“User-friendly document creator
Pros
You can create documents really easily on this platform. My clients also find it easy to use and I have not received any complaints about it being difficult. The interface itself is simple and user friendly for me to navigate.
Cons
The cost is a little high. I would also really like to have the ability to build surveys directly on the platform. Plus it would be great if clients could upload their own documents through it.

Pros
Storing frequently used documents is a feature I really like, it simplifies both saving and sending them out and overall the platform is very user-friendly, so new staff members can learn it quickly.
Cons
My main wish is for a full integration with our specific electronic health record system. We also have trouble with clients not finishing their forms, so a warning message like 'his form is not complete would be really helpful.

Pros
The best part is how customizable everything is. I can quickly draft documents for my clients without a hassle. It does not take long to learn the system and you can even make complex forms and convert them to PDFs for clients to fill out by hand.
Cons
There is not a button to translate documents automatically. I have to manually translate every single document into Spanish. Another thing that's missing is the option to upload forms that have been filled out by hand.

Pros
Creating forms with this tool is really simple and I find the whole process pretty user friendly. Though pretty often I need a couple of attempts to position the fields or boxes the way I want them but it is generally not too hard.

“pretty simpe to use but flawed reporting
Pros
Using it has been remarkably easy and whenever I need help the support team responds quickly and really knows what they're doing. Our patients also seem to like it and it syncs smoothly with our EHR. Plus the QR codes are fantastic! My clinic has honestly gotten a lot of value and enjoyment from this program.
Cons
Customizing the intake form header should be simpler. I had IntakeQ design a header and while their turnaround was quick, I was dissatisfied. Our team needs more flexibility with patient search filters. Also sending multiple forms to the same patient creates duplicates that affect our reports and skew statistics. So I would like a way to delete or merge duplicate forms in bulk, rather than opening each chart to remove them individually, for more accurate reporting.

“saves us time
Pros
One thing I really like about IntakeQ is its ease of use. Plus the overall interface feels user-friendly and learning to navigate forms, tailor questionnaires and coordinate appointments was surprisingly simple too. It has cut down on our administrative work and saved us significant time. So I recommend it to any practice seeking an easy way to simplify patient intake and enhance workflow. Additionally the pricing for the service seems fair and reasonable.
Cons
For me the biggest drawback is that it does not fully sync with our EHR. While it handles intake forms by uploading them, it cannot automatically refresh or update patient demographic fields in our records based on form responses. I know another vendor that provides that functionality and having it here would make our process much smoother and more efficient. Because of this missing integration, we still must manually transfer some details into the EHR, costing extra time and effort.

“The best platform for paperwork
Pros
I have tried many platforms for handling paperwork and this one genuinely stands out as the best for both my experience and my clients. It includes everything I expect such as telehealth, appointment scheduling, group access controls and both credit card and insurance billing. I also like the granular control over processes, workflows and automation, allowing me to shape things to how I work. Exporting reports to CSV and PDF is easy and the full two-way Google Calendar sync keeps everything aligned. Support has been excellent too and I was able to integrate Postmark to send from custom email addresses.
Cons
One drawback I noticed is that new accounts no longer get Stripe or Square integrations which I find unfortunate. So it feels like a step back for anyone preferring those payment processors. Also because the system is built to be extremely customizable, it takes a fair amount of time to set up and configure everything the way I want.

“Great for forms and client onboarding
Pros
IntakeQ is quite good for handling client forms and notes in a landscape filled with overly complicated practice-management systems. Creating online intake forms for clients is simple too and being able to attach disclosures and other legal documents for electronic signature streamlines onboarding. After adding a client, it is very easy to keep their timeline current with session notes and related files. Building templates for forms and notes does not require much effort. Above all the pricing is fair and accessible for small to mid-sized practices which seems to be the target audience. The setup itself is also quick and easy.
Cons
That said I would not say I dislike anything about it. however I'd really like broader integrations with third-party tools. For example a Wix Bookings connection because that kind of syncing would make aligning appointment times across the different services my practice uses much easier.

Customizable templates and forms simplify tasks. Calendar setup, e-signatures and document sending and editing work reliably.

Pros
The options for personalizing your workflows are quite impressive and flexible.
Cons
The color schemes and templates are really unpleasant, and the fact that they are not customizable is frustrating. You're forced to send out their pre-designed email templates, which honestly look like spam, and you can't personalize your domain or use white labeling. Their support team mostly talks about how great the product is but doesn't seem to know how to set it up or optimize it for individual business needs. Pros
IntakeQ's team responds quickly to emails, usually within a few hours during business hours. The client portal is outstanding, allowing clients to schedule appointments, view and pay invoices, update credit card information, submit forms and journals, and communicate with the provider. Once you get the hang of it, the form creator, booking module, and billing system are quite straightforward.
Cons

Pros
I absolutely love how easy it is to create and edit forms. The calendar lets me color-code events, and I have three different options for accepting credit cards, conducting video sessions, and incorporating clearinghouses for claims. It's great to have the freedom to choose, unlike other programs that limit you to one option.
Cons
I would really appreciate a clear and easy-to-access accounting page that shows charges for services, what the client owes, what they've paid, what the insurance owes, what the insurance has paid, and any discounts applied. There is one, but it's not easily visible in the client's file.

“Streamlines scheduling and client interactions
Pros
While it was built for healthcare, it can be adapted to other professions without much commotion. Plus it streamlines scheduling and client interactions as booking is simple, sharing forms is simple and e-signatures and billing are built right in. I also like that questionnaires and intake forms are customizable so I can tailor them for different clients. The interface feels great overall too and I can adjust care plans, weight charts and billing settings to match how I work. Messaging is also smooth and I can quickly edit and return documents to clients. It even covers the core features I need, such as billing, intake, notes and includes a Business Associate Agreement (BAA). I have not tried the virtual visit option yet, but it looks promising too.
Cons
In my experience it has a few pain points to be aware of. Like there is a noticeable learning curve which is not unusual for healthcare platforms but it did take me some time to get comfortable. Navigation can be awkward at times. Though the help videos and tutorials were useful, yet I still wish the overall layout felt moreuser-friendly. I also found the mobile experience less polished than the desktop version and that could be frustrating for clients who prefer managing things on their phones. Another annoyance is that clients must be invited into the portal instead of being automatically added when they book which adds extra admin work. Finally some plans restrict how many intake forms you can send and that limit bothered me and others I know on certain subscriptions.

“Top Choice for Budget-Conscious Practices
Pros
IntakeQ excels at integrating with other platforms without reinventing the wheel. They're also very forward-thinking and help reduce duplicate work. For example, events from Google Calendar can sync with IntakeQ while still being HIPAA-compliant by marking them as 'busy'. This is just one example, but their integration with other expert tools makes IntakeQ stand out as an EMR.
Cons
