Significantly simplified intake paperwork

Pros

I have found that Intake Q has significantly simplified our intake paperwork and boosted efficiency across the office. In our mental health private practice we try to collect extensive background details and it handles that well. It integrates smoothly with our EMR and both the clinicians and support staff really appreciate it. Patients find the online formssimpleto fill out and we consistently receive positive comments from them.

Cons

We're very satisfied with Intake Q and, at this time, we don't have any issues or concerns to report.

Reasonable pricing with perfect forms

Pros

We had IntakeQ build our forms for us and after a little tweaking they turned out perfect. I find the pricing very reasonable, particularly considering it covers HIPAA-compliant forms.

Cons

I found the form-builder section has quite a steep learning curve while certain features are reallysimple, many others are surprisingly hard to work out.

Pleased with secure client communication

Pros

I am really pleased that clients can communicate and complete their personal health information online in whatever communication method they prefer, without worrying that their sensitive data will be exposed to others. The pricing for this product is another thing I genuinely appreciate. Also, the customer service is impressively responsive which I love.

Cons

One thing I am missing is native PayPal support or a built-in credit card processor it would really simplify payments for me. I'd also like the ability to submit claims or payments directly to insurance companies from inside the system. Among the features already available, I wish I could click a client's name wherever it appears and immediately return to their profile page, instead of having to go through the full client list every time. Another improvement I'd appreciate is when stopping a recurring appointment, having the option to cancel everything including the currently open appointment not only the ones after it. In the message center I often run into an annoying issue when I click to view a different client I have to refresh the page to make sure the content actually matches the name shown. If I don't refresh, the header will update to the new client's name but the page content will remain on the previous client's records which causes confusion.

Tailored forms with automated scheduling

Pros

My forms can be tailored to whatever I need. The automated scheduling feature has been a huge help. Patients receive text appointment reminders, can make changes online and I can even set up payment scheduling.

Cons

I'd like the ICD-10 codes built into the system so I don't have to type them in each time and paste them into every document. I also wish I could link certain items so they automatically populate into a SOAP note or an evaluation note.

Excellent for intakes and tracking

Pros

I have found IntakeQ excellent for sending intakes, tracking progress and even handling some automated tasks. Their customer service is exceptional!!! Whenever I need something I just send an email and usually get a reply in under an hour and the team is always eager to assist!

Cons

Would love to see more flexibility and expanded functionality they are working on updates but I hope those improvements come soon.

Really pleased with streamlined intake

Pros

I have been really pleased with this product. In fact, just last night a client complimented the way my practice is set up and specifically mentioned IntakeQ by name. Because the company concentrates specifically on streamlining the intake workflow, they handle that aspect exceptionally well. I am often working during unusual hours and the support team usually replies to my emails very quickly which I truly appreciate.

Cons

At times it is difficult for me to locate where particular pieces of information are stored or to understand how certain features operate.

Appreciate asking my own questions

Pros

What I really appreciate about IntakeQ is that it lets me ask whatever questions I want instead of forcing me into a fixed questionnaire although getting everything set up initially takes a fair bit of time, I think the payoff makes the effort worthwhile.

Cons

One frustrating aspect is the printing behavior with guided-question setups as it ends up printing all pages which can be clumsy. I would like the ability to assemble custom packets and then select only the particular forms or intake sheets I need on demand, rather than having to create separate packets for every possible situation.

Easy to send and receive forms

Pros

Once I have created the forms, I find it very easy to send and receive them.

Cons

I found putting the forms together really taxing and buying services directly from the company was both too expensive and incredibly slow.

Simple to operate and customizable

Pros

I am really impressed by how simple this system is to operate. I appreciated being able to set up my own SOAP note templates and have each one saved with a link to my Google Drive for easy access.

Cons

As a small practice owner, I found the initial cost a little steep when I first started but now that my practice is functioning well and established, this software has proven to be very worthwhile and reliable.

good for confidentiality, lacks key features

Pros

My practice needed a portal and online forms, because my EHR's portal doesn't let me handpick which details are shown on the patient portal and I have to safeguard adolescent confidentiality issues.

Cons

Sometimes the platform feels a little clunky, although much of that stems from the fact it doesn't integrate with my EHR. I do wish there was a dedicated mobile app for my phone. Aside from that, I find it excellent for booking and staying in touch with patients. Their customer support operates only through email but I have found them very responsive and they've implemented software changes to meet my needs.

Extremely easy for patients to navigate

Pros

As a therapist, I find it extremely easy for both me and my patients to navigate it is well organized and creates an intake PDF that I can have auto-saved to my Google Drive. I also appreciate the variety of plans for new businesses.

Cons

I was frustrated by how long it took me to configure the initial intake form.

Flexible with simple patient view

Pros

I really appreciate how flexible it is sending forms issimple, the patient's view is tidy and simple to navigate, I especially enjoy the signing feature and the HIPPA-compliance gives me confidence.

Cons

At first I struggled to build the forms and it took a lot of trial and error to get them right. The administrative side isn't asuser-friendlyas I'd like so a step-by-step form builder would really simplify things. I'd also appreciate the ability to upload existing documents for signatures.

Simplified front desk and intake

Pros

Using IntakeQ has really simplified our front-desk and intake workflow as now it is become so much easier to manage. Our patients are huge fans of it and I am noticing real savings in both time and money since we cut out paper and scanning costs. Honestly it is an excellent product!

Cons

My only drawback is that I wish we'd adopted it much earlier I honestly have no complaints about the software itself and cannot fault how well it works for our practice.

Plentiful form customization options

Pros

I loved how many different ways there were to tweak my forms the customization options felt plentiful. When I couldn't immediately find a setting, I reached out to support and learned that the change was possible.

Cons

Occasionally I struggle to find where certain form customization settings are located which can be pretty frustrating when I want to make quick edits.

Parents can complete on phones

Pros

I am grateful that I can choose the word 'most' as it saved me from having to list every single feature I adore. What really stands out for me is that the parents of our patients can complete the intake on their phones which I find fantastic.

Cons

It would be really helpful if I could sort submissions into folders that reflect the next action required for each one.
