Simple to configure and edit

Pros

As an administrator, I find this platform extremely�simple�to configure and edit and my clients also have no trouble filling out their paperwork online. At first I paid IntakeQ's team to convert my paper documents into their digital templates at a very reasonable cost. They adapted my forms to the system quickly and within minutes of asking the staff at IntakeQ added my logo/header across all of my documents. I feel confident that all the information in those forms is stored securely in the platform. I definitely recommend it!

Cons

Truthfully, I cannot come up with any meaningful negatives as the team replies to my questions very quickly, although those inquiries have been rare because the platform is so�user-friendly and their responsiveness makes any small issue easy to resolve.

Calendar sync and esignatures

Pros

I appreciate that it offers calendar synchronization, sends appointment reminders to patients and includes electronic signature functionality.

Cons

For me, there's a noticeable learning curve with the platform and I don't find it as easy to use as JaneApp.

Affordable with many features

Pros

I am genuinely blown away by how affordable it is given how many features it offers and the real value those features deliver.

Cons

For us, the calendar view hasn't been reliable and the list view is even more problematic. I'd like an option to have appointments occupy a fixed width and a way to show locations as separate calendars altogether.

Effortless and natural to use

Pros

What I love is how effortless and�natural�it feels and whenever we need a tweak there's practically always a way to customize it to our needs. The support team is absolutely the finest I have dealt with in over two decades of running a business. Wide range of functionality

Pros

I have found IntakeQ packs a wide range of functionality into one platform. I can generate invoices and superbills, manage patient scheduling, distribute intake forms and keep secure documentation all from a single dashboard without paying a lot. There are still several capabilities I haven't explored yet but I plan to make use of them down the road.

Cons

In terms of drawbacks, I was expecting the email tools to be stronger so I could run more campaign types aimed beyond just my active patients. Also, composing and managing emails feels clunkier and less�natural�compared with other parts of the app, so the ease-of-use for messaging could use improvement.

Pros

Impressive built-in tools

Pros

I have discovered an impressive array of built-in tools such as payments, notes, scheduling, digital intake forms and more. The e-forms were actually why we switched to IntakeQ because we were drowning in paperwork while trying to streamline our intake and store physical files. Dealing with that was a nightmare. It has dramatically improved that process and our clients have given us a lot of positive feedback. On top of that, it is great that we can tap into so many additional features.

Cons

Compared to Acuity, I find the scheduling tools a bit less�natural�and they demand more effort to set up appointments now. I especially notice the extra hassle with recurring bookings, though overall the platform's other capabilities make the trade-off worthwhile.

Strong automation frees me up

Pros

I am really impressed by how strong the automation is it handles everything in a single workflow and frees me up to concentrate on growing the business.

Cons

Unfortunately, it doesn't connect with our payment processor. We rely on CardPointe because it lowers our transaction fees but that means I have to manage payments separately from IntakeQ as an additional task which would be great to consolidate into one system.

Simple, dependable and smart

Pros

After using IntakeQ for nearly a year, I have found it to be the most convenient platform I have ever used. It feels�simple, dependable and impressively smart. The team behind IntakeQ responds quickly and is very receptive whenever I reach out.

Best and incredibly reasonably priced

Pros

At my chiropractic clinic I manage patient intakes and the daily schedule and over the years I have tried at least three other software packages to handle those tasks before I found IntakeQ. In my experience it is hands down the best and every competitor I used cost around $200 to $300 per month, so it feels incredibly reasonably priced in comparison. Plus I am really impressed by the breadth of features it offers but more than anything I value its reliability. I have never experienced missed appointment reminders or system crashes as everything is delivered promptly and consistently. I genuinely love this program and recommend it to pretty much everyone because it makes my workday so much easier.

Cons

Honestly I cannot think of anything about it that I dislike.

Simple setup and quick for clients

Pros

Setting it up and using it was super�simple�for me. My clients often comment on how quick and hassle-free the paperwork process is. It definitely gives my practice a more professional feel. Plus, it is HIPAA-compliant which I really appreciate!

Cons

Printing is a real headache because it outputs an excessive number of pages whenever I print forms. There's room to improve that functionality. It would be great if they offered an option to reduce the font size or otherwise compress the layout to save paper.

Incredibly easy and friendly to use

Fair pricing with a user-friendly interface

Pros

As a small-business owner, I find the pricing fair and the interface very user-friendly, it has genuinely made running my practice so much easier. It helps me come across as more professional and organized and knowing it is HIPAA-compliant gives me real peace of mind. I love that the product keeps getting feature updates, customer support is fast and friendly and the payment flow is streamlined which saves me a ton of time as a solo operator. The auto-save feature prevents me from losing notes I am working on, the patient portal simplifies communication and the reporting tools are excellent for spotting trends and making smarter marketing, budgeting and scheduling decisions. I could honestly go on as I truly adore this company.

Cons

There are a few occasional buggy behaviors in the app but they're so rare that I usually forget to report them. However one time I did reach out and the support was responsive and the problem was fixed later that same weekend and that was even over Thanksgiving weekend. My other minor annoyance is that if I have the software open in more than one browser tab for example a booking calendar in one tab and a patient note in another. and I can sometimes get logged out automatically which is frustrating when I am mid-task. I do understand that this can be useful for security if I happen to be on a public computer in a shared office space, though.

Strong start with excellent patient experience

Pros

Being in our first year running the practice, IntakeQ helped us get off to a strong start. Making all of our intake forms through IntakeQ right from day one has genuinely improved the experience our patients have with us. Working alongside their customer support team made designing those forms actually enjoyable as they're consistently available and incredibly supportive. Patients like that they can fill everything out on their phones and appreciate that progress is saved as they go. We've yet to receive a single negative comment from patients about IntakeQ. I am really happy we discovered the platform and I wholeheartedly recommend IntakeQ to any clinic aiming to go paperless and switch to online intake forms. Overall it is been a game-changer for our workflow.

Cons

At first I could not think of any downsides to it and I was unsure whether we needed it since I was launching a solo practice. That worry proved unfounded. The subscription cost feels completely justified so no doubts there. With a committed customer service crew and consistently positive feedback from patients, I honestly cannot picture our office opening a year ago without IntakeQ in place.

Excellent calendar and form integration

Pros

I find the iCal and Google Calendar integration excellent and really simple to configure. The online forms feature is something I love as they're automatically dispatched whenever a patient books which is incredibly easy and is saving me time in this part of the scheduling and documentation flow.

Cons

It would be really helpful if there were a way to mark a visit as complete and have the appointment change color once I have either issued an invoice or finished writing the note. I also need an extra checks-and-balances reminder so I don't forget whether a note has actually been completed. The invoicing/superbill functionality feels a bit clunky at the moment, although I am grateful to have that option since MassageBook didn't let me generate these documents at all. I am hoping that with practice the workflow will become smoother but right now it is definitely NOT saving me time. Another big friction point is that I cannot go straight from the patient's clinical note to a checkout screen to create the invoice instead I have to back out to my schedule and click the patient again which is annoying. Again, this whole process is time-consuming and somewhat cumbersome and because of the extra steps it sometimes makes me lose my train of thought.

Saves time in waiting room

Pros

it is so helpful that our patients don't have to sit in the waiting room anymore filling out paper forms with a pen. We've found this saves a lot of time and has made our patient flow far more consistent and much easier to manage.

Cons

I wish IntakeQ would automatically populate fields in our EHR system instead of requiring manual entry. I am not completely sure whether this is something IntakeQ can control or if it is on the EHR side but it is the one key feature we feel is missing from our setup.
