Shared calendar

Pros

One feature I really appreciate is that every member of my team has access to the shared calendar, allowing us all to view every event taking place across our campus so nothing gets overlooked.

Cons

When we schedule several off-site events, they end up appearing as though they conflict with each other on the calendar and I wish there were a clearer way to distinguish those separate locations.

Allows multiple users with different permissions

Pros

It lets me set up multiple users with different editing permissions because it empowers our large team to submit scheduling requests on their own without needing to bother me directly.

Cons

I find certain parts could be more user-friendly and I sometimes struggle when trying to edit an entire series versus individual occurrences which can lead to accidental changes and extra cleanup work.

Keeps things organized

Pros

For me, it has been invaluable at keeping things organized and properly documented for practical use. Previously we depended on email to report fixes, which made it difficult to track past activity but now everything is logged so whenever someone is unsure about what happened to a piece of equipment there's an immediately available record.

Cons

I've noticed the comment feature needs improvement because it's not possible to reorganize or edit entries so threads can become fairly chaotic unless I enter every note very carefully and distinctly.

Unable to find any downsides

Pros

I've found it to be incredibly user-friendly which makes it simple for me to learn and even to show colleagues how to use it and on top of that I always receive genuinely helpful support from their customer service team.

Cons

For years I've relied on eSpace and still struggle to come up with any real criticisms because it consistently meets our needs with an easy-to-use interface and reliable functionality that supports our organization's daily and weekly operations without fuss.

Outstanding support

Pros

It delivers on everything it promises and the company continuously rolls out improvements so the platform keeps getting better. Their customer support has been exceptional and whenever we face an issue they respond quickly and stay with us until it's fully resolved. We connected our older HVAC systems to eSPACE which was a fairly involved undertaking because the equipment is outdated but the whole eSPACE team collaborated with us throughout the integration to ensure it functioned correctly. Now most tasks run automatically which is fantastic.

Cons

Some features can feel a bit confusing at first and although we typically figure things out after spending some time with the system, there are moments when the learning curve slows us down. I'd like to have more control to customize certain sub-admin areas to better match our workflows, although the newer communications tools they've added might ultimately remove the need for that level of customization.

well-integrated program

Pros

All parts of the software are well-integrated and I also like that individual users are given access according to their specific needs.

Cons

I can't figure out how to add anything to the calendar and I'd really like the option to have personal calendars in addition to the community calendar so people can manage their own schedules.

Connects various services

Pros

I'm impressed by it's ability to tie together multiple departments and services since I can reach people and information through email, the mobile app and cloud-based tools in a coordinated way.

Cons

Finding my way around feels unnecessarily complicated because there are so many nested menus to click through that what should be a quick task turns into a lengthy process and I often spend far too much time on simple requests like booking a room. I wish there were a much simpler, single-page form or template for basic event and meeting reservations so I wouldn't have to move between multiple screens. It would also help if approvals could be sped up.

Excited for work order management system

Pros

I am relieved that our setup crews can now pull up room setups directly in the app instead of having to print out daily reports which has made things a lot more convenient and reduced paper use. Building custom forms to capture the specific needs of particular rooms has been essential for our church's operations, even though this capability isn't exclusive to eSPACE and other systems offer similar functionality. Ultimately, the feature I'm most excited about is the upcoming work order management system which was the primary reason we selected eSPACE. I've found phone conversations with their team to be genuinely helpful when we need assistance.

Cons

We were told prior to purchase that the setup process would be simple but because a well-meaning yet inexperienced representative steered us in the wrong direction about how to organize things, it ended up costing us many extra hours of work. Had we been provided with a clear playbook of specific considerations and best practices to follow while structuring our account, we could have avoided figuring most of it out on our own. In several cases the template instructions didn't reflect the actual template behavior which added to the confusion. The app itself also exhibits glitches from time to time. For example, when I try to view the calendar the screen sometimes goes black or the events for a given day fail to load.

Calendar helps me with planning

Pros

One thing I like is having the calendar at my fingertips so I can look ahead and quickly check which rooms are free and how many events are scheduled on any given day and since adding bookings is simple and user-friendly, it doesn't slow me down. I also like that the system produces a concise print summary at the end, which makes it easy to confirm details before wrapping up.

Cons

Honestly, I haven't run into any problems while using it.

Keeps facility usage up to date

Pros

I've found it really helpful for keeping our facility usage up to date and I like how simple it is to use especially since people can submit requests easily. The public calendar gives everyone visibility into scheduling.

Layout makes sense

Pros

I love how effortlessly I can locate items because the layout feels logical and I'm also pleased that there are several different ways to view a work order along with a variety of user settings that our facilities team can use.

