Amazing Project Management!

Pros

Airtable is quite simple to use. Airtable performs the same functions as many other simple database and spreadsheet managers, but more robustly and with more visual flair.

Cons

It does take some time to become familiar with all of the options it has to offer.

Pros

Collaboration is simple, and I like how you can communicate with your team on each record.

Cons

Some fundamental functions are only available for a fee, so I had to purchase merely to have more color possibilities. Furthermore, while they provide a big number of ready-to-use templates, you will nearly always need to change a base to make it uniquely yours and meet your demands.

easy to pick up

Pros

Our team uses it mostly for campaign and marketing management especially keeping our editorial calendar organized across the year. Once leadership saw how well we used it, they rolled it out to every team and people ended up applying it in all sorts of ways like virtual event planning, building meeting agendas, running yearly task audits and more. It's simple to pick up, feels easy to use day to day and adapts nicely to different workflows. I'd happily recommend it.

Cons

A couple extra capabilities would make it even smoother. Letting you better connect bases and tables, having content automatically sync across connected sheets and improving how tasks get assigned to different team members. I also think there's a lot more potential to unlock with additional automation options.

Best PM software for beginners.

Pros

I like Airtable because it allows me to create simple yet useful custom apps and databases with almost no coding knowledge.

Cons

Its a great software, unfortunately, a few areas still need improvement like the storage space they offer.

Pros

Its integration depth is a big part of why its such a good fit. The built in features let teams start with a spreadsheet and layer on a lot of useful functionality. Then, by sharing that data with the wider app ecosystem, the range of what you can do becomes really broad.

Cons

Cost can add up quickly if you roll it out across a large organization. We've had good results using it as a central database while handling end user access through other systems which helped bring expenses down.

I rely on it for everything

Pros

I run three different businesses an instrument manufacturing company, a marketing agency and an automotive wheel repair shop so yeah, the use cases are wildly different. This tool is basically mission critical for all three, plus for managing clients inside it too and I also rely on it for personal projects. I'm using it for everything from lead management and production tracking to home project organization. A few things stand out as the biggest wins. It's genuinely quick to work with. I can spin up a custom database/spreadsheet setup really fast even from my phone. The flexibility is impressive. It can handle everything from a simple to do list to serious operations like tracking inventory for thousands of items, building quotes and following drum kits through the production process. I can manage what's done, what's still needed and what needs to be ordered then generate a purchase order from that, all within a single table. Collaboration feels effortless. Being able to have conversations with the team directly on specific records makes it easy to coordinate, whether we're building new advertising campaigns or discussing a particular drum kit. Updates sync everywhere quickly so I can keep an eye on different teams in real time and quickly spot if someone needs something.

Cons

The only real downside for me is pricing. Going paid isn't terrible at first but once you start adding team members and more bases, costs can snowball fast. I've managed to keep everything running for free for years but I do wish the pricing made it easier to justify extras like using things from their app marketplace or more customization options (like colors and similar features). With current pricing, I can't quite justify it.

user friendly tool

Pros

The software's ease of use is honestly a standout for me especially the web interface which feels genuinely user friendly. The built in help tips are also really practical and guide you to the right place without making you hunt around. On top of that being able to create, share and collaborate on a "base" is exactly what a team needs to stay aligned and work together.

Cons

I'd like to see more templates available directly instead of having to go browsing through the "universe" to find them.

versatile project management functions

Pros

Its versatility really stands out for me. I can set up all sorts of tasks and manage projects using grids, Kanban boards, galleries and calendars, depending on how I want to view things. On top of that the experience gets even better thanks to its apps (there are 50+), plus a huge range of integrations with other tools. Overall, it feels flexible enough to support almost any project type I can think of.

Cons

Some parts of Airtable feel easy to use but not everything behaves the same way. Finding particular settings or specific steps you need can get a little frustrating and I've had to spend time hunting for options more than once. It doesn't sound like a big deal at first but repeated moments like that can noticeably slow down productivity.

quick data storage capabilities

Pros

A great way to store, archive and work with data without any problems. The learning curve is light enough that I picked things up quickly and started using it immediately.

Cons

Free version has some noticeable limitations and most of the more useful features are saved for the paid plans.

top tool for planning

Pros

One of the best tools I regularly use for handling my data and planning content. Everything feels organized and it fits my workflow really well.

