“Impressed with its ease of use”
Pros
After 15+ years of using it across different industries, I'm still impressed by how simple it is to work with. I'm not a CPA or trained bookkeeper yet it makes it incredibly simple to find exactly what I need and keep my finances organized so I always have a clear picture of where my money is going.
Cons
They update and change features which can take a little getting used to. Still, I understand those changes are usually meant to make the software more user friendly and even if it pushes me out of my comfort zone for a bit, the end result is usually worth it.

Pros
Pulling transactions in automatically from the company bank account saves a lot of time. The system also feels very user-friendly since it recognizes regular transactions and suggests a default "rule," which makes the process even quicker.
Cons
It can be confusing to create a supplier invoice, it brings up the last invoice raised for that account and you have to type over it. It takes a bit of getting used to at first.

Pros
Being online is great because I can log in from any computer whenever I need to. The online invoicing is really useful too, especially since I can tell when a client has actually viewed their invoice. It also gives clients a quick way to submit payments. Another big benefit is that our bookkeeper can work remotely and still have full access which makes it much easier to keep that role off site.
Cons
The credit card processing fees are not a good fit for us and we also wish the payroll feature were less expensive.

Pros
Working with another accountant feels smooth and the multi-user access is incredibly helpful. The payment processor is simple to use and customers already recognize it which adds a level of trust. Tags, locations and the other transaction categorization options are extremely useful when it comes to reporting.
Cons
Once a bank reconciliation has been completed, changing anything is almost impossible. If a mistake needs to be fixed at that stage, it becomes very difficult to correct.

Even without being very tech-savvy, I've been able to stay on top of my books because the platform is very user friendly. It also helps that bringing a professional accountant into the system, when needed, is a simple option.
Cons
A few of the terms and wording can be unclear at times. Handling book reconciliation on your own can also feel confusing.

Pros
Running a small business feels a lot more manageable with this tool. There have been plenty of times when I was away from my desk and still needed to handle payroll or send an invoice and I was able to take care of it right from my phone or iPad. It has even been a lifesaver during tax season, letting me send W-2s to employees in just a few minutes. Overall, it's dependable, trustworthy software that keeps improving.
Cons

Didn't take long to get used to it which made the learning curve really manageable. Even though it's simple to use, it still works effectively for everything I need to handle in my role. The data stays organized well so it's usually pretty easy to go back and track down any transaction I need. It also tends to run reliably, with very few glitches or slowdowns.
Cons
Integration with outside apps could be better. It would be better if it offered more flexibility and connected more clearly with a wider range of external tools.

Pros
Handling taxes and pulling business reports is a huge help with it. It's especially essential for payroll, I honestly can't imagine managing payroll without it.
Cons
One thing I'd change is the payroll tax center since it could be laid out in a more organized way. Setting up new states when employees move between states also isn't very user-friendly.

At this point, I don't see any positives. The online version is terrible and QuickBooks as a whole has been awful.
Cons
They rolled out an update and changed things around without any permission which really messed things up for users. Then they came back with some bogus explanation saying only higher-tier plans can change the layout, while Essential users cannot. It just feels like another way for a multimillion-dollar company to squeeze more money out of hard-working people.

it felt very user-friendly. Nearly everything behaves the way you'd expect and a lot of the features I always wished the Desktop version had are already included here. Getting everything set up was simple and the interface makes it simple to enter financial transactions accurately and keep things organized.
Cons
That said, reporting and class tracking don't function quite the same way they do in the Desktop version and they're definitely harder to manage. Data entry also feels less efficient from the keyboard since the workflow relies much more on pointing and clicking.

Pros
One of my favorite parts is the strong reporting and how quickly I can pull everything up. Being able to view my business through so many different reports really helps with planning, decision-making and setting up for future success.
Cons
The only thing I'd change is the pricing. It would be better if the cost scaled more closely with the size of the business because when you're just starting out and sales are still low, it can be pretty expensive to keep up with.

We mainly stick with it because it's the platform our accounting agency works in. Before this, we used the desktop version until QuickBooks raised the pricing to a point where keeping desktop became far too expensive. The online version does have plenty going for it like transaction matching, a dashboard you can customize and support for multiple users. If you're fairly comfortable with software, it's also reasonably user-friendly to navigate.
Cons
it basically nudges you off the desktop product and into the online subscription model by making the desktop version outrageously expensive and adding another annual subscription on top of that. On top of that, the online version is missing quite a few features the desktop version used to have. Payroll is a good example, it pushes automated payroll but in reality you can't fully rely on that because it can't automatically transfer overtime hours. It also doesn't let you make payments out of deduction accounts the way desktop did. So if you offer something like life insurance deductions from employee paychecks, it won't automatically total that under the life insurance account and you end up handling it manually. A lot of functions that used to be automated and simple in desktop now require manual work here which feels completely backward. The system is also pretty buggy. It keeps showing overdue tasks like taxes, even when they've already been completed and no matter how often we mark them done, they just stay there permanently. That's something QuickBooks still hasn't fixed. On top of that some tasks can't even be manually marked complete because QuickBooks wants them done through its own automated services. For example, we have an accountant review and prepare our W-2s at year-end to confirm everything was entered properly and all taxes are correct. Since that process happens outside QuickBooks' automated online workflow, the software treats it like it was never completed and leaves it hanging as an unfinished task forever.

It works really well for bookkeeping and handling tax preparation for clients in a small tax practice. Being able to access a client's books is much more convenient than it was with the Desktop versions.
Cons
Reviewing reports is more difficult than in the Desktop version since it's not simple to look at more than one report at the same time.

“More complicated than it should be”

Having both the bookkeeping and payroll in one system is the one part that works for us.
Cons
Nearly everything feels far more complicated than it should be. Payroll does not connect well with the accounting side and every payroll run turns into a hassle. Even worse, I have been stuck with a payroll problem for around six months where the system keeps sending emails to a completely unrelated person at an address I do not recognize at all. I have spent countless hours with support trying to get this fixed. The last few times, they said it was taken care of but nothing actually changed. The person receiving our sensitive company information is another Intuit customer who happens to share the same accountant as us yet has absolutely no connection to our business. It is honestly unacceptable that a company trusted with this much private information still cannot solve something this serious. If I could find another option that covered everything we need, I would switch immediately.

it is simple to set up customers, vendors, products and services. It's also very convenient to enter detailed product and service information, including unit cost and visual descriptions by uploading images. Since we're a non-profit, the platform gives us the flexibility to tailor the system and apply accounting practices that match our organization's needs, policies and legal requirements. The remote access feature has also been a huge benefit because our team can securely log in and use the platform from home which has been especially helpful with our work-from-home setup.
Cons
At times, deleting or reversing an entry can be a bit unclear. It would be much better if there were more user-friendly options for completely removing an incorrect entry.
