Easy to create progress invoices

Pros

Creating progress invoices was easy for me and I never had a problem accidentally charging twice for materials or labour. When I logged materials and labour on a job, the entries were always dated and timesheets were simple to manage.

Cons

I had a hard time using the online payment portal. Support was inconsistent and I rarely got a fast response. The reporting tools felt clunky and not easy to use. I wish there were more automation options for example, automatic invoice follow-ups would be really helpful.

New to this system

Pros

I like how it links all our processes together allowing me to connect quotes, work orders, parts, inventory and invoicing within a single field.

Cons

We're still getting familiar with the system since we've only just switched it on. I'm sure we'll run into some features or workflows that don't suit us but we need to give the system a fair try and use what it offers before judging.

Simple to get the hang of

Pros

In my experience, it is really simple to use and understand. Whenever there's a problem I can always reach someone who's ready to help and answer any questions I have. It's also reasonably priced.

Cons

I'd like the ability to send statements directly through ServiceBox and I'd also appreciate an option to pick the date when sending them.

Needs an app

Pros

I really appreciate the excellent customer support. I like that I can prepare quotes, set up jobs and generate invoices from a single location. Assigning staff to shifts is simple and when I search something, the entire database gets searched conveniently.

Cons

the lack of a dedicated app is frustrating because everything relies on the web which makes life harder for staff working out in the field. I also hate that the search box retains what I typed so when I return it's still there and that behavior gets really annoying. It would be better if it cleared automatically. Additionally, the quoting area feels complex and could use a more user-friendly redesign to improve usability.

Ideal software for service industry

Pros

User-friendly interface

Pros

For the most part, I find the interface user-friendly and it took very little training for me to get started. I also value how it ties work orders into quotes and invoicing and its capability to sync with multiple ERP systems.

Cons

That said, I feel the scheduler is in real need of major upgrades. I've noticed the app can become slow and unresponsive sometimes and the reporting tools clearly require much more development.

Excellent onboarding support

Pros

I thought the team's onboarding help was outstanding and they even addressed some of the customizations our business required. The training sessions they provided for my technicians were very useful and made it easier for our staff to get up to speed quickly.

Cons

Technicians' mobile app feels a little awkward to use. It floods me with notifications whenever a job is scheduled, moved or altered and the sheer volume of alerts has made me start ignoring them entirely. It would be far more convenient if it opened straight to the ServiceBox web view instead of burying that option.

Helps us stay organized

Pros

I like that the software keeps all our customer records and their equipment details together in one place. It really tidies up and accelerates how our service team works and it helps me stay more organized when it comes to getting quotes out to clients on time.

Cons

A downside I've found is that customization is somewhat limited, especially in how invoices and quotes appear. Another annoying issue is that I can't open the photos of equipment I saved to a jobsite inside the app which makes storing those images pretty pointless unless that viewing issue gets fixed.

Wide range of scheduling features

Pros

It offers a broad set of tools to plan my weeks. I can track time on job sites, store job site details and locations and even attach photos to records which really helps keep everything organized.

Cons

When using the app, it always returns me to the homepage instead of reopening the last screen I was on and I would much prefer it to remember where I left off so I don't have to locate my job site information repeatedly every time I open it.

Doesn�t work well on phone

Pros

Being able to store photos in the database is a bonus but I find the software doesn't work as expected. It always opts to save attachments to the job site no matter which tab I used to add them.

Cons

The workflow is really poor. I struggle to use it on my smartphone and on a PC I'm unable to sign forms unless I have a separate accessory pad.

ability to make notes

It makes entering my hours and jotting down notes much more efficient, I can pull up those notes easily whenever I need them and I like that it permanently stores the information

Cons

I have to repeatedly go back to the list and pick the earlier pay period whenever I enter hours for a past pay cycle which gets annoying.

Makes things complicated

Pros

We depend on the CRM features for our everyday work as it's helpful for daily operations. The drag-and-drop scheduling makes arranging jobs simple and I like that I can add notes to customer profiles.

Cons

Basic things get unnecessarily complicated with this software for example, zip codes don't appear on work orders, certain screens don't render correctly on my phone and the images I upload often come out low quality.

