Support team responds quickly

Pros

It is simple to understand and it doesn't take long to learn how everything works. Whenever help is needed, the support desk has been reliable and usually responds very quickly.

Cons

the interface changes pretty often without any warning. You get used to how your screen looks and then the next time you sign in, it can be completely different. There's also no option to switch it back.

clear dashboard for accounting

Pros

Keeping up with invoices, expenses and basic accounting tasks is much more manageable with this software. The dashboard is clean and simple which makes it easier to stay on top of financial tracking.

Cons

It's a reliable tool overall but getting comfortable with it can take some time in the beginning and a few features are only available in the more advanced plans.

fits perfectly with modern accounting

Pros

Working in it from anywhere has been the biggest advantage for me. Since it's cloud-based, it fits perfectly with modern accounting and advisory work and gives me a lot of flexibility in how and where I work. Another thing I really value is the real-time collaboration because clients, bookkeepers and accountants can all be in the same file at once without dealing with version conflicts. The automatic bank and credit card feeds are also a huge help, with transactions importing daily and cutting down a lot of manual entry while helping reduce mistakes. QBO's integration options are another strong point since it connects well with payroll systems, payment processors, inventory apps, CRM platforms and tax software. The interface is user-friendly which makes it simpler to train clients and review their books efficiently. I also appreciate having instant access to financial reports like profit and loss statements, balance sheets and custom reports whenever I need them for advisory work or decision-making. The secure cloud storage is reassuring too because I don't have to worry about local backups or losing files. On top of that, it scales well, whether it's being used by a startup, a small business or a growing company with more advanced needs. The mobile app is useful for quick account checks, invoicing and capturing receipts while away from the office. Automatic updates are another plus since improvements and new features are added without the hassle of manual installations.

Cons

One part I'm less enthusiastic about is how much the platform has changed over time. Even though updates and new features are often beneficial, frequent adjustments to the interface and workflows can slow things down occasionally and create a need for retraining or getting used to new processes. Still, it's clear those changes are intended to improve the product and keep it current so I'm optimistic that they'll pay off as the platform continues to develop.

makes bookkeeping simple

Pros

It feels very user-friendly and makes bookkeeping much simpler to handle. It also helps keep track of expenses, income and all kinds of financial data in one place.

Cons

Some functions and features can be a bit hard to learn at first but with time they become easier to use and more advanced.

Mixed feelings about the switch

Pros

After running my high-end hair salon for 20 years, I had relied on QuickBooks the whole time. Back in 2007, I could buy a QuickBooks Desktop disc for $150 and use it for three years. I used Desktop for about 95% of my time in business, right up until early 2025. In March 2025, I was told my Desktop subscription would jump from $600 to $1,200 at renewal and they offered me a special deal to move to QuickBooks Online. I really did not want to switch. I was told there was an app that would give me basically the same experience as Desktop which I had been comfortable with for years. I am not an accountant and I probably only used around 20% of what Desktop could do but it let me run my business, handle direct deposit payroll, pay payroll taxes, unemployment taxes and everything else I needed. At the start of every month, I would close out the prior month by balancing my QuickBooks ledger to my bank statement and for 17 years I balanced it down to the penny every single month. I did not prepare quarterly 941 forms or year-end tax returns myself since my accountant handled and signed off on those. Still, with Desktop I felt fully in control of my business and managing payroll taxes and weekly payroll was very manageable. I paid bills through my bank's online Bill Pay and everything worked really well until I moved to QBO. The app they said would recreate the Desktop experience did not do that and I ended up having to learn QBO whether I wanted to or not. That said, whenever I needed help, I was able to get free assistance and things do work now, just not with the same simplicity or low stress I had with Desktop. There are a few things about QBO that I genuinely appreciate. It connects directly to my bank and when I enter transactions into the ledger, it brings in an image of the check which is a huge convenience. I used to spend time every month pulling up each check online to see who it was written to and now that information appears right away. I also appreciate being able to log in and use the software from work or from home. With Desktop, it was only on my laptop at home so I could not access it while I was at work. Payroll is easier in QBO as well and another big benefit is that I no longer have to send my file to the accountant each month because they can log into my business whenever they need to.

Cons

I feel I have lost control of my file. With Desktop, I could make my edits, fix what needed fixing and once I was satisfied everything was correct, then I would send it over. With QBO, the file feels like it is always active and every time I log in, it seems like I am trying to catch up with what has already been happening. I also feel like I lost some privacy because I can no longer fine-tune my file and get it exactly right before the accountant sees it. With QBO, I never really know when my accountant has gone into it and I do not always know what they changed or even what they looked at. It is not that I have anything to hide, it is just that I do not like losing the ability to perfect my file before anyone else views it. I am very detail-oriented and I actually enjoyed balancing my file against the bank statement each month. Now so much of that happens online without me even knowing and I really do not like that. Overall, I feel like I was pushed out of Desktop and into software that I still resent using.

