Handles a wide range of fields

Pros

It handles a wide range of fields which works really well for us since we track things like food, clothing, utilities, rent and more. Entering information and setting up new clients is very quick and efficient so it saves a lot of time during intake.

Cons

One frustrating part is that when records are merged, the system duplicates income and relationship details and marks them as unverified. That means having to go back in manually and remove the extra entries. It would be much better if there were a prompt asking whether to keep or discard that information. Also, while there are a lot of report options, many of them end up showing the same data. It would help if those reports were grouped into clearer, more user-friendly categories.

Plenty of ways to search data

Pros

There are plenty of ways to search the data and build reports. Those reports are especially valuable for our Board of Directors and for tracking our income statistics.

Cons

Getting around the menus can take a little time at first but once you've used it for a while, it becomes much more manageable.

No complaints from my end

Pros

Navigating it has been very easy. I'm able to review names and addresses on client inquiries and also compare which services may have already been provided which helps prevent duplication.

Cons

At this point, I don't really have any complaints about the software. I'm still a new user and continuing to learn my way around it.

Keeps our database current

Pros

It has been a really helpful tool for our organization. It does a solid job of keeping our database current and the ability to email other agencies is very useful. Having access to client records in one place also makes our work much more manageable.

Cons

The thing that's missing is the ability to generate and manage my own statistical records.

Useful for food pantries and holiday assistance programs

Pros

It does a solid job of collecting all the details from clients receiving services in the community. It's especially useful for food pantries and holiday assistance programs.

Cons

This software is really only effective when every subscribed agency is actively using it. If just one or two groups in the community are entering information, it loses much of its value.

Strong customization options

Pros

Great how customizable the software is since it can be adjusted as our organization's needs change over time. It's also user-friendly and having the option to add multiple users makes it practical for our team. On top of that, the customer support has been outstanding--they're consistently friendly, patient and genuinely helpful whenever we need assistance.

Cons

Creating visually appealing reports that clearly show our different program outcomes has been a challenge for my team. The reporting section could definitely be more user-friendly to work through. It would also be a big help if the software included a way to set up and track client appointments.

Not hard to update patron information

Pros

Being able to update patron information without much hassle is a big plus. It also links us with other charity organizations in our area which is really helpful.

Cons

One thing that slows us down is having to retype long names every time help is provided. It would also be better if commodity items and other food given could be shown in the same place instead of going somewhere else.

Solid reporting

Pros

Love the reporting capability and the ability to track the outcomes of our patients' goals. It also helps us stay connected with each agency and send referrals back and forth which makes it easier to work together on more grants.

Cons

The biggest challenge is getting our volunteers to enter the information consistently and making sure they include everything needed in the system.

Improves communication

Pros

It improves communication and collaboration between charities. Because we can share information, we're also able to share resources and support our community more effectively. It makes it easier to spot the difference between people who may be trying to game the system and those who genuinely need assistance. At this point, I'd say it has already paid for itself by helping us direct food and funding to the people who need it most.

Cons

I do wish there were a simpler way to flag duplicate accounts created by user error so they could be merged more easily.

Centralized solution for records

Pros

Keeping records takes a lot less effort with this system. Everything stays together in one place so there's no need to maintain separate records anymore. It also cuts down on the number of people needed to handle record keeping and it uses far less storage overall.

it brought our city's churches together to coordinate their charitable work. It has been a very effective way to spot needs, assess how well our programs are working and even help reduce fraud. Easy to train

Pros

The reporting is excellent and there are plenty of categories to work with. Making edits is simple and it doesn't take much to train someone new on the system. Seeing alerts right away is also a really useful feature.

Cons

Having to update the date every single time slows me down. It would be much better if the system kept the selected date while entering all of a client's services.

Powerful outreach tracking

Pros

Being able to review and add other outreach programs is really valuable. It also worked very well as a service for a larger organization.

Cons

The pricing is a challenge and it is not very user-friendly either. The monthly fee was not included in this year's budget so paying for it regularly has been difficult.

Tracks time and money

Pros

Having all cases available to review at any time is really useful especially with notes showing what actions were taken. It does a good job of tracking time, money and how often assistance has been given. Searching cases by a date range is also helpful and the reporting feature adds a lot of value.

Cons

Without any formal training, the system feels pretty clunky especially when moving between cases entered on the same day. After I finish updating one case, I have to return to the main conference page, choose referrals again and re-enter the date every time. It would be much better if it remembered the date I'm currently working in and brought me back to that same client list. I'd also like a clearer way to review actions on a case. When dollars, hours, miles and several status updates are added, everything gets strung together which makes it hard to tell where one individual assistance request starts and another ends. The report writer could also be more user-friendly.

Complete solution

Pros

Using CharityTracker has been incredibly helpful for our community work. The system is very simple to use and it keeps track of so many details that could easily be overlooked without it. It really covers a lot and helps us stay on top of everything.

Cons

One issue comes up when adding a client who is already in CharityTracker because the work that was previously entered does not always carry over.

Helpful bulletins and tracking

Pros

Getting around the system is easy. The bulletins posted on different issues are really helpful and I can now see how often or even whether any of my applicants have received assistance from other organizations.