Very helpful product

Integrates well with Quickbooks

Pros

What I appreciate most is that it connects directly to QuickBooks. It's really convenient having so many of our business functions consolidated into a single platform.

Cons

What frustrates me is the absence of an appointment feature. For instance, we often split work orders among several technicians and it would be extremely helpful to be able to assign appointments to each tech so we can accurately track their hours, notes and any upsell opportunities.

Easy to figure out

Pros

I picked it up really quickly because it's so user-friendly. There are almost no software glitches, it works across multiple devices and I can easily locate details like work orders, quotes or other records whenever I need them.

Cons

For me, the follow-up function still needs refinement because it's very hard to clear alerts. I've been struggling to figure out how to dismiss them for quite some time.

Eliminated paperwork

Pros

What I love about this is that I no longer have to deal with piles of paper to file and mail out as everything's digital now. Work Orders automatically generate timesheets for me and I can pull information from different places within the app in several ways. It syncs with QuickBooks Online and I can link everything from the initial quote through a work order and right to the invoice. I also appreciate being able to add holiday schedules into the calendar.

Cons

I wish the mobile scheduler was as clear and user-friendly as the desktop version because right now it's harder for me to get a quick overview on my phone. It would also be really helpful if I could open files or attachments that I added during the Work Order stage while I'm working in the Invoice stage, rather than hunting for them separately. Another feature that would save me time is showing percentage profit when I'm pricing an invoice instead of only displaying the actual dollar profit on the job. If the app displayed profit margin as a percentage, I wouldn't have to stop and do the math to figure out where we stand profit-wise while I'm preparing the bill which would make pricing faster and more accurate for me.

Uncomplicated cloud-based system

Pros

Quoting and entering data is simple. It's cloud-based and I find it easy to onboard new staff since it is an uncomplicated system.

Cons

Outgoing emails end up in spam for many of our current clients which means I don't receive invoice payments without extra manual chasing. We also face inconsistent data entry across staff so to make up for it, I go over accounts twice because details differ each time I review the records.

Solid database

Pros

I find the workflow quite simple, guiding me smoothly from the first quote through creating work orders and handling invoices. The underlying database feels very powerful and secure.

Cons

Canadian-based software

Pros

Being in Canada, I like that it's Canadian-based and uses local pricing so it feels like good value for money. I use its purchase order and price book tools, inventory management, QuickBooks sync and equipment-tracking features.

Cons

I've found its sales-tracking capabilities pretty limited. There are some bugs but the team pushes frequent updates. Prices have been rising, though they do offer legacy programs for long-time customers. The app packs a ton of features which can be overwhelming to learn at first. Also, it only works online and if I lose internet or cell coverage I can't do anything. It does include a PM feature but in my experience it's not very solid.

Techs can attach photos

Pros

Work orders are simple and it let our technicians capture photos and attach them, check-ins and check-outs are tracked and materials used are recorded. Every detail is entered and saved on the work order. We can assign staff for the same day or set future dates and times so they receive the schedule immediately. The app is simple to pick up and it typically takes just a few hours to review and learn where each piece of information belongs. Estimates can be turned into work orders and then into invoices without manual entry. This truly helps save time for everyone. Timesheets are readily accessible for staff. ServiceBox integrates smoothly with both Sage and QuickBooks.

Cons

Right now I don't have any particular complaints to raise about the app. Whenever we face a problem, the team responds to us and helps resolve whatever issue comes up promptly.

Useful integration with Sage 50 Canada

Pros

For us the biggest advantage is that the system fully integrates with Sage 50 Canada, something no other product on the market offers. We also work with a very responsive development team who are quick to help when problems pop up. It has made moving from paper to electronic processes much smoother for our operations. The software is fairly adaptable so it can be shaped to the needs of an individual business. Pricing is competitive and because we've been customers a long time, they've grandfathered our plan. Overall it's mostly user-friendly and has made quoting customers far easier than our old setup.

