New virtual assistants or contractors can usually understand how our boards work within minutes and tools like labels, comments and basic Butler automations help us stay on top of follow-ups and recurring tasks. It also integrates well with Google Workspace which makes it convenient to connect Docs and Sheets and use it alongside Slack, Zoom and email for everyday coordination.

That said Trello's built-in reporting and time-based views are pretty limited so when we need portfolio-level KPIs or more advanced project tracking, we still rely on spreadsheets or other platforms. Once boards get bigger, things can start to look cluttered too especially if there aren't clear rules for naming cards and archiving completed work. Because of that it takes some discipline to structure and maintain boards in a way that stays manageable.

“handy Gmail integration
Pros
One thing I really appreciate is how often they keep adding new Power-Ups. I recently started using the Gmail Power-Up and it has been incredibly useful to turn an email into a task on my Trello board right away.
Cons
I'd still love to see more Power-Ups included in the free plan. I originally picked Trello because it had a free version but it feels like the free tier is starting to offer fewer features and less functionality.

Pros
Trello feels very organized, looks nice and is simple to work with. It's also highly customizable which makes it easy to adapt to different workflows.
Cons
Collaborating with other people on the same board was a bit difficult so we had to rely on another tool like Slack to keep communication clear.

Pros
Setting up boards, moving tasks around and organizing workflows is fast and simple. It does a really good job of keeping ongoing work visible especially when you're juggling multiple priorities.
Cons
When project management gets more complex, though, it can start to feel a little limited. To go beyond the basics, you sometimes have to rely on integrations or extra add-ons.

The board-and-card layout is highly visual which works really well for creative workflows. Moving tasks from one stage to another feels natural and it keeps projects organized without needing much setup.
Cons
Once projects get bigger or more complex, it can start to feel a little limited. Some of the more advanced project management features are only available through integrations or add-ons.