Cons

I wish I could build a contacts list without being forced to include an email for each person because I'd like to maintain a directory of professional service providers that our facilities leads can quickly reference for phone numbers and other contact details when needed.

enhanced our productivity!

Pros

We handle a large volume of events across two campuses and the system has been valuable in coordinating them efficiently and preventing conflicts. Because we book nearly every available room for meetings and events, it helps us avoid double-bookings and keeps scheduling organized. We only recently rolled out the Work Order Management feature and I'm genuinely impressed since it has organized my team's workflow and noticeably increased our productivity.

Clean dashboard and great support

Pros

The dashboard is very simple with a clean, functional layout that's a pleasure to use. On top of that, the support team has been there for us, responding almost immediately in most cases and invariably by the end of the day.

Cons

While the platform doesn't align perfectly with everything our church requires, I've noticed they actively try to accommodate our specific needs and are willing to make adjustments where possible.

I'm grateful that it lets our ministry assistants enter every detail they require for upcoming events, which in turn helps us stay organized and reliably prevents overlapping reservations that used to trip us up.

Happy with eSPACE

Pros

We've been genuinely pleased with our move to eSpace and I can honestly say the switch has made us much more effective across six campus locations while letting us handle and prioritize work requests that come in from our more than 150 clients without the usual chaos. The Preventative Maintenance module has been a game-changer for me because it removes a lot of the calendar-guessing and frees me to concentrate on proactive responsibilities rather than constantly trying to remember when routine things like the boiler inspection are due. That kind of reliability has changed how I plan my weeks. I also turn to the Life Cycle Calculator frequently when I'm putting together budget forecasts and it provides a clarity that makes budget conversations easier to have and defend. There are still features we haven't tapped into yet, the HVAC integration being a prime example but knowing those options exist signals to me that this system was designed with intentionality beyond simply recording work requests and asset inventories. The support crew has been responsive and helpful typically responding by the end of the day.

Cons

Most of the downsides really come from us rather than the product because there are so many capabilities packed into the system that we still underuse, which is frustrating when I know we could be doing better for our facilities if we invested more time. When you haven't spent a lot of time inside the software it can initially feel overwhelming and I've felt that myself when trying to explore everything at once. That said, our occasional underutilization doesn't at all diminish our overall satisfaction with the product and we still feel confident in its value.

A lot of useful features

Pros

I've found that it provides a broad array of features and capabilities and because everything is laid out in a tidy, user-friendly way, I can rely on it to handle work-order tracking effectively. It even lets me upload documents so I can attach warranties, photos and other supporting files.

Cons

I struggle with the confusing access-level structure because it makes it difficult for me to understand exactly what features are included at each price point so I never feel confident about what I'm paying for. In addition, the work order entry process is anything but simple since there are so many required fields that completing even a basic order becomes tedious and time-consuming. It appears designed only for creating orders dated today which frustrates me because I often need to backdate a work order for tracking or reporting purposes from last week or earlier yet the system insists on the current date and won't accept past entries. Overall, that combination limits its usefulness for my workflow when I need flexibility to record historical work.

Comprehensive knowledge base

Pros

At our church, we use this platform to coordinate events, handle work orders, publish public calendars and even as a ticketing solution for our IT team. It seems like almost every couple of months we're able to incorporate eSPACE in place of other tools we've tried before. It genuinely helps our staff consolidate nearly all church operations into a single place. Being able to submit feature suggestions and have the development team actually take them into account gives them a significant edge over other vendors when it comes to event scheduling and work order workflows. Their knowledge base is comprehensive and consistently useful whenever I'm searching for the right feature or how to use it.

Cons

I'm overall happy with the product and don't have any significant complaints.

lets me copy previous events

Pros

Duplicating a previous event instead of rebuilding it from scratch is what I value most since I'm able to adjust the details afterward as I require.

Cons

Moving between different sections of the app can feel clumsy sometimes. For example, I can only cancel an entry when I'm on a particular page.

Crucial for our operations

Pros

Useful planning features

Pros

I've found it includes a wide range of useful features for planning and projecting what we'll likely need to spend over the coming years,and on top of that I appreciate that it lets us monitor facility-related data far more efficiently than before.

Cons

For us it's frustrating that while this might not be entirely a flaw in the application itself, events entered into eSPACE often don't synchronize reliably with Google Calendar and because our organization relies on Google, giving staff visibility to bookings seems to force us to maintain a separate calendar that they have to check in addition to their regular one, rather than having everything centralized in one place.
