“Helps me manage shared spaces
Pros
Whenever I'm planning things at work, this tool really helps me handle of all the shared spaces we use. I can sort out parking, make sure our cleaning and maintenance folks know when they're needed and handle setups or cleanups for any special event that pops up. I even rely on it to arrange security whenever we're hosting something important.
Cons
Using it sometimes feels a bit slow because there are lots of steps involved when I'm trying to book a room. I keep wishing it could remember what I usually prefer. For example whenever I book that specific spot, I almost always want circle tables and it would be so helpful if it could keep that in mind.

“Offers lots of features
Pros
The feature set is really comprehensive. I appreciate the built-in event reporting. It's a bit bulky but gets the job done well. Customer support has been consistent and I always get responses from the same person which is nice.
Cons
I wish I could extract data more easily for custom reports. The customization options feel pretty limited. I can see that certain features exist in the built-in reports but I can't access them through the report generator. I know I could fit way more information on a single page than what the default reports allow. Getting tablets for our entire setup crew just isn't in the budget. As an admin, I only had about a two week head start over my regular users for learning the system. I've ended up creating tons of quick tutorial videos for my team because that one-hour overview session was just too much information dump for most people. The user community could definitely use more active participation. You need a certain number of upvotes to get new features considered for development but there simply aren't enough engaged users to reach those thresholds.

“Easy to create and submit events
Pros
The system makes it really easy to get departmental events approved. Creating and submitting events feels simple and I like how convenient it is to move between calendars and check space reservations. That little notification sound when you submit something is actually a nice touch!
Cons
It has some frustrating bugs that interfere with setting up events properly. I constantly deal with one where the start time automatically shifts whenever I adjust the setup time, which has caused me headaches more than once.

“lengthy transition & annoying approval resets
Pros
It's great to have cloud-based access that lets everyone check availability whenever they need to. We started using this back in fall 2020 to improve how we book rooms and resources in our building and it's definitely helped with staff communication and awareness. It has met our goals for better resource management over the years we've been using it.
Cons
The transition period is pretty lengthy. We had to implement features gradually and after a year and a half, there are still some we haven't started using. The approval workflow can be annoying too. When you book a room or resource, it goes to the main administrator first, then gets passed around to various sub-administrators like facilities, media and catering staff. The real pain point is that any changes to your event details whether its the time, date or attendee count triggers the entire approval process to start over from scratch. This has created issues for us when dealing with time-sensitive events.

As an end-user, eSpace simplifies scheduling a space and requesting setup and takedown resources. I appreciate that I can view all other events and reserved spaces on the company eSpace calendar.

I liked that everything was centralized: work orders, events, registrations, and even t-shirt purchases with event registration! Amazing! I also really appreciate the conversations feature, where everything is tracked and I can resolve questions quickly.
Cons
Some functionalities, like a calendar of events, don't yet work with WordPress, and I'm adjusting to the new system, but overall it's been helpful. Some notifications haven't reached my email, and I'm not always aware of new events or conversations even though all notifications are enabled.

It's intuitive while still offering all the options we need for our event and building schedules.
Cons
I'm still new to the software, so I can't identify any specific issues yet. The only trouble I've had is figuring out the 'route' a request takes once submitted. It would be helpful to designate the order of individuals the request passes through during the approval process.

I like how it resembles a server-based program we used and that it is internet-based. Our team is grateful it's similar to our old program EMS but not like the new one we had been using.
