flexible APIs and workspaces

Pros

Podio is flexible when it comes to integrating APIs and setting up workflows without too much hassle. I also really like how simple it is to create new workspaces whenever needed.

Cons

One thing that bothers me is how difficult it is to build automated follow-ups and some apps still don't integrate properly within the CRM.

Good fit for us!

Pros

feature set is vast and useful

Pros

This software is the best because the feature set is flexible enough to grow with different team needs. The interface is also user friendly so managing tasks and workflows doesn't take much effort. Collaboration also works really well thanks to shared workspaces organized file handling and real time updates that keep everyone aligned. Support has been dependable too whenever needed and even though there are small bugs now and then, the platform still feels efficient and pleasant to use overall.

Cons

It can be a bit slow especially in larger workspaces or when using many embedded apps. The mobile version is also more limited than the desktop experience. And the customization options are powerful but they take time to learn. Notifications can get overwhelming too and occasional glitches or delayed updates can interrupt work.

collaboration that keeps us organized

Pros

Working with Podio is not a problem as it helps keep everything organized in one place. Also the add-ons continue to grow which makes the platform even more useful over time. My husband ends up using the system much more than I do and it has been valuable for him.

Cons

Hearing back from their team feels like wishful thinking even when you send emails. My assistant has still been waiting to get onboarded after reaching out and nothing has been resolved yet.

Podio gives us a lot of freedom to shape workflows, apps and processes around the way our business actually runs instead of making us adapt to a fixed system. Plus being able to create custom apps, automate tasks, control permissions and connect with third-party tools makes it a really powerful choice for CRM and day to day operations management.

Cons

There is a learning curve especially for users without a technical background. As advanced automation and integrations often require outside tools or extra technical knowledge. The built-in reporting and interface could also use improvement and the system can feel slow when handling very large datasets.

Cons

great app building value

Pros

Platform's flexibility are the biggest positives for me. And being able to build my own apps is a huge advantage and I really like how customizable it is. It is also great that the pricing is affordable for what you get.

Cons

It has changed ownership several times and there still haven't been many improvements to the dashboards. I also do not have the technical skills to create the more advanced setups or make ProcFu look as polished as I'd like.

Easy to set as per our needs

Pros

It really stands out for its collaboration features and how much you can customize it to fit the way your team works. Also it does not take long to get the hang of either so learning it on your own is very doable. And in a lot of ways it feels like Facebook built for business use.

Cons

The reporting side can be difficult to work with and a bit confusing to run. I am also not a fan of the option to disable commenting in certain parts of Podio.

Pros

The software has a lot of depth in the features we use and it handles everything we throw at it very quickly. It is also highly compatible with the different tools and setups we work with.

Cons

Overall it's been very good but I have been having trouble with the 200 file limit when handling documents. That might just be me missing something but it's still been a challenge.

good for workflows and collaboration

Pros

Getting around Podio has not been a problem and it did not take long to get comfortable with the different workflows. Task management is also easy to handle and offers a lot of flexibility when moving through projects. The collaboration features are really useful too because they make it easier for the team to stay aligned and manage tasks together. I cannot really speak about pricing since I am on the IT side and I haven't needed to contact support because there have not been any issues so far.

Cons

Only limitation is that there are only a few automation options available. Also some of the apps we use still don't integrate directly with it so we've had to rely on Zapier to make those connections work.

One of the best parts of using Podio has been the customer support. As our rep Jacquelyn is incredibly responsive, always available when we need help and very quick to solve any issues that come up.

Cons

The biggest thing missing is stronger reporting functionality. As it would be really helpful if it offered better reporting tools along with improved printing options.

What makes Podio such a practical tool for me is that using it has been really easy and the level of customization is one of the best parts. I also really like that calls and the latest comments linked to my email show up automatically which helps me stay on top of things.

Cons

I feel like the alert system and reminders could be more automated. At the same time some of the limitation seems to be on my side since I still feel like I could probably do more with the app than I currently know how to.

Overall it has been simple to use and the way it brings everything together works really well. Also task management is clearly laid out and easy to follow. It even feels like very good value for the money.

Cons

Our team and our clients can stay in sync without any friction which makes communication really smooth. Also it keeps all of our documentation in one central place so tracking down what we need is not an issue too.

Cons

Always offers standout support

Pros

After using many CRM platforms, it is still one of the most powerful I have worked with. Also it is flexible, easy to use and highly customizable especially for the price. The support team has improved a lot too and the Podio community is active, knowledgeable and helpful. Since every business depends on reminders and task tracking, its built-in task system works really well. Also it makes team communication feel natural, keeps project management organized and handles invoicing or payment issues surprisingly fast.

Cons

There is still some space for it to grow when it comes to adding new features. Two improvements I would especially like to see are a refreshed, more modern mobile app and the option to assign user roles at both the app and field level.