Cons

Honestly the app can feel a bit clunky to use. Whenever I open a work order I have to wait for a webpage to load which isn't very smooth for people using their phone. On desktop there aren't many problems but their servers do sometimes slow down or even go offline for brief periods.

Speaking as a technician, I find it really simple to read each work order, pull up location details which then links directly to Google Maps.

Pros

Servicebox feels really user-friendly and simple to use. Also the appointment scheduling feature runs smoothly every time. I've recommended it to other service and trades businesses and would say they should give it a try.

Cons

Some of the quoting and reporting features feel a bit lacking and could use refinement. In my view, a customizable dashboard showing KPIs or bespoke metrics would make the platform much more valuable.

Outdated interface

Pros

I like the idea behind it. I can log, record and track work notes, hours and parts and tell customers, job sites and units apart. It keeps all employees on one network.

Cons

Frankly, the usability feels very weak. I find the overall flow and layout to be outdated and hard to use with too many overlapping options and unclear steps for locating or accessing the information I need. Things that would improve daily life like alphabetically sorting units have sat ignored for years. It seems the company focuses more on backend accounting needs than on simplifying the interface for field technicians. As a result I see ongoing confusion, wasted time and duplicate or incorrect notes or unit entries that administrators end up having to correct which defeats the app's purpose of organizing work.

Smooth transition between quotes and WOs

Pros

I'm really happy that I can jump back and forth between Quotes and Work Orders so easily and that they're connected which makes pulling up information for my Sales Team simple. The handoff feels completely smooth.

Cons

One change I'd like is more ability to pull text from every field when searching for keywords because right now it misses information in some places. Also would appreciate expanded search filters by date ranges, relevance and the ability to specifically filter between Quotes and Work Orders.

Lets me see location of employees

Pros

Well-designed program

Lets us customize work orders

Pros

One thing I really appreciate is that when I add job details, the system also captures labor costs and the correct purchase order number. I also like that we can tweak the appearance of every work order so it can show additional details, things like refrigerant recovery amounts and other custom fields. Another feature I rely on is the ability to search by property. I can pull up the work orders for specific properties without having to scroll through the entire backlog to locate the one I'm looking for. It really saves me a lot of time during busy days and reduces frustration when I'm trying to find something quickly.

Cons

So far I honestly haven't run into anything I dislike about it. Whenever a small glitch or question crops up, their team has been quick to address the issue and adjust the software to meet our specific needs.

Consolidates all parts in one place

Pros

What really stands out to me about it is how it consolidates all the parts of our workflow like timesheets, work orders, material tracking, the ability to attach jobsite photos and notes and even a to-do list into a single product. I find the layout and features very simple so it's easy to jump in and use without a lot of training.

Cons

I'd really like them to build true native apps for iOS and Android rather than just using web app launchers because native apps would be more reliable and user-friendly in the field. I'd also appreciate a much better way to view hours logged on a job, the single-scroll box becomes awkward with long-running projects that have many months of entries to comb through. A sortable or filterable view by date, name or other fields (or even pagination) would make reviewing time far less tedious.

Meets my needs!!

Pros

I find this tool really easy to use and drafting work orders is not hard at all. Plus when I log time against jobs, it automatically syncs with my work orders. It fits my needs perfectly.

Cons

Getting used to typing work orders took a while because my thoughts move faster than my fingers so I couldn't use the service as quickly as I wanted.

Easy to look up past service calls

Pros

I can look back through and manage previous service calls. Other technicians on the team are able to pull up and use that same database for reference.

Cons

Switching over and getting used to typing everything on my phone has been a bit rough at times. I find that I can write by hand much faster than I can peck out messages on a small keyboard.

Our team loves it

Pros

We've found it incredibly simple to understand and operate. Our team uses it for our business and we absolutely love it. It's wonderful that everyone can access it and we rely on it for a wide variety of tasks.

Cons

Occasionally it has glitches though not very frequently. I also find it's far too easy to tap or click the wrong thing by mistake so I wish there were extra confirmation prompts.

Helped us go paperless

Pros

I'm really happy that everything's centralized and we've gone totally paperless across all departments. Scheduling, work orders, invoicing, packing slips, timesheets, the list keeps growing and it's all in one place! Our office now runs like a well-oiled machine, with every process much smoother.

