Pros

Navigation is very simple and there are options upon options when it comes to customizing the app for virtually any modality and any type of setup, whether you're working from home or in a clinic.

Cons

There can almost be too many choices to sort through at times.

helpful reminders and records

Pros

Keeping financial records in one place has been really useful and the email and text reminders sent to clients are a big help. It's also convenient to print or email receipts and other financial transactions. On top of that, being able to store SOAP notes and let clients schedule appointments online makes day-to-day work much more manageable.

Cons

Every now and then, there are glitches when someone tries to book an online appointment and it doesn't actually go through. When that happens, I can end up with two people showing up at the office.

affordable and always improving

Pros

The price is one of the biggest advantages and I appreciate that the platform keeps getting better with regular improvements. Customer service has also been excellent whenever needed.

Cons

One thing I'd still like to see changed is the practitioner order in the calendar since it's currently alphabetical. It would be much better if that could be customized, similar to the recent update added to the booking page.

all-in-one clinic workflow

Pros

Everything is neatly brought together in one program.. scheduling, billing, appointment reminders, client information, charting and the rest.. so the whole workflow feels much more organized.

Cons

I still separately create my own health history and EHB forms since I'm not a fan of the form options available in Noterro.

affordable and feature-packed

Pros

One of the best things about Noterro is the reasonable price. It's simple to use and already includes the features I was looking for.

Cons

haven't run into any major problems. Once in a while, there's a specific function I wish it could handle that hasn't been added yet but a lot of the time that feature ends up being released later on.

constant updates and helpful support

Pros

Back when it was still called Soap Vault, I started using it in 2015 and it has improved tremendously over the years. Nearly every month, I get emails about new features and added functionality and the best part is the price has stayed the same. I also posted a question in a forum over the weekend and heard back in about six hours from a customer service rep which was genuinely impressive.

Cons

There is definitely a bit of a learning curve at the beginning and it is not as simple as some of the other appointment managers I have used before. That said the trade-off is that you get much more control and customization when managing appointments.

fantastic notes and scheduling

Pros

Quality for the price is outstanding. Between the attention to detail in the software, the responsive customer service, the fair cost, the online scheduling integration, the simple workflow and the ability to create anatomically detailed notes, I really can't say enough good things about it. I recently launched my own business and choosing this software has easily been one of the best decisions I've made. I genuinely look forward to using it every time. The note-taking tools alone help me deliver a better experience for my clients. Anyone working with the human body would get real value from SOAP Vault. Huge thanks for the care and effort that clearly went into building such a detailed product.

Cons

I'd love to see added text message notifications for practitioners when an appointment gets booked. At the moment, notifications only come through by email.

digital charting with helpful updates

Pros

One of the biggest advantages lately has been the new file attachment feature since my regulator requires specific documents to be linked to every client chart note. The update that lets me draw directly on images has also been one of my favorites. On top of that, the help centre replies very quickly and the customer service has been excellent. SOAPvault has made keeping everything digital feel almost smooth.

Cons

Not being able to build my own fields on health intake forms does feel restrictive especially since healthcare regulatory requirements vary from one province to another. I've had to come up with creative workarounds because I deal with both public healthcare and private coverage but there's only a field for private insurance information. More importantly, while I can see how much revenue I bring in overall soAPvault doesn't let me track how much of each treatment was paid through insurance versus cash, debit or credit. Right now, my invoice only gives me a basic "treatment paid by" and "cost of treatment" option. Having previously worked as a medical office assistant, I really prefer a more detailed invoicing and payment-entry system so I can keep both payment records and insurance billing together in one place. The lack of payment and insurance billing options in SOAPvault becomes a real problem when clients need to submit invoices showing amounts already paid toward secondary or spousal insurance plans. That affects my business quite a bit especially since direct billing with insurance companies is an important part of how I attract and keep clients.

helpful reminders and clinic insights

Pros

This program has a lot going for it: birthday reminders plus 3, 6 and 12 month follow-up reminders based on when a client was last seen. The calendar is simple to use and I really appreciate that a "break" can now be added which also works well for blocking off personal appointments so nothing overlaps if the schedule gets extended. The dashboard is simple to navigate. Adding "Clinic Policy and Terms" was a major improvement and has made a real difference for our practice from both a legal and CMTO standards perspective. Clinic Analytics is also a useful addition, giving a nice overview of business performance and client trends.

Cons

The biggest letdown for me is that the HST function in the accounting section still has not been updated even though I have raised it with the team before. There is no option to enter a price amount that already includes HST so the only available choice is selecting an HST percentage and the system automatically rounds it up. That makes pricing inconvenient and because of that I cannot fully use the financial features built into the program. Right now, we work around it by issuing receipts at the listed price and marking them as "no HST." I would really like to see this changed so prices can be entered manually and the financial side of the program can actually be used properly.

secure online forms anywhere

Pros

Working across multiple locations made this really helpful because I didn't have to carry paper files around. A lot of clients also like completing their forms online especially those with more complex health concerns since it saves treatment time they would otherwise spend filling everything out in the office. HIPAA compliance was essential for me and this covers that.

Cons

That said it feels a bit bloated for the average therapist. I already use other tools for bookkeeping and fee processing so I'm paying for features I'll probably never touch. I'd also like to use the online booking but clients are required to create accounts which adds extra time and confusion. On top of that, the booking process has more steps than other scheduling platforms so I don't use it either. Even small things, like the color-coded morning and afternoon appointment slots, feel unnecessary. A lower-cost option for therapists who only use Soapvault for SOAP notes would be a much better fit.

fantastic booking and support

Pros

There's a lot to appreciate here. First, the platform is very user friendly. The customer support has also been amazing and I really appreciate the personalized emails about updates. Clients absolutely love the online booking feature and the appointment reminders by email and text have been incredibly helpful. It's also a big plus that email marketing is included. I haven't started using the Add-Ons yet but I'm glad that option is available when I need it.

Cons

The only minor issue for me is in the mobile app when I'm setting my personal time. I'm not a fan of having to scroll to choose the duration. I'd much rather be able to type in the time manually, whether that's minutes or hours. It just doesn't feel as functional as I'd like and it leaves a bit more room for error.

notes from anywhere

Pros

Being able to complete notes from anywhere is a huge plus. It's really convenient when I can't finish them immediately after seeing a patient.

Cons

Something I'd really want improved is the option to edit or delete a note. I accidentally added a duplicate note for a patient and there's currently no way to remove it. It would also help a lot to be able to print all SOAP notes in one report instead of having to print each one separately.

online intake and reminders

Pros

Running my massage therapy practice has been a lot better with the online health history intake. It gives me the information I need ahead of time so I can walk into an initial client assessment more prepared. The automated email reminders have also made a big difference by cutting down no-shows and last-minute cancellations quite a bit.

Cons

Customization still feels somewhat limited especially when managing 2 practitioners across 2 different locations. There are also times when the automated emails do not go out as expected although the helpdesk does resolve the problems when they're reported. I'd also really like to have an online signature feature so clients can sign documents digitally.

smooth notes and reminders

Pros

Right from the start, Noterro felt smooth to use. Once I entered a client's information and created their first SOAP note, I didn't have to rebuild everything each time after that. The automatic client notifications are also a feature I really appreciate. Overall it saves me a lot of time in the office.

Cons

One thing I'd still like to see improved is recurring appointment scheduling. I work with a lot of repeat clients but they aren't always booked weekly.. some come every other week, while others come every three weeks. It would be really helpful to have more control over customizing those recurring appointment frequencies.
