Simple forms and great support

Pros

For years I worried about new patient forms not getting completed and how that would push my whole schedule back 30 to 45 minutes when someone forgot to do eight pages of paperwork. Building and sending the forms is�simple, though and patients can complete them on their phones which is a lifesaver for my practice because we see so many seasonal visitors in Scottsdale. The customer support deserves a special mention. They're consistently fast and go above and beyond, a refreshing contrast to the terrible support I had with my previous portal. The membership feature is genuinely useful and if you're moving to a concierge membership model I strongly suggest pairing it with IntakeQ's billing system.

Cons

I dislike the calendar layout as it is unattractive and feels clunky and I cannot view all my patients for a single day at a glance. The schedule printouts also use far too much paper. These are fairly basic fixes that would improve usability but despite them we've learned to make it function for our needs.

Helps clients complete paperwork faster

Pros

I find this software really helps my clients complete their intake paperwork much faster which lets them start working with me sooner.

Cons

For me, it does add another business expense but I have to weigh that extra cost against the convenience and ease it provides to my clients.

Simple document management and reminders

Pros

I really appreciate how simple it is to send, edit and upload documents it makes managing paperwork so�simple. On top of that, being able to push reminders to clients to complete their forms has made a huge difference for our practice.

Cons

The layout on the main page feels a bit off to me. I think the organization could be improved a bit but it is not a deal-breaker.

Tailored with automatic reminders

Pros

One of the best parts is that I can tailor the system however I want it also sends automatic reminders and includes other handy features and I find it incredibly�simple�to use.

Cons

Honestly I cannot think of any real downsides as the support team is what makes this EMR stand out. They get back to me very quickly and consistently offer a solution, so I have never been left without an answer.

Makes healthcare tasks easier

Pros

As someone who works in healthcare, I find IntakeQ though originally built for clinicians but can be tailored to virtually any profession and really makes things easier for both me and my clients. The booking flow is�simple, I can send forms, collect e-signatures, handle billing and build customized questionnaires or intake form. all those are the features I like most.

Cons

One drawback I run into is that clients have to be invited into the portal instead of being automatically accepted when they schedule an appointment which adds extra steps.

Incredibly user-friendly with outstanding support

Pros

I find the interface incredibly user-friendly, their support team is outstanding and we can quickly build and tailor our web forms.

Cons

it is not a complaint but I realized that really understanding how their form builder works requires jumping in and experimenting a bit. Thankfully the team is supportive during that learning phase and I find the whole system quite�user-friendly�overall.

Useful for patient documentation

Pros

We use it to document and sign in patients for liability and to run intake surveys at evaluation and reassessments.

Cons

I found it took time to set up the look we wanted and it is not very easy to use on phones.

Simple sending of patient paperwork

Pros

One thing I really appreciate is how�simple�it makes sending forms and intake paperwork to patients I can add new patients to the database in seconds and send whatever form they need without hassle. Building custom forms on their website is simple and�user-friendly�too.

Cons

Honestly I cannot think of any real negatives about this software as nothing significant comes to mind that I'd complain about.

Natural and incredibly flexible

Pros

The program feels really�natural�and offers incredible flexibility. Built-in templates are available for consent forms, assessments and notes, yet you can also modify each template to match your practice's workflows and even build entirely new ones from scratch. For me, IntakeQ covers everything such as scheduling, invoicing and billing, clinical notes, diagnoses, Superbilling, appointment reminders and secure client messaging. Their customer support is genuinely outstanding I was so impressed I asked where I could post a glowing review because they deserve recognition. Whenever I have reached out with questions, a helpful reply has come back within an hour or two. I honestly cannot recommend this platform highly enough since it manages my whole practice.

Cons

At first I felt a bit uneasy about having to design my own forms but the included templates made it really simple to adjust them to match what I personally needed.

Makes paperwork easier for patients

Pros

For patients, it makes paperwork much easier and I find the platform�simple�and simple for both providers and clients to navigate.

Cons

So far everything's been positive as I haven't encountered any problems. A few years back I tried intakeQ during a trial period but didn't end up using it because of a job change and I am pleased they've since added upgrades especially the invoicing features.

Simple, secure and hipaa-compliant

Pros

I have experienced exceptional customer support and the system is incredibly�simple�to use it is HIPAA-compliant and keeps data secure when I send or receive information. It syncs with my Google Calendar, so I can quickly check patient appointments on my phone. I am also able to upload any patient documents, including insurance cards and IDs.

Cons

My main problem is that I don't get email alerts for everything. as I want to be notified as soon as a patient starts filling out forms, not only when they finish. Building custom forms myself at the start was pretty tough so there's a definite learning curve and I had to spend time figuring out how to create them. Also, I would prefer an incoming fax option.

Excellent for forwarding patient paperwork

Pros

For medical practices like mine that need to forward paperwork to patients before their first appointments, this program has been an excellent fit. It gives our staff the chance to review completed forms in advance and helps our clinic run more smoothly because team members no longer have to wait for patients to complete paperwork by hand once they're in the office. I find the service particularly strong at transforming complex, detailed documents like ours into accurate digital versions while preserving the intent of every question. It also shows who has begun their paperwork and tracks their progress, plus it lets us print any partially completed forms when necessary. Overall I feel it offers outstanding value for the price we pay which makes it indispensable for our day-to-day operations and dependable.

Cons

If I had to nitpick, the only real complaint I have with the software is that since we send links via email, some people attempt to complete the forms on their phones and rarely get very far before giving up on them.

Clever layout with excellent support

Pros

What I love is the clever layout and truly excellent customer support. I find their team unusually fast, proactive and efficient when they answer me. They consistently put in a lot of effort to come up with practical solutions.

Cons

I did encounter a few small restrictions when configuring some uncommon practitioner availability patterns which caused a bit of friction. Fortunately, the support team stepped in and manually straightened everything out for me. I am such a fan of this system that I actually want it to fully take over my clinic management duties. To get there, it would help if the platform could automatically pull GP details from a centralized database and if there were more options to automate parts of the correspondence and letter-writing workflows so less manual handling is required.

Easy updates for intake forms

Pros

During my internship I observed there were many complaints about the intake forms and that they needed updating for future assessments. IntakeQ offered this capability to numerous different practices.

pretty easy to install and reasonable price

Pros

In my practice we rely on this for consent documents, treatment notes and various client records the software was�simple�to install and learn and the price point is really reasonable.

Cons

There isn't much I dislike but I do have some feature requests. For example, a cleaner, simplified kiosk mode that can be branded for iPads in the waiting room would be fantastic when clients complete forms on-site. I'd also love the ability to color-code the navigation blocks on the left sidebar so intake forms could appear green and clinical notes blue. Being able to assign colors automatically based on the specific form in use would make things much easier to scan and organize. Right now that's missing and would greatly improve usability and workflow for our team.

Sends intake paperwork directly

Pros

I really appreciate being able to send intake paperwork and various forms directly to my clients. Doing this significantly cuts down the time needed during the initial consultation and makes clients feel better prepared for their first session. Having every form stored in one spot is convenient and saves me a lot of administrative work. The interface also has a clean, attractive design.

Cons

Some of my clients have expressed worries about the confidentiality of sending sensitive forms through this platform and I have had to reassure them about privacy measures.

Delivers everything my business needs

Pros

I feel like it delivers everything my business needs to run HIPAA-compliant SOPs. Honestly I haven't come across any other software that packs this many features while letting me customize so extensively.

User-friendly with responsive support

Pros
