“Cuts paper and staffing expenses
Pros
What I appreciate most is how much we cut paper and staffing expenses at our large group practice. It pays for itself, shortens lobby wait times, reduces HIPAA exposure from loose paper and I love it.
Cons
I hardly have complaints. It took some figuring the first time but overall I have found it really great.

“Simple to create patient questionnaires
Pros
For my hectic medical practice, I find it really simple to create and customize patient questionnaires it offers lots of features, is HIPAA-compliant and works well on the iPad.
Cons
I sometimes struggle to locate certain functions within the app and I had to reach out to customer support when I wanted to save a completed questionnaire as a PDF. I'd like to see an employer portal added and a much more powerful patient portal.

I am really impressed that it comes with thousands of ready-made questions and a handful of useful templates, so I could easily put together a fully personalized intake form in no time.
Cons
I wish copying and pasting information into my electronic medical record were more�simple.

“Easy layout with stupendous support
Pros
I have found the layout incredibly easy and�natural�as it is simple but still offers a ton of options for tackling more complicated tasks and they keep rolling out upgrades and improvements all the time. Their customer service is absolutely stupendous as it is fast, friendly, polite and thoughtful. I honestly couldn't recommend them more!
Cons
For me an official mobile app would be a nice addition, though it is hardly a dealbreaker since I simply save a direct link to the website on my phone. it is super�simple�and only takes a couple of seconds to pull up when I am out and about.

Pros
I have received some of the best customer support through IntakeQ. Having worked with numerous software companies over the years, I can confidently say it is easily among the top if not the very best that I have experienced. Their email responses are incredibly fast, practical and genuinely helpful. I am really impressed by how effective and friendly their team is. Plus, I love that I can keep my forms and appointment bookings all organized in one place.
Cons
When a survey was created for me, the team accidentally skipped a section of it. They corrected the oversight immediately after I pointed it out. Again, I was impressed by their responsiveness, such a great service!

Pros
I am really impressed with this product. it is so�simple�and meets our needs exactly. I also have to say the customer support has been unbelievably responsive and helpful as the CSR team is the best. But I wish every company offered that level of support.
Cons
The app is really easy to use overall. Because I manage 12 separate IntakeQ accounts, keeping them all neatly organized proved somewhat tricky, though I admit that was probably my own doing.

When we first reached out to IntakeQ, it was immediately clear their customer support stands out. They patiently guided our team through the platform's advantages and limitations, taking extra time to make sure we genuinely understood how everything functions and how it would specifically work for our practice. What stood out most to me about the support staff was their honesty when we asked which subscription would be the best fit for our organization. It was refreshing to encounter someone who didn't try to push a pricier option as they recommended the lower of the two plans as the right choice for us. Setting up and adding the forms was�simple and the whole system has been a real relief for both our front desk team and the patients we serve. Overall the smooth onboarding and upfront guidance saved us a lot of time and confusion later on.
Cons
I honestly cannot point to anything that feels like a con right now we haven't run into any drawbacks in our experience so far.

“Perfect automated paperless workflow

I am a big fan of IntakeQ. Before I signed up I did a thorough search and tested several platforms for my massage and coaching practice, because going fully paperless was non-negotiable for me. My priority was an automated workflow where a client could book themselves or I could add a booking manuallyand the system would automatically send the intake form. It really delivers as I can build my own intake forms with custom questions and it is incredibly�simple. I also appreciate the flexible reminders (email and SMS options), the online booking capabilities and how simple it is to update client records and SOAP notes from my iPad or phone after a session. On top of all that, the IntakeQ team has been extremely responsive and genuinely helpful. I requested a few tweaks and they were rolled out very quickly. I really appreciate their support and attention to user feedback.
Cons
I honestly have no complaints. For my needs the IntakeQ system works perfectly and I have noticed the team continues to add improvements on an ongoing basis.

Cons
For my part, I have found the medical notes area somewhat less�user-friendly�to use that's mainly because it lacks a few specific features I would personally like which might fall outside what most users expect or need.

“Simple rules and booking options
Pros
it is really simple to use and configuring fairly complex intake-form rules and the booking options is�simple. By moving our intake paperwork and appointment scheduling online, I have seen both workflows become much more efficient for our practice.
Cons
One major drawback we face is the poor support for families. for example, when a parent tries to book appointments for several kids they are forced to create multiple email addresses and the child profiles frequently don't link correctly which means we're constantly having to merge duplicate client records. Another big issue for us is the lack of integrations so we must manually mirror booking changes in our EMR schedule, payment details don't connect to our billing provider, although our Google Calendar does sync so we're really hoping the company adds more integrations down the road.