Cons

There isn't an option to hide certain tabs or rely on archives so sorting everything takes a bit more effort than it should.

Tons of ways to use it

Pros

Basically runs the day to day operations for my whole company. We use it as a CRM, an advertising planner, a content planner and for task management all in one place. What keeps me coming back is how flexible it is there are tons of ways to create and customize data, make changes quickly and generate reports. I've been using it for over two years now and I genuinely enjoy the features and the way they fit different parts of our workflow.

Cons

Jumping in for the first time can feel a bit overwhelming. There's a learning curve especially if you're starting from scratch even though there are templates available. Since the platform offers so much functionality, new users might feel like they're only tapping the surface at the beginning.

More powerful than Google Sheets

Pros

Ends up having a lot more functionality than Google Sheets and that extra flexibility is really helpful once you start going beyond basic spreadsheets.

Cons

Compared with simpler tools (including Google Sheets), this feels more complex and takes a bit more effort to wrap your head around.

great fit for us

Pros

I'm supporting a client who wants to create their own content but still needs help with reviewing it and publishing posts. This has turned out to be a perfect setup for us. Even though she's brand new to this kind of tool, it feels extremely easy for her to use. I also really appreciate how convenient it is to copy and paste items when we're moving content through the workflow.

Cons

Nothing negative has come up for me yet. I'd happily recommend it to beginners and to social media managers who need an organized way to handle review and posting.

strong integrations for automations

Pros

The number of available connections in this software is a big plus. It lets us set up a wide range of automations and integrations and honestly it beats a lot of other tools I've tried.

Cons

live databases are quick to build

Pros

Made it really easy to build live databases, create forms, collect data and share everything with custom views. We run a big meeting with 200+ faculty members and the details can shift right up until event day. It has been a game changer for keeping track of those live updates. It also lets us combine information in different formats, review snapshot style aggregate data and link or sync forms for smoother collection. Moving away from juggling multiple Excel files and Google Sheets has saved a ton of time and the customization options inside each base are a big plus since you can set up views that show exactly what you need.

Cons

There's a learning curve if you haven't used the platform before and it can feel confusing at first when you're starting from scratch. Even though there are templates available, the sheer number of capabilities can make new users feel like they're only scratching the surface of what the tool can do.

sluggish performance

Pros

There seem to be quite a few integrations available and if it happens to include the specific ones you need, it could end up being pretty handy for your setup.

Cons

Using it feels awkward and the performance is sluggish. After it added every possible integration all at once, it seems like it drifted away from its original purpose now everything feels slower, more confusing and it's hard to get any real value from it.

Templates are easy to use

Pros

If I had to name three things I genuinely enjoy about Airtable, it would be the templates, apps and automation. I like the flexibility of building tables and databases from scratch but I can also move faster by using one of the many templates provided. There are templates for a ton of use cases like content calendars, user research, marketing campaigns event planning, product catalogs and more so it's easy to pick something close and customize it to your needs. On top of that there are 50+ apps (including some open source options). Once you enable them, they can significantly expand what this software can do. And when the goal is to simplify day to day work and cut out repetitive tasks, the automation is really helpful.

Cons

A possible improvement would be adding more variety or options in the available views.

quick setup

Pros

Getting started building useful bases was really easy. There are tons of features and the range of what you can do feels almost endless but the fundamentals are clear and the whole setup stays flexible. After you get the hang of how the tools behave, it's possible to tweak things and expand your bases fast. One standout is the library of example bases. You can clone any of them straight into your own account and use it as a starting point or dig into them just to see how the structure is put together and learn how everything works. I also like how simple it is to move existing data into its bases and then export it again when needed. Everything feels flexible and practical. The app itself is very user friendly and the help documentation has been excellent whenever questions pop up. Compared to building a database and web app interface from scratch, it's been a huge time saver.

Cons

Early on, I did run into the record limit on a free account but since that tier is free, it's more of a heads up than a real complaint. Setting up some advanced field relationships has been a bit tricky especially things like calculations that rely on summaries of grouped records. Still, the newer add on capabilities for scripted data manipulation and conditional operations make it feasible to accomplish almost anything so with a paid account it's generally possible to work around those more complex cases.
