“outdated design and confusing modules”
Pros
I found the Work Orders module to be really useful because it gives me plenty of options. There are a lot of settings to adjust which can help when I need to match it to my process. At the same time, having so many options can sometimes feel overwhelming and make the workflow less simple than I expected.
Cons
From my perspective, the overall design seems outdated. I also find the buttons too small, the interface clunky and the lack of a mobile app inconvenient for regular use. I notice the maintenance module is weak, the Gantt chart is missing, the assets section is unclear, the PO module feels slow and inflexible and reports are overly complicated for anyone not using the system every day.

“handy task control with smart memory”
Pros
One thing I like is how this system puts me in control of tasks through WOs and POs. The newer version even remembers my last entries which saves time and makes repeated tasks much easier during the day.
Cons
Translation quality still bothers me, even though I don't personally need that feature. I also notice slow refresh times and occasional communication issues with ARIBA and SAP and I think the PM and PdM tools could be faster and more simple.

“responsive support and steady improvements”
Pros
Customer support really caught my attention. I always received quick responses and the follow-up was consistent which made me feel like my questions actually mattered.
Cons

“flexible web-based setup”
Pros
What I really appreciate is how flexible the system feels in daily use. Being web-based made setup simple and I didn't have to worry about a big upfront investment. That ease of getting started makes it a great option without needing extra hardware.
Cons
purchase order module has been less satisfying, especially when receiving materials and handling invoices. I also feel that workflow in those areas could be more organized and efficient.

“responsive support and real productivity”
Pros
Over the last 15 years, I've helped roll out three different CMMS tools and I've seen the good, the bad and some difficult experiences, like needing a programmer for something as small as a field name change. With this tool, none of that was an issue. When my team had questions, we were already talking with their staff within 15 minutes. That kind of quick support really stood out. Using it has saved money, boosted efficiency and honestly preserved my team's sanity.
Cons
Overall, there isn't much for me to complain about but I think preloading the database with sample Assets, PMs, Inventory Items and Problem Types would help teams get started faster. I would also appreciate seeing one of the Xcite trainings or a similar class included at no extra cost.

“customizable web-based CMMS wins”
Pros
What I enjoy most is that this tool gives me a web-based CMMS that's really easy to work with while still letting me customize things. It has fit our workflow perfectly and proved to be an effective solution for how we manage operations.
Cons
newer X4 feels a bit more tough than the older X3 version but I think this is simply because it's new and I expect I'd get more comfortable over time.

“custom reports and standout support”
Pros
I really value the customer service. Since I like experimenting with reports and aligning processes, Chris is always ready to help step by step. I've learned a lot more about building reports than I would have alone. The software is flexible and the company listens to feedback. One example is when we needed a new purchasing feature, after a training session, they gave us a module originally made for another customer, free of charge. That kind of support really shows they care about practical solutions.
Cons
The mobile interface works well in my experience but I also see areas for improvement. I would prefer work procedures and work order charges shown directly on the main page and I wish the reporting tools offered more advanced functionality like if-then logic instead of just basic counting, summing and averaging.

“customizable and user-friendly tool”
Pros
One thing I love is how smooth the system feels after I set it up the way I want. Once everything is configured, using it becomes really comfortable and it fits naturally into my workflow.
Cons
Customer Support requires frequent contact which I don't like. I also feel that some setup changes and edits should be manageable directly by the user admin, though I always find the support team friendly, responsive and genuinely helpful.

“quick setup and simple navigation”
Pros
The setup process really impressed me. I only had to organize assets, PMs and parts in a spreadsheet and the tool imported everything automatically. After that, navigating the system was easy and making updates was simple without any stress.
Cons
Predictive maintenance is not included and aside from that, I haven't experienced any other issues which makes my overall experience smooth.

