Awesome funtionality

Pros

I've found the platform very capable. It consolidates our entire business operations into a single tool. Our techs can directly pull the job site details they need when they're out in the field which helps a lot.

Cons

One major annoyance is that it doesn't automatically prompt me to save changes and that's caused significant problems for our technicians using iPads as well as for people here in the office. I've found the payment workflow awkward and inefficient. Applying payments requires too many steps, creates lots of opportunities for mistakes and forces constant screen switching. It really should synchronize the paid status everywhere so we don't have to update multiple places. The search tool is hit-or-miss and some customers fail to show up in the quick search bar so we end up digging through the full customer list manually. We've also run into problems when trying to locate invoices and work order numbers via the search.

Valuable when you need data

Pros

I can pull any invoice or work order from anywhere and having that information at my fingertips has proven incredibly valuable in many different situations where quick access matters.

Cons

My experience is that it has been slow on numerous occasions and repairs or upgrades sometimes occur during my working hours which I find unacceptable; nevertheless, I've noticed it has been improving lately.

Ability to track past jobs

Pros

Being able to track past jobs through the database has really helped me stay organized. I also appreciate being able to add expenses and create checklists for equipment and jobs which makes job management much easier.

Cons

I can enter hours on behalf of other team members for a job but once those hours appear on their timesheet they can edit them. I wish only the person a job is assigned to plus administrators could modify the recorded time directly without restriction.

Well laid out interface

Pros

The app's layout makes sense with simplified tabs and I appreciate being able to see which jobs haven't been started or which locations people can't reach.

Cons

I wish it offered offline functionality for places without any cell service because the app is sluggish at times. I've had situations where data disappears when the app crashes.

Detailed notes for jobs

Pros

I really appreciate that I can keep Sage 50 with it and that creating invoices is so simple. I also value having detailed notes for every job.

Cons

Occasionally I can't download my photos to the app, the server can be slow at times and I often have to wait for a stable Wi-Fi connection before the service will work properly.

Automatic updates to timesheets

Pros

One thing I really appreciate is that the timesheet automatically updates from the work orders. Our old system forced us to type the job site information into every form, time sheets, gas permits, check sheets which was a real time sink. Now all documents pull the job site data automatically so I don't waste time repeating the same entries over and over.

Cons

I find adding materials from inventory really clumsy when I'm working on larger jobs. It would help to have a categorized list of fittings, copper, ABS, black iron with a simple plus or minus next to each item for quick quantity changes. It frustrates me when I finish adding one part, tap finish and the view jumps back to the top so I have to scroll all the way down again, repeating that slow process throughout the job.

Direct invoices in QuickBooks

Pros

We really like that we can create an invoice directly in QuickBooks from the work order which saves time. Our engineers find it extremely easy to pull the PDF files required to finish a work order and they can quickly attach the signed document back to the work order without extra confusion.

Cons

It creates difficulties for our operations manager because he has to manually enter the work orders into Outlook so the rest of the company can view their schedules which adds extra administrative steps and can be time-consuming.

Can't link QuickBooks to generate quotes

Pros

There's a ton of information that multiple people can easily share and keep track of. I can also upload and download files as PDFs without any trouble.

Cons

I can't currently connect our QuickBooks account to automatically create quotes and invoices. Adding that integration would be really fantastic for us!

Eliminates human errors

Pros

One thing I really appreciate is being able to pull up work orders anytime which has eliminated the human errors that used to come with losing paper forms. I also enjoy that I can create and enter my own checklists into the system.

Cons

There are some glitches in the app. For example, whenever I have a work order open and switch away from the app, it automatically closes the work order so I end up having to open it again.

Easy to learn

Pros

Having tried a couple of US-based service software solutions without any success, we finally found this and it has been amazing for us. It integrates smoothly with our Canadian desktop version of QuickBooks and we haven't run into the tax integration problems that frustrated us when dealing with US vendors. The support team gets back to us quickly and they'll often follow up by both email and phone which I appreciate. The interface is simple and user-friendly. Our technicians were able to learn it with very little training. It's been incredibly handy for both office staff and techs to access customers' historical records right on their devices. Because we can attach photos, build maintenance lists and log timesheets, our operation has become completely paperless. Since everything updates in real time we've been able to run things much more efficiently.

Cons

I do wish a few things were improved to make the platform even better. For example, I'd like more variety in reporting, either additional built-in reports or greater options to create custom reports myself. A truly full-featured mobile app would be great so every ServiceBox task could be handled from a phone or tablet. The scheduler could use a redesign too. Adding search or sort capabilities, enlarging the display for queued work orders and showing any to-dos linked to a work order would really help.

Outstanding mobile app

Pros

I've found it includes pretty much everything I need to keep my business running smoothly and the mobile app works wonderfully when I'm out on the road.

Cons

So far I haven't had any significant problems. It would be helpful if customers received email or text reminders about upcoming appointments both a week and a day before.

Pros

I really appreciate how simple the software is to use, I can dive straight in without any training! Plus I enjoy that it's highly customizable for a business so each company can make it uniquely theirs too

Cons

The scheduler glitches sometimes. When changing a date or time (just moving items), it can bug out and jump to a different date or time which becomes very frustrating especially on long days.

Does the job perfectly

Pros

I use it for filling out timesheets and handling work orders. On the whole it gets the job done which is exactly what I need and I can submit everything through it.

Cons

Honestly there isn't much I can complain about at the moment. The only issue I've noticed is that the app can be slow sometimes but that may well be caused by my Wi-Fi or network connection.

Shows status of work orders

Pros

Love that I can add photos to invoices. It's simple to train others and we put together a manual pretty quickly. I can see what stage invoices and work orders are in. It's simple to spot which work orders are incomplete or need invoicing and the customer database is easy for me to search.

Cons

We have limited reporting options available. There's no way for us to attach photos to units which makes images hard to organize and identify. Reminders aren't obvious and our admins and staff rarely use them. Asking for custom reports is a pain. I wish every work order option could be included in reports and we should be able to view all notes for any jobsite regardless of which work order the note was added to.

Flexible software with an incredible team

Pros

At my HVAC company, we introduced ServiceBox because of the range of features it provides but above all because of the outstanding customer support. I had expected that after onboarding the level of help would diminish over time yet that simply hasn't been the case. Their team works tirelessly and is prompt with follow-ups through calls, emails or texts often responding almost immediately. It's clear they operate as a cohesive unit with each person contributing particular strengths and expertise. On top of that, the software offers flexibility and customization options and the interface is clean, user-friendly and simple to comprehend.

Cons

At this point there isn't a mobile application. Once a proper app is completed and released, I'm confident it will elevate the platform and become an excellent, top-tier program.