“Incredibly prompt and competent service
Pros
At first, their customer service struck me as incredibly prompt and extremely competent. The setup fees for the forms were very reasonable and the monthly charge feels like a steal. I cannot recall their system ever going offline. it is�simple�to get started and requires no upkeep. We continually discover new ways to use it across our workflows. Being able to send a simple link to a client is fantastic as the client clicks the link, completes the forms and submits without fuss. Downloading completed forms is effortless. I couldn't be happier with the whole experience. Honestly I am genuinely grateful so thank you, thank you, thank you.
Cons
Honestly I cannot find any drawbacks so far. I really wish every single interaction I have with other services could be as smooth and pleasant as the ones I have had with IntakeQ.

“Easy to use with outstanding support
Pros
I have found it really easy to use and their customer service is outstanding the product itself is incredibly smart and they constantly update it to keep up with market needs. In my experience, it is the only platform that can handle group therapy with multiple clients signing up and hands down it outperforms Theranest, Therapy Notes, Mentagram, Office Ally and Simple.
Cons
One thing I have noticed is they haven't added superbill generation yet as it is currently in development but they do provide a workaround through their forms for the time being.

“Manage accounts alongside patients
Pros
I am a big fan of being able to manage a patient's account alongside them. The paperless setup and constantly updated software are great. Patients find it really easy to use which I appreciate because I don't have to enter all of their details myself. I usually hand over the tablet and they happily fill in their information while I watch.
Cons
My experience is that the system fails to recognize some meds. Connecting with pharmacies to allow prescriptions to be uploaded automatically would make things much smoother.

Pros
I am really impressed by how fast, courteous and genuinely helpful the customer service team is. I consistently get an email response to any question or concern within one business day and more often than not it is answered within the hour!
Cons
For our team, it would be really useful to have more flexibility in re-sending completed forms to clients (for example, around a year later) so they can refresh their information. Aside from that limitation, we're very satisfied overall!

“Dramatically reduces paper and saves time
Pros
Well I have had a great experience with IntakeQ's customer support as they answer questions very fast and will either set everything up for you or patiently provide detailed, step-by-step instructions if you're the do-it-yourself type. It has dramatically reduced the amount of paper I use which has saved me money and feels better for the planet. The system also saves time and makes my workflow more efficient for instance, I don't have to scan and attach forms manually anymore which was a real hassle. Another big plus is that it helps me stay on schedule because most patients complete the required paperwork before their first visit, allowing me to have charts ready to go as soon as they check in.
Cons
We've run into a frustrating gap between the plan tiers the most basic option only allows ten submissions and the very next tier suddenly jumps to 150 submissions. That leaves our clinic stuck "between plans" because our patient volume doesn't fit either level comfortably. Also, the fee to access the secure portal feels a bit steep to us.

“provide my clinic everything i need

For running my clinic, IntakeQ really gives me everything I need as it doesn't leave out features I consider essential. Over the last month I have been making comparison sheets to sort through all the options and IntakeQ kept coming up as the winner every time. The interface feels clean and modern and both clients and clinicians find it�simple�to navigate. Adding assistants and non-clinical staff is easy and they can only access or interact with what I choose to allow. Having Zapier integration and an exportable API means those of us who want to build more elaborate workflows can do so without limit. For a clinic like mine that aims to stay cutting edge, this platform fits the bill perfectly.
Cons
The clinical note templates and treatment plan features are a bit underwhelming compared to platforms like SimplePractice or Thernest which offer much richer template libraries. This only becomes a real drawback if you frequently rely on quick labels or fast notes something our non-clinical team tends to do. Still, our clinicians usually step in to correct and tailor those quick entries and IntakeQ does allow that kind of customization, so it is not a dealbreaker for us.

Pros
What I appreciate is how�simple�it is for my patients to navigate. Also, the support team is phenomenal whenever I report even the tiniest issue they answer and resolve it quicker than any support I have worked with before.
Cons
The only thing that bugs me is when I am trying to book time off if I click the hour slot I want, the system jumps to 15-minute increments instead of setting it to the full hour I selected.

“Huge relief from scanning paper
Pros
Not having to scan paper forms anymore is a huge relief and I really appreciate that all my documents are stored online so I can sign in from home or anywhere I happen to be to complete charting and notes.
Cons
I am finding the mobile interface quite clunky and using it on a tablet remains challenging. I'd really like an easier way for clients to access paperwork besides email something like sending a texted user code to their phone so they can open forms directly would help a lot.