Cons

My only wish would be that the web part of the platform came as a native app. That would be fantastic although it already works perfectly fine the way it is. Having it as an app would simply make it a little more convenient to reach from mobile devices.

Offers variety of features

Pros

The thing that sold me on it was its simple, user-friendly interface combined with the breadth of features it supports and I also really value how service-focused the product and company are.

Cons

With any software that supports this many detailed options, it's almost unavoidable that after I've spent a long time digging into and using all of the features, it becomes increasingly time-consuming and frustrating to make changes to existing formats. For example, altering a specific note on a recurring work order or removing and adding a checkbox on already-created checklists can be difficult and slow to manage among other similar adjustments.

Has simplified everything for us

Pros

I love that going paperless keeps everything organized and it's really useful to pull up the work notes to see what was done on the last call.

Cons

I'd like to see better Dropbox integration and more configuration options because the app can become really slow when I'm out in rural counties or in dead-zone spots. Also, I'm uncomfortable handing my device around for others to sign directly on my screen.

Helpful support staff

Pros

I find it userfriendly. The buttons respond smoothly when I press them. The storage is adequate for adding images and similar files. When we experience downtime, customer service has been very helpful.

Cons

I sometimes notice lag but a quick reset usually fixes it. A while ago I ran into storage problems when some images I'd uploaded couldn't be located.

Regular new features

Pros

Appreciate that they constantly roll out new features and their tech support is solid. It syncs smoothly with QuickBooks and honestly I don't have any major complaints overall.

Cons

We do experience occasional slowness. With an overall staff of about fifty, only nine of us use the app continuously on desktop and that's when the lag becomes noticeable during our daily work.

Really useful tool

Pros

I love that it is completely paperless! As an owner, I can schedule my crew without them needing to come back to the shop. The check-in and check-out feature, along with the ability to add pictures and notes to the service box is a huge plus. It helps protect both my team and my business in case of any job or billing disputes.

Cons

It is frustrating getting kicked out after being logged in for a while, especially when I forget my password, lol. Another thing I do not like is when I send a quote to a customer, it breaks down all the materials and details, which I do not always want them to see.

Handy app for daily use

Pros

The versatility and all-in-one functionality are what make this software great. The interface is easy to use and I can access it from anywhere, which is super convenient.

Customer support is awesome

Pros

The best part is how customizable it is! There are so many options for forms, so we can set things up exactly how we need them. I also appreciate that they check in with us every quarter to see if we are having any issues. Their customer service is top-notch and everyone is incredibly friendly and helpful!

Cons

The only thing I wish the scheduler had was a better way to view different technicians' schedules. Right now, all the appointments for the day get lumped together, so we still keep a paper schedule to track which tech and truck go where. Our old system handled this well but it was outdated and we needed to upgrade. We have been using ServiceBox for a few years now and have adjusted to this, even though it is not ideal. Nobody likes change but it is not a dealbreaker. We knew about this limitation before switching and it did not stop us. Their excellent customer service makes up for it.

Simple yet effective program

Pros

The desktop version of the program is really well organized and easy to use. I especially love how the schedule board is laid out, it is way better than other scheduling software I have used.

Cons

I really wish there was an option to run a short summary of inventory usage for the week or a specific period. It would make stock ordering much more accurate and efficient.

Gets the job done

Cons

Cons

Pros

Works well, but a few things need fixing

Pros

It makes it super easy to access client information, whether I am in the office or out in the field. It is not perfect but it is a massive upgrade from using pen and paper!

Cons

ServiceBox does not look great on my phone. I always have to scroll down just to select an item from the drop-down menu when scheduling a service. It is also not built for any specific industry, it is more of a general SaaS solution.

Makes job tracking easier

Pros

I find it really convenient to log in from both the app and browser. The system also reminds me of the current job I am checked into. Updating the scheduler and adding events or work orders is quick and simple.

Cons

The layout of the mobile app is not the best. It is mainly useful for checking in and out of work orders but accessing customer data or timesheets while I am on the go is not as easy as I would like.