“asset tracking that really delivers”
Pros
Being able to link assets together and keep track of everything in one spot is what I find most useful, from parts used to labor time. I also really appreciate the Sandbox environment, where I can test what I've learned without worrying about breaking anything in the live system. That makes training new people much easier and less stressful.
Cons
Because the system is so detailed and complex, I found the learning process a bit frustrating at first and getting everything set up correctly took some patience. Still, from my experience, the payoff is absolutely worth it over time.

“scalable setup and useful customization”
Pros
From the start, I was impressed by how easy it was to scale this system. Starting with small, manageable goals let me gradually expand its use and functionality. Customizing our requester screen kept things simple for users and setting up email notifications by work group ensured everyone stayed informed and avoided duplicate work. Adding forms, fields and lookups wherever needed made it really fit the way I work.
Cons
One part I was not happy with at first was the purchase order form, since I could not separate or adjust the tax amounts independently from the total cost. That said, once I reached out, the support team made a few small changes for me and after that I was able to move forward with implementing the purchase order process without much trouble.

“most versatile program so far”
Pros
In my experience, this program stands out as extremely versatile. I've tried quite a few other tools and none have been as flexible or capable as this one.
Cons
At this point, I've only had the system fully up and running for about two months and honestly, I still haven't come across anything I dislike about it.

“great cmms with room to grow”
Pros
Even though we haven't used every feature yet, the system already feels like a complete CMMS. I can see it working well in other parts of our company which makes it feel like a great long-term solution. Tool University has also been a great resource while getting more familiar with everything.
Cons
One thing I have noticed is that a few features we need are still missing, especially the ability to view all technicians' schedules for the entire week in one place. I also feel that we need more reporting options and stronger dashboards to get the kind of visibility we are looking for.

“helpful for maintenance tracking”
Pros
One thing that really helps me is keeping up with work orders and preventive maintenance so nothing falls through the cracks. On the desktop version, I can locate parts quickly which saves a lot of time and keeps daily tasks running smoothly.
Cons
What hasn't impressed me as much is the iPhone mobile version. It does function but it feels limited compared to the desktop experience. I'd really like to have access to the full website from my phone, because finding parts on mobile is more difficult than it should be. In the newer hub version, I also wish the dashboard section could be used to track hours on a daily basis.

“responsive support and simple workflow”
Pros
I've been really impressed with how easy the tool feels to use and how dependable the customer support is. In a world where so much is automated and you often wait forever, the team responds quickly. I always speak with knowledgeable people and my questions are resolved consistently.
Cons
Honestly, I haven't run into any major complaints. I also notice that while we aren't using every feature the platform offers, the tools we rely on work really well for us.

“helpful reports in a few clicks”
Pros
Pulling reports is something I really enjoy, since I can get a lot of useful information with just a few clicks. It helps me gather details fast without wasting time digging around.
Cons

“excel-ready kpi reporting”
Pros
A big plus for me is being able to build reports and KPIs and export them straight into Excel. Other systems I've used, like SAP, Maximo and MP2, usually need a lot of manual cleanup before the data is usable. Being able to import large volumes of data at once saves me a lot of effort when setting things up or updating records.
Cons
I've noticed that some personnel involved in maintenance management and implementation lack real-world experience. I also see that while MS Access specialists are available to help with formatting and support, their understanding of practical report usage feels somewhat limited.

“training access should be wider”
Pros
One feature I truly appreciate is how the software adjusts to our needs. It fits the way we work instead of forcing us to change processes around it.
Cons
Educational resources, like the tool's University, stand out as being mostly reserved for larger accounts. I also feel every customer should have access to training needed to fully use the software, not just bigger clients.

“customizable and worth it”
Pros
Customizability is one of the main reasons this tool stood out to me. After trying a few other products, this one matched our company's needs best and gave me the flexibility I was looking for.
Cons

“customizable fit for our workflow”
Pros
Being able to tweak the program to match how our team works is what I value most. It allows us to adapt the tool to our processes rather than changing our workflow to fit it which makes it far more useful day-to-day.
Cons
The formatting of printed work orders is something I still wish I could change. I also haven't been able to adjust the font, size, or overall appearance which feels limiting compared to the rest of the system.
