After trying out various recommended process management tools like Bit.ai, GDOCS, and Process.st, I finally discovered Waybook. None of the others combined the flow, storage, and flexibility that Waybook offers. Its user-friendly interface and logical flow make it pretty easy to use. The software accommodates different formats, and whenever I onboard new team members, they quickly grasp its functionality. Trusting Waybook with the storage of crucial documents is a no-brainer for me. I've uploaded thousands of videos in various SOPS, and it has never crashed or caused any issues. The software also provides useful shortcuts for effortless SOP writing and addition. The team behind Waybook continues to introduce genuinely valuable features without overwhelming the platform, which I truly adore.
Cons
It's difficult to find any issues as they have addressed all the reported concerns! My only minor current problem is not worth mentioning. However, when doing SOPS, it would be great if you could copy the link to your clipboard, highlight the word you want to link, and press Ctrl+V to automatically set the link, similar to Slack's functionality with Ctrl+U, then Ctrl+V for quick link insertion. As I mentioned, it's a very minor issue!

The system offered by Waybook is truly exceptional in this regard.
Cons
Once you've checked off items on a list while working through a process, if you want to repeat the process (e.g., with another project), you need to manually uncheck all the checkboxes before reusing them. In that sense, it's not as powerful as Process St (but the pricing is much better!). Apart from that, we absolutely love it!

Using Categories, Subjects and Documents makes everything much more structured and having all SOPs centralized in one place is far better than dealing with scattered files everywhere. The layout and formatting also make the content clear and easy to follow. We use it internally for onboarding and training new team members and externally as a client-facing knowledge base as well.
Cons
From time to time, there are formatting issues especially when trying to get out of bullet points or numbered lists while editing content. The workaround is usually to create a new content block, format it the way you want and then delete the extra parts you don't need. I feel like it would be much better if there were a formatting icon on the left side of each line to make those adjustments more directly.

Getting a lifetime deal through AppSumo for a low price made it feel at least somewhat worthwhile. It's also useful having one place where we can store documents and look back at them when needed.
Cons
The downside is that it doesn't really work as a practical process management system since there's no way to print from it. The documents also aren't formatted in a way that makes them suitable for printing, so it's not realistic to keep letters for clients or employees there unless they're saved as PDFs. That becomes inconvenient because details like the name, address and date constantly need to be updated. We were hoping to store templates there as part of our processes but that just isn't possible.

Able to set this up and running was incredibly quick and it took almost no training to start using it properly. Whenever a question comes up, the in-app support team replies fast and is genuinely helpful. The way everything is organized strikes a nice balance too as it's detailed enough to give you the indexing depth you may need but it only goes about three levels deep. That simple menu structure makes the whole system much easier to roll out.
Cons
There are still a handful of features I'd love to see added, although they may already be on the roadmap. Exporting is possible but I'd really like the option to export more documents at once. It would also be useful to have the ability to password-protect a public page.

After trying to find a great documentation tool for quite a while, Waybook has easily been one of the best value apps I have bought in a long time. I really hope the company sticks around. We had been using Notion to document our processes but over time it started to feel messy and hard to manage. Keeping everything organized became a task on its own. This tool solves that with built-in structure and organization. I also like how minimal it is as I am not a fan of tools that feel overloaded with too many features. Overall it stays simple and focuses on doing one job really well. It also scales nicely, since adding a new team member is easy. The testing feature was actually the biggest reason I wanted to switch from Notion because I needed a more official way to track my team and make sure things were being followed. Really well done overall.
Cons
What I'd still like to see improved is the text editor. As it would be much better if it supported shortcuts for things like creating headlines and inserting images similar to a / command.

I was also a bit let down by the current security options and the limitations around using it to capture staff acknowledgement of new policies and processes. That said I have been told these features are planned for upcoming releases.

Pros
Getting Waybook through an AppSumo lifetime deal was perfect timing because I was actively looking for a replacement for Trainual. We needed a way to document our systems as we get ready to scale the business and this has been an excellent fit. The platform is incredibly simple to use and honestly I cannot think of much that needs improving. It's also encouraging to know there's a roadmap with even more valuable features coming.
Cons
One thing that would make the experience even better is a library of common SOPs or standard processes to help new users get started faster. This tool already includes a list of ideas by department which is helpful but having examples of common tasks within those departments would be a really strong addition for onboarding.

Between the responsive customer support, the user friendly setup and the pricing, Waybook has been a really strong choice. It's still a newer platform but it already is great across the board.
Cons
A few features haven't arrived yet like being able to publicly share certain SOPs or documents with people who aren't part of the team and there are still some integrations missing too. Since the software is fairly new though that is understandable.

Everything in Waybook is very user friendly and self-explanatory which has made it incredibly useful for organizing our notes by specific topics and keeping important information close at hand. The editing layout is elegant and well designed, so creating SOPs is easy. One of the biggest benefits is being able to monitor how each person is progressing through the process and how well they are absorbing the information in every SOP.
Cons
One thing we would really like is the option to create an additional workbook under the same account so we can keep two separate businesses organized without having to pay for a second investment on the same platform.
