If you’re a former employee trying to access your W-2 from UltiPro, now called UKG software, you’re not alone. Many companies use UKG Ready and UKG Pro, popular HR and payroll platforms, to manage employee records, including tax documents. Fortunately, accessing your W-2 form is straightforward if you follow the correct steps. 

This article covers a step-by-step process of getting W2 from UltiPro even if you are not a current member of the organization: 

Step 1: Check Your Access To UltiPro

Even as a former employee trying to get W2 forms from UKG, many companies allow users to retain limited access to UltiPro for a certain period after their employment ends. So, the first thing you must do is to confirm with your former employer if you still have login access. 

How To Check Access? 

  • Try logging in to UltiPro through your company’s designated portal link
  • If you no longer remember the portal link, search your old emails for login instructions from your employer or contact their HR department

In case you have forgotten your login credentials, you can simply reset them. You can do this by: 

  • Visit the login page of your company’s UltiPro portal
  • Click on the ‘Forgot Password’ or ‘Forgot Username’ option
  • Follow the prompts to reset your credentials, which may include answering security questions or receiving a reset link via email
  • Once the password is reset, log back in to your account

Use the same email address you had during your employment for account recovery to avoid complications.

Step 2: Locate Your W-2 in UltiPro

Once you have successfully logged in to UKG, follow these steps: 

  • Navigate to the ‘My Pay’ tab on the main dashboard (located on the left side of the window)
  • Click on ‘W2’ under the ‘Forms’ section
  • Select the year for the W-2 you need (e.g., 2023)
  • Download and print your W-2 if necessary

Alternatively, you can use the search bar on top to find the W2 form or find it under the ‘My HR’ section.

What To Do If You Can't Access UltiPro?

If you no longer have access to UltiPro or encounter issues while logging in, reach out to your former organization’s HR or payroll department. They can assist you with: 

  • Providing a direct copy of your W-2
  • Resetting your UltiPro access if possible

Important: Employers must legally issue W-2s by January 31 of the following year. If you haven’t received yours by then, be sure to follow up without delay.