Prompt responses from the team

Pros

From an employee's perspective, it was very user-friendly. Having quick access to my pay information and important details whenever I needed them was a big advantage. It was also reassuring to know customer support was just a phone call or email away and I usually got help without much waiting. Overall, it felt like the company got solid value for the money they spent.

Cons

The amount of information felt overwhelming, with a lot of screens and steps that could get confusing. Still, whenever that happened, customer support was consistently helpful in clearing things up.

easy to work with

Pros

Running my small business has been a lot better since I started using it. It's fairly simple to work with and feels like a solid value for everything that's included. Being able to give my bookkeeper access has made a big difference especially during tax season and that saves me a lot of hassle. I handle invoicing and payments through a separate CRM but QBO includes those tools as well and syncs with my CRM platform which helps keep my financial reporting organized and clean.

Cons

A minor issue that comes up now and then is the bank sync when I'm trying to reconcile my account. It may be more of a problem on my bank's side than with QBO itself but it still happens from time to time.

Learning curve for beginners

Pros

It offers good value for the price and the customer support has been amazing. The invoicing features are very detailed and the financial reporting works well. We do not use the payments feature.

Cons

I can't really call it a time-saver because it takes quite a while to learn. I also don't think it's particularly user-friendly for someone who is new to this type of software.

Well-structured platform

Pros

The platform is well-organized and gives us accounting tools that work well for our office while also translating seamlessly for our accountant.

Cons

Packed with business tools

Pros

It comes with a wide range of useful features that really help with running a business. I've been using QuickBooks since 1996 and even with the price continuing to go up, I still wouldn't move to another platform.

Cons

One frustrating part is that Intuit tends to rearrange the dashboard without any notice which makes familiar links harder to track down. The fast push toward adding Artificial "Intelligence" features has also been pretty irritating.

Not hard to get used to

Pros

Pretty convenient because it's accessible and user-friendly. Even without an accounting background, it doesn't take long to learn and become comfortable using the software.

Cons

I still prefer the older offline version since I could use it anytime, whether I had Wi-Fi or not.

Buggy software

Pros

The layout is fairly user-friendly but there honestly isn't much else I can say I enjoy about it. QuickBooks Desktop works better than the online version and I've been trying to move back. Unfortunately, they make switching back really difficult and there's basically no support to help with that process.

Cons

This software has been very buggy and the sales approach feels way too pushy. Tech support is inconsistent because some representatives don't seem current on how the software actually works so getting useful help is hit or miss. There's also no hard-copy backup option. On top of that, it's frustrating to use because QuickBooks keeps blocking integration with my bank account, creates too many duplicate entries and turns bank and credit card reconciliation into a real hassle.

Constant upsells and clutter

Pros

Bank connections usually work well which is obviously a core requirement. The P&L report is also solid, the layout is useful and the drill-down feature helps save time.

Cons

Every time I open this tool, a huge amount of screen space gets taken over by the Business Feed and AI prompts and it wastes my time constantly. It's very frustrating. Also, there are nonstop attempts to upsell me on services I've had no interest in and have declined for years. The software should be able to recognize that I repeatedly close all of this screen-cluttering noise and stop showing it. If I'm paying for a service, I should have some control over the experience instead of being forced to deal with advertising and upselling.

Friendly for everyone

Pros

Working with this accounting software feels very simple and it's friendly enough even for someone without an accounting background. It also connects well with bank accounts and credit cards which makes tracking accounts much more convenient.

Cons

online updates are made without informing the customer in advance. Those software upgrades should be communicated first and customer consent should be taken before applying them.

More suitable for smaller businesses

Pros

At a previous job, I used it regularly and the interface felt very user-friendly, with navigation that was simple to follow.

Cons

It's geared more toward smaller businesses so the plan I had access to came with limited functionality. Since features vary by package, the more expensive plans are usually the ones that include the best tools.

offers end-to-end service

Pros

It's one of the few companies that really offers end-to-end service. I don't need to chase down three or four different vendors to get everything handled.

Cons

it feels like a huge monster at times. One side doesn't seem to know what the other is doing and I don't enjoy getting passed around from one rep to another.

always up-to-date

Pros

On top of everything this software already does well, the online version is really what seals it for me. I travel frequently and there have been plenty of times when getting connected through a VPN and jumping into a remote desktop just wasn't practical. Being able to log in through the web platform instead has been incredibly convenient. It's reliable, full-featured and best of all, it's always current with the latest updates.

Cons

The part I'm least thrilled with is the reporting flexibility. For a cloud-based system, I expected more customization options than it currently provides and I often have to export reports to Excel to get the layout I need. It's not enough to outweigh the benefits but it definitely creates some extra friction during month-end work.

Organized workflow

Pros

Using it as a payment processor has been fantastic especially for bank transfers at 1% on more regular transactions. The whole flow from estimates to finished invoices and collected payments feels very organized. The option to send by text or email is also a big plus when I need to process payments while I'm out on the job.

Cons

App interface changes pretty often with all the updates. Buttons sometimes move around and the layout looks different but that's mostly a personal gripe since the updates usually end up making things even more organized.