It is a custom workspace powerhouse

Podio gives you total freedom to create custom workspaces and apps whenever you need them. The Advanced Workflow Automation included in the Premium plan takes that flexibility to another level and really expands what the platform can do. And with its drag and drop setup, it stands out as one of the most adaptable and capable tools out there. I mean it was doing serious no code work long before no code became a popular term.

Cons

New features roll out very slowly. Also there are not many built-in integrations with third party tools so you often have to rely on connectors like Zapier through the API. And since there are very few limits on what you can build, getting started can feel a bit overwhelming at first. But once you start thinking in terms of a relational database, everything begins to click.

Ideal tool for scaling

Pros

Running several businesses in different industries used to be much harder but Podio has completely changed that for me. It covers everything I need in one place such as CRM, project management, task tracking, document storage and team collaboration without feeling limiting. Also the level of customization is unmatched because I can create apps and workflows that match how I actually work instead of changing my process to fit the software. I have used Salesforce and other platforms before and it stands out as more flexible, easier to use and much more affordable. Overall it is powerful enough to handle complex operations yet simple enough that my team picked it up quickly. The integrations, automation options and overall adaptability feel almost limitless. So if you need a platform that can grow with your business, keep things organized and make communication more efficient, it has been the best option I have found.

Cons

There was a period when the platform seemed a little slow to roll out meaningful improvements and customer support used to take longer than I wanted when issues came up. Since the change in ownership though both areas seem to be moving in a much better direction.

This is our digital backbone

Pros

It gave my team a low-code platform that lets us redesign and organize the business exactly how we want. It goes far beyond being just a CRM or project management tool. For us it has become the digital backbone of the company. This is where many of our small to mid sized business processes live where we build structure, automate workflows and get support from several AI-powered processes.

Cons

At first it is not very easy to grasp everything it is capable of. So I would say there is definitely a steep learning curve in the beginning but once the core concepts click, it really opens up and becomes a space where my team can use creativity to solve problems and build real value.

Overall a user friendly tool

Pros

One of the best things about Podio is how flexible it is. As it is easy to use, works really well for team collaboration and lets us tailor workflows to match exactly how we operate. The API is also a big plus since it makes connecting with external integrations very effective.

customizable hub for everything

Pros

It is is completely customizable which makes it the backbone of my tech stack. Plus the open API on the back end lets me pull in data from other tools like ShareFile, QuickBooks, RightSignature and Slack. Overall it acts as the central hub for my entire tech stack.

Cons

One frustrating part is that it still does not have native integrations for some former Citrix products especially ShareFile and RightSignature. So you have to create workarounds and use Zaps to make them communicate which feels ridiculous since the same company once owned tools that should work well together. Also it seems like the platform needs more attention and investment from the new owners. Even so, I have not found another customizable CRM at this price that can support running my entire tax and accounting practice. Occasionally it goes offline or gets slow so it really feels like the system just needs better upkeep and more support.

perfect fit for agencies

Love the integration options

Pros

Podio's biggest strength is how customizable it is which makes it really useful as your business grows and scales. The steady rollout of new integrations also helps keep it near the top of my list when I think about CRM options.

Cons

Though it doesn't happen often but when the site or system goes down in the middle of the workday, it can seriously disrupt a business that depends on it a lot. In the past 6 years I have only run into that problem about 3 or 4 times.

The thing I really liked about Podio was how well it connected with Google Drive and Dropbox which made sharing files really convenient. As a user, it felt like one of the more simple platforms to work with.

Cons

Setting up tasks and workflows is a different story as it is not nearly as user friendly for the people handling that side. Plus it can take a long time to get everything configured just right. and if only one person manages the setup and then leaves, you can end up in a tough spot when changes are needed. The pricing also climbed faster than I expected. The basic version starts out affordable but once you add features, the cost adds up quickly and can become very expensive. On top of that after investing so much time in the setup, it makes you reluctant to switch to something else. In my case, I needed stronger tracking and reporting than it could offer and with the price continuing to rise, I decided to move on.

A Lot Like Digital Lego

Podio is truly a remarkable gem that you won't find in any other project management, task management or workflow management systems. It offers multiplte possibilities. You can easily create unique systems and flows tailored to your specific needs, even if you don't a lot of technical knowledge (although some is definitely helpful). It's a fantastic way to design the EXACT workflow and data management components you're seeking.

Cons

Setting up and implementing Podio is not a simple task. It requires time, planning, and a decent level of technical understanding. While you don't need programming knowledge, the setup process may not be suitable for those who prefer an easier approach. However, once you get the hang of it, it's quite impressive. Honestly, I don't have much more negative feedback to provide about it.

outdated system and poor support

It used to work well for handling databases and the relationships between them. We even had our entire ERP set up in Podio at one point.

Cons

Well it used to be a great option back when workspaces were highly customizable and external users could interact with the platform without much trouble. Then that changed without warning and in a one sided way which made most of our apps practically useless. Compared with tools like Notion, the platform now feels outdated and its system is harder to configure than it should be. Customer support is also disappointing, with slow replies and very little empathy for users. On top of that it costs more than other platforms that are both more powerful and more flexible.
