I have to say the support team deserves praise, they're responsive, helpful and usually resolve issues quickly, often getting back to me within hours.

Cons

Every so often I run into a feature or task that doesn't feel very interactive, sometimes there seem to be extra steps to get something done. That said, the team is always rolling out updates and making improvements and I've already noticed some of these rough spots getting better since I started using OM.

good but sometimes slow system

Pros

I have been using it for the past two years and overall my experience has been pretty positive. What I appreciate most is how user-friendly the interface is, moving between patient charts and placing orders feels natural and efficient. The system is neatly organized and the ability to customize templates really speeds up documentation which is a huge advantage when the clinic gets busy. In general, those workflow efficiencies have made my day-to-day tasks much easier to manage.

Cons

The biggest drawback for me is that the system can be slow to load certain features at times and there are occasional downtimes that disrupt the workflow. Those interruptions become especially frustrating on high-volume days when every minute counts, and they can throw off an otherwise smooth clinic schedule.

helpful support after a tough start

I am happy with their customer support, whenever I can't track down an answer in the help center, I submit a support ticket and someone typically replies to me the same day or by the next day.

Cons

Great for acupuncture practice

Pros

For my acupuncture practice this is ideal. It takes care of all the tasks I need it to perform, in a simple and efficient way. Admittedly there was a somewhat steep learning curve that lasted about a week but their team was incredibly supportive. Also, the cost seems quite fair. I would strongly recommend it especially for acupuncture.

Cons

Troubleshooting can be more difficult than I'd prefer. There are occasions when I end up searching through multiple menus and options for quite a while before I finally find the exact setting I need to change to resolve an issue.

Helpful support for a complex system

Pros

I love being able to record IVs and that the system automatically deducts supplies from my inventory, which saves me time. I've also found their customer support to be really helpful and responsive.

Cons

it's a little complicated to use. I don't find it very user-friendly as an EMR unless I've received thorough training.

Valuable one on one onboarding

Saved me from a nightmare system

Pros

The level of service and the warmth from the onboarding team (sensitive content redacted), along with their quick responses, have been absolutely outstanding. After leaving ECW EMR which was a nightmare for me, moving to Optimantra has made a huge difference in my workflow and in how quickly I can finalize charts. Their online scheduling is exceptional. I don't plan on switching again, truly very satisfied.

Cons

My only con is that it doesn't integrate with my lab provider, Quest which is inconvenient.

best choice for an organized clinic

Pros

I picked it for Azalea Primary Care after comparing multiple systems. Installing it has helped our clinic run at an exceptionally organized and high-performing level. Now we keep all charts in one centralized repository, which makes accessing patient information simple. I can quickly jot down notes during a visit or add them right afterward, saving time and cutting down on potential errors. Optimantra also alignes our billing and coding processes for Azalea Primary Care, once charting is finished we can submit claims immediately through the platform. We've noticed faster reimbursement cycles and very few denials. All told, Optimantra has truly changed the way we operate at Azalea Primary Care, daily workflows are more efficient, team communication flows better and the improved accuracy in patient records lets us spend more focus on patient outcomes instead of drowning in paperwork and administrative burden.

Cons

I can't find any drawbacks. There really isn't anything I dislike about this system.

Overall my experience has been very frustrating. it feels clunky and overly convoluted and there are almost no integrations available, it doesn't work with Square or PayPal and there's no Zapier or Make connection. The calendar is hard to read and awkward to use, there's no mobile app and the user interface is basic and frankly terrible. Marketing features are almost nonexistent and there are no automation tools or gift card options. It took four months just to get the system live. Webhooks are extremely limited and I can't even link Google Analytics, my own Twilio account, or use Google SMTP for email. Customization options are very restricted. To make matters worse we lost all of our forms at one point which in theory could be a HIPAA violation, thankfully it happened before we went live and there was no patient data but we still had to recreate everything from scratch. If my nurses hadn't disliked the EMR so much I might have tried to tolerate these issues, but because they did I would drop it immediately, it only functions as an EMR and nothing more. It honestly feels like the app was designed by doctors who don't understand software or user experience and built by developers who haven't spoken to people who actually know marketing, UX or sales.
