“No more remembering different passwords
Pros
Great being able to reach it online because. Everything we used before was so restricted and caused internal headaches with calendar synchronization. Being able to create work orders and build forms in the same place, no more trying to remember fifty different sign in names and passwords makes life so much easier. There's also an event owner role who can assign editors and the level of detail throughout the system is impressive which helps prevent mistakes almost entirely for our whole team.
Cons
The only drawback I have is the multiple tabs when creating an event. A few times after going back to change or check something, the information I updated had reverted to the original details that were there before, which has been frustrating and forced me to re-enter those fields again.

“detailed event scheduling
Pros
It enables very detailed event scheduling and allows everyone across our organization to view on the calendar which facilities are available and which are booked.
Cons
I find the interface not particularly user-friendly for people who don't use it frequently and as a result it can become quite complicated to operate.

“Quick and simple
Pros
It's genuinely easy and fast to use saving me time and helping me manage my schedule more efficiently.
Cons
I often feel frustrated because the administrators present the system as much more complicated than it actually is, which makes adoption unnecessarily awkward.

“Offers vast variety of options
Pros
Offers an extremely broad selection of choices across multiple buildings, including distinctive meeting areas and the ability to specify exact services required for each room. I appreciate that it flags scheduling conflicts instantly in real time.
Cons
Completing a single simple booking demands roughly eight pages worth of information which feels excessive so in practice a 3,000-person conference ends up taking just as long to enter as reserving a tiny three-person spot in a shared area. On top of that, making a minor tweak to one occurrence of a recurring reservation often triggers multiple layers of approvals and overall the workflow badly needs to be simplified.

“Simple once you get the hang of it
Pros
I really appreciate how simple it is to use. The whole layout and controls are exceptionally easy to handle.
Cons
At first, I struggled to find my way around without any formal training and although it took me several tries to become comfortable, once I got past that phase I found the system simple to operate.

“Complex calender view
Pros
One feature I really appreciate about it is how I can search when scheduling an event across multiple fields, which makes finding the right slot much more efficient and less error-prone than combing through everything manually.
Cons
Looking at the calendar view, I sometimes find it overwhelming because while offering numerous options can be helpful, the sheer amount of information feels a little intimidating.

“easy to understand dashboard
Pros
I find the Dashboard easy to use and understand. The Maintenance section can be used effectively by any user and contains an excellent preventative maintenance program and I'm impressed at how the event calendar, maintenance management and thermostat systems work together, eliminating much manual effort and thought.
Cons
My team finds the app quirky and awkward to use and because it doesn't support our workflows well, we just use the desktop version.

“editing series keeps unintentionally reactivating canceled dates
Pros
I've been able to include a wide range of highly specific details about our church and its individual events, which makes everything feel tailored and more informative for our community.
Cons
When I edit recurring or series-based events, I keep finding that previously canceled occurrences are unintentionally reactivated which forces me to go back and cancel them again.

“Useful help chat feature
Pros
The whole system feels user-friendly and I like that I can return to an event to add something I forgot without having to go back through multiple unchanged pages, which saves me time and frustration. When I did have questions, the help chat was responsive and provided useful, timely information that got me unstuck quickly.
Cons
I really wish there was a way to assign that "last meeting/month before it ends" reminder to a contact so it would apply to the final occurrence before the event is submitted because in our church most reservations are made by people outside of the staff who need that notice directly. Right now my workflow is clunky. I add outside requestors as contacts and then wait for the event to be approved, after which I have to reopen each event to toggle the notification settings I want and to make matters worse, the system only allows me to send those alerts to myself or a sub-admin rather than directly to the external contact who decides whether to extend. In practice that means for the 154 events I just entered, each with a different outside contact, those 154 people should be getting the notification themselves instead of it landing in my inbox for me to forward on. At the end of every semester I'm therefore going to be spending a ton of time manually forwarding emails which feels like a very inefficient use of my time.

“Simple to handle
Pros
It's simple to use and I really appreciate that the system prevents any possibility of double-booking a room.
Cons
When I print the calendar, I wish there were a way for every event's details to appear on the printout because if an event uses more than one room it would be useful to have all of those rooms and their related information printed together so I don't have to cross-check or miss any bookings.

“Allows for customized fields
Pros
For my needs, there are multiple configurable choices that let me create custom fields for things like food service, custodial support and more.
Cons
I often can't tell whether a request has merely been saved or has actually been submitted because the system labels it as 'pending' until the final submission, which leads me to double-check unnecessarily and causes confusion about its status. Additionally, I would really appreciate having short explanatory fields adjacent to each selectable option so there is clear guidance on what 'custodial support' entails, how many staff members are typically needed or how far ahead a request like 'food service' needs to be placed, since although my team keeps those rules in separate internal work instructions, having that context directly on the form would save time and reduce errors.

“Made my job easier
Pros
Although I was initially skeptical about switching since our organization had relied on ACS for scheduling meetings and events for several years and I'm still fairly new to the team, after the training and my first attempt to create a meeting I found it very simple. You literally click "add event" and begin building your event, it shows available spaces and resources as well as what's already booked and it even lets me attach pictures and add people as references. I can usually create a simple room reservation very quickly and the different calendar views make it easy to see everything happening across the organization by day, week or month. They're also adding the ability to submit work and maintenance requests soon, which should be a real bonus and overall this website has made my job a lot easier.
Cons
For now, there really aren't any negatives I can point to. I just haven't had much experience booking large-scale events yet so I can't honestly say whether any shortcomings will surface when handling more complex or high-volume bookings.

“Integrates with other software we use
Pros
Even though we haven't rolled it out yet, I'm relieved that it is designed to connect with the other tools we use so that once events are approved within eSpace, they will automatically populate our website's calendar.
Cons
I'd appreciate more flexibility to adjust notification settings so they're determined not just by my position within eSpace but by the specific role I hold within our organization since the current options feel too tied to the software role alone.

“Don't have to be tech-savvy to use it
Pros
I've found it to be exceptionally easy to use and I can easily teach it to older adults who aren't comfortable with technology which has made onboarding much smoother.

Nothing negative to mention here.

“Well thought out
Pros
What really stands out to me is the obvious care behind its design. It includes so many nuanced sections and prompts for data that I never would have thought to include on my own and because of that, I find the way it lets me flag and reorder priorities and quickly scan through tasks to be especially useful.
Cons
That said, the amount of functionality can feel intimidating and because there are so many modules and options packed in, I often find myself using only a fraction of what's available and worrying that I'm overlooking features that might help me. Additionally, the mobile app is a weak point for me since editing is awkward and the interface doesn't feel as user-friendly or fluid as I would like.

“lets me know about scheduled meetings
Pros
I appreciate being able to view which meetings are scheduled in each space on the calendar and I find it really helpful that the system alerts me when meetings clash with one another.
Cons
At first glance the organizational layout felt confusing and overwhelming to me so I had to invest extra time to understand how things are structured and where to find what I needed.

“Customizable to fit our needs
Pros
What we like is that the platform can be tailored to fit our specific business workflows allowing us to allocate distinct task lists to each room or event so responsibilities are clear.
Cons
The main issue I face is readability. When there are numerous events scheduled on the same day, I find it hard to view them all simultaneously and overall it's not as simple as the software we used before.

“Flexible product
Pros
I like this platform's adaptable nature and the way its automated functions organize routine tasks, making management much easier.
Cons
I wish it could natively integrate with a wider range of the other devices we have throughout the building because currently we have to write our own code to bridge those gaps, which adds development time and complexity.
