Pros

From what I've seen, the system feels well-built and packed with useful features. Several of its capabilities made it stand out compared to other options I considered.

Cons

What really turned me off was the customer service approach. I kept getting calls from them so often that it started to feel excessive, almost like harassment, with three or more calls in a single day. Even after I clearly said I had chosen another software and wasn't interested anymore, I was still being contacted which became very frustrating.

Pros

Using this tool has reduced a lot of manual work for me which has improved efficiency. I also feel like I have better visibility into tasks, so I stay more in control of daily operations.

Cons

For me, the work order flow still feels like it could use some improvement. I also think a web-based version would make much more sense today and I find the mobile app needs more work to be truly useful.

Pros

I do like the backend database since it handles asset tracking and cost management fairly well. Inventory tracking is also possible, although it hasn't always felt as efficient as I would like.

Cons

What really bothered me was how confusing the work order forms felt in actual use. I also noticed the interface was slow and full of design issues that made simple tasks take longer than necessary. I kept running into extra steps which made data entry more labor-intensive. I also found it frustrating that exported files couldn't be re-imported properly and even joining the user forum required technical support help which shouldn't happen.

customizable tracking and frustrating workflow

Pros

What I like about this tool is that it captures the data I need to make better decisions. The interface is also quite customizable which helps me adjust it to fit different workflows. Having used several CMMS platforms over time, I can say this one is definitely a decent option.

Cons

What holds it back for me is the graphical interface, because it omits conveniences I'd expect, like automatically placing the cursor in the search field. I also noticed the tab order doesn't skip irrelevant fields, so I end up going through too many unnecessary steps to complete work orders. I find that about two-thirds of the total data entry time is spent on actions that add no value. I also ran into issues with file handling, since imports can't properly read the same formats that exports create and many exported field names aren't recognized on re-import.

supportive team and simple workflow

Pros

From the start, the system felt very easy to use. I also had a great experience with the team behind it since they were responsive, helpful and willing to support me throughout the process. That level of attention made the whole experience feel much smoother.

Cons

At this point, I honestly don't have any cons to mention. I also feel the system works well enough for my current needs.

powerful detail and integrations

Pros

The level of detail in this tool really stands out to me. I can keep things simple or go much deeper depending on what I need. I've noticed that the more effort I put into it, the more value I get back. The integration with our accounting software has also worked really well and added to its usefulness.

Cons

From my side, the program feels a bit complicated and I noticed it requires great training before it feels comfortable. I also found the computerized voice in the training modules a little hard to focus on which made learning more tedious.

frustrating bugs and poor support

Pros

Being web-based is something I really appreciate. I can log in from anywhere, whether I'm at work, at home, or traveling and that flexibility has been very convenient for me.

Cons

My experience with it has been frustrating at times, because I find the system difficult to use and random bugs appear unexpectedly. I also noticed customer support hasn't always been helpful and I feel that attempts to fix one problem sometimes create new ones.

clean printouts and stellar support

Pros

One thing I've really liked is how clean and professional the printed outputs look. On top of that, customer support has been excellent. Every time I've reached out, I've received quick responses and helpful guidance and I've always felt comfortable asking questions.

Cons

One issue I still run into is that I can't get dates to appear on my reports. I also wanted to rearrange line items on invoices but that doesn't seem possible which makes editing invoices more awkward.

Pros

The variety of functions is a big plus for me. It gives me the flexibility to use the system in different ways without feeling limited to one approach.

Cons

For me, it can feel a bit overwhelming as a basic user. I also find it confusing switching between X3 and X4, since it's easy to lose track of which version offers what.

Whenever I've needed help, the tech support team has been reliable and easy to reach. The front end also feels very user-friendly, so using the system has been simple and easy.

Cons

Pros

I appreciate how well the system can be configured to match my needs without requiring expensive custom setups. The support and technical teams have been great and I've been able to train others on it without much difficulty. Recreating our paper forms in the system also made the transition much easier for everyone.

Cons

Honestly, I don't have any major complaints. I also think the main adjustment for me has been simply getting used to X4, since it's different from what I'm used to.

There's a wide range of features available, from managing purchase orders to tracking maintenance tasks. Having everything in one place has made things much more convenient for me.

Cons

What's been frustrating for me is how hard it is to adapt the system to the processes I already have in place. In my experience, changing the program to fit existing workflows takes more effort than I expected.

Pros

Flexibility is one of the things I like most. I can customize a lot of the system to fit how I work and the layout is simple enough that I can move through it without any confusion.

Cons

some features still do not perform as well as I expect them to. When the new version was released, I ran into quite a few bugs that clearly still needed to be worked out. Because of that, using it has felt a bit inconsistent at times.

The system adapts really well to our processes which means I don't have to change how we work just to fit the software. Support has also been quick and helpful whenever I've had questions which gives me confidence in using it long term.

Cons

the newest version, still has a few issues that need to be ironed out before it feels as practical as X3. While the updated interface looks polished and modern, I find myself missing some of the easy simplicity that made X3 so comfortable and efficient to use on a daily basis.

Pros

I like being able to see both open and completed work orders clearly in one place. The flexibility of the tool has also helped me tailor it to better support our service needs.

Cons

From my perspective, the price feels a bit high for the fairly simple ways we use the tool right now. I'd find it much more worthwhile if the application were offered in separate basic and premium versions so we could choose the level that actually matches our needs.

The flexibility and customization options really stand out in daily use. The staff has been knowledgeable and supportive which has made things easier for me. I also feel like the cost is reasonable considering the reporting, dashboards and metrics available. The training support has helped me and my team get more out of the system as well.

Cons

One thing I'd still like to see improved is the ability to suppress PMs more effectively. I've also noticed that the platform is missing some facility-related modules that would be useful for my work, especially for keys, custodial tasks and fleet management.

I like having all of our preventive and corrective maintenance records stored in a single place and being able to schedule everything from the same system has been really helpful for me.

Cons

One thing I'm still unsure about is whether there's a truly effective way to stay compliant with electronic signature requirements under FDA Part 11 guidance.
