Fleet Maintenance not Repair Shop Software

Pros

Despite the software being packed with features and easy to navigate, I feel our administrator has customized it too extensively to suit his preferences, restricting our access to several valuable features.

Cons

I think incorporating a built-in fleet tracker using our department's existing technology would be helpful since we move vehicles frequently, making it hard to locate ones with issues. More training from the software manufacturer is needed as we've had minimal and had to learn things on our own.

Pros

I value its capability to operate both online and on our remote desktop server, allowing multiple users to access the same system simultaneously. This feature is particularly beneficial for our employees spread across Canada when working together on Fleet operations.

Cons

I don't like that information doesn't transfer between tabs. For instance, when I enter a PO# in the Rental Tab, it doesn't appear in the Job Site Tab. Also, breaks in rent aren't captured in any tab.

Good enough

Pros

The asset data and reporting features are particularly useful to me.

Cons

I'm dissatisfied with inspection items existing only as text fields without tying to the VMRS hierarchy or specific vehicle parts. The tire module is cumbersome, and it hasn't met my expectations. The program is hard to use on mobile devices due to the layout. It feels like days' worth of data entry is needed to create and assign profiles, but the data output doesn't entirely meet my needs. The parts ordering and onboarding process is cumbersome, often leading to it being disregarded. The workflow for mechanics is slow and clunky, especially for those not tech-savvy.

Pros

I can search for vehicles, view their images, and access related documents easily.

Cons

We can't notify people via email, and our mileage tracking isn't working correctly. The help desk is still addressing the issue. A year-end report showed only a one-mile increase for a vehicle. They enabled report uploads to Excel, but the mileages were incorrect. We still can't print an accurate year-end mileage report.

Growing Agency

Pros

Our agency's rapid growth made tracking supplies, equipment, and vehicles with lists challenging. We chose Collective Data primarily because it could integrate both our fleet and quartermaster data. The data import went smoothly after mapping our existing data.

Cons

My only difficulty has been with the reports. The standard ones are fine, but it's not intuitive for someone with limited report-building skills. The support staff offered classes and walked me through steps. The Hays County program is a precursor to Collective Fusion, which I understand is more intuitive.

Collective Data in an Educational Institution

Pros

The software is customizable to our organization's needs. Educational institutions differ from corporate and government ones, and this system is fairly easy to use and very comprehensive. It takes time to master report generation and filtering. Overall, support has been responsive and effective.

Cons

Having too many users can be problematic. Organizations should limit permissions within the software. It's not as robust as some high-tier fleet management programs. The key is to customize it to your needs.

Pros

There's no need for manual reports or calling drivers for their locations. Installing a GPS device on vehicles or assets lets you track their location via mobile or browser. It's easy to manage and has a friendly interface.

Cons

The system relies on internet connectivity. Ensure you have a reliable connection at HQ and on mobile devices.

Collective Fleet is Awesome!

Pros

The software provides total control over fleet asset performance, regardless of model year or capacity. It's affordable, protects your investment, and enables upscaling through savings from preventive maintenance.

Cons

I have no major issues. The more vehicles added to your fleet, the more it pays for itself.

Collective Fleet - Outstanding Fleet Management Software

Pros

It's easy to implement and install. Customer support is always friendly and attentive, and technical support resolves issues quickly. The software offers vast functionality, more than any one agency or fleet shop might use. I particularly like the security features that tailor access down to the field level, protecting sensitive information. The system has been extremely stable and reliable, with superb reporting capabilities and extensive options for creating ad-hoc reports. We can also set up email maintenance reminders.

Cons

I'm not aware of any drawbacks. It took some time to train our fleet staff, but Collective Fleet's training options were well worth the investment.

Pros

Installation is simple, and the interface is relatively intuitive compared to other fleet management products. It works well for straightforward fleet management tasks like work orders and vehicles. Exporting reports to Excel is easy, and customer service is extremely responsive.

Collective Data encompasses every facet of fleet management, including maintenance records, employee documentation, parts inventory, and vehicle service history. It truly covers all bases, in my view.

Cons

Navigating the system can be tough due to too many options, which confuses new users. Simplify navigation. Running reports is challenging, and learning how is time-consuming. Some reports get skewed when transferred to CSV files.

The system excels in managing equipment, work orders, and inventory. Setting up and managing schedules for inspections and oil changes is straightforward. Other features make this a very robust product.

Cons

More documentation on server-client interaction would be helpful. Reporting and security can be confusing for newcomers. Including some MS Reporting Services sample reports for those familiar with MS SQL would be nice.
