Excellent support

Pros

I can't say enough about Lorrie. She's absolutely wonderful. Between her support, the clear tutorials, responsive customer service and the handy chat feature, I really value having multiple ways to get the information I need.

Cons

Honestly, I'd find it much more helpful if the system would send an email reminder two to three days before a selective group session because I often miss things otherwise and furthermore I'm contacted by too many different representatives. Please assign a single, consistent rep to each member so communication is clearer and less repetitive.

complete solution!

Pros

By far, this has been the most comprehensive and easiest-to-use facility management software I've seen and because of it our event setup workflow has improved noticeably both in accuracy. Additionally, our housekeeping crew has leveraged the Maintenance PM feature to modernize how tasks are assigned and tracked, replacing the old ad-hoc daily lists that used to be manually created and shifted week to week with recurring daily work orders that each housekeeper can simply access week after week, which has made planning and execution much smoother. On top of that the customer support has been fantastic, promptly resolving any problem I raise or taking suggestions into account as future enhancements that ultimately make the product better for the whole team.

Cons

Every so often I notice changes or new features getting introduced with very little communication which can leave the team surprised or unsure how to adapt. I also think that when items from the post-idea wall gather enough votes and are actually implemented the company should send a notification and provide some kind of recognition or reward to the users whose ideas were adopted because that would encourage more engagement and make contributors feel valued.

Customizable software

Pros

I'm really impressed by how customizable the site is to match what our church actually needs. Investing the time to set it up initially has paid dividends over time making ongoing use much smoother.

Cons

A persistent annoyance for me is the tight length restriction on resource titles. When I enter a title that's too long the SAVE button disappears from view and I can't complete the save without trimming text.

all-in-one app for work orders and events

Pros

On my iPhone I can use it and I'm really glad that I can attach a photo showing a problem to a work order plus I appreciate having both our work order system and the event scheduling tools housed together in one place!

Cons

Because we operate across multiple campuses, when I look at events in the app they all get combined into a single list, which makes it hard to separate campus-specific schedules and on top of that some features are buried and not easy for me to locate.

Effective for monitoring space usage

Pros

Working on the facility management and administrative side, I've found eSpace to be an incredibly valuable tool for monitoring and managing space usage across our organization, simplifying oversight and allocation.

well-trained support team

Pros

Their customer service team is well-trained. Whenever I pass along a suggestion it genuinely feels like they take it seriously and the enhancements that come back consistently exceed my expectations.

Cons

Since churches tend to be structured differently from typical businesses, I feel the system isn't tailored to the unique needs and workflows of church operations.

Scheduling simplified

Pros

Being able to see the whole month makes it easier to schedule activities so they aren't stacked back-to-back and I appreciate that you can add approvals. Security for events or authorization for childcare to give a couple examples. It also automatically notifies whoever is responsible to grant those childcare or security approvals.

Cons

No major issues. I'm satisfied

Organizes my task list

Pros

It organizes my personal task list. By marking work orders as done, I can progressively shorten the queue so my current list reflects only the outstanding items that still need attention.

Cons

One of the few things that frustrates me is the workflow when closing an order. Instead of returning me to the filtered list I was working through, the interface forces me to jump back to the individual work order on the left side of the screen and essentially begin the process again, which interrupts my momentum and makes batch processing several orders feel slower than it should.

Customer service team always available

Pros

Since the recent updates were rolled out, I'm able to add a much larger number of rooms to a single event which has noticeably lightened my workload. The interface is clear and whenever I've run into a question or hit a snag, the customer support team has been there to help me.

Cons

When I try to use the scheduling feature, it ends up being really hard for our Buildings and Grounds staff to interpret on their side and despite reserving rooms for specific time slots, those reservations don't show up on the calendar the way I input them. As a result, I've essentially given up on using the scheduling tool for that purpose.

Allows me to plan ahead

Pros

With this tool, I can visually monitor every event happening at the church which makes scheduling dates, assigning rooms and setting times much simpler for anything from recurring ministries to single, one-off events so planning no longer feels chaotic.

Cons

I get really annoyed when making routine edits. For example changing an event's duration because the system can demote my booking from first priority, which then incorrectly flags my event as conflicting with another booking that should actually be the one bumped.

helpful for the maintenance crew

Pros

From anywhere across our property I can instantly upload a request and that means I don't have to try to remember to tell someone about it later which is a huge convenience. It's also made it easier for our maintenance crew to spot and address issues quickly because they get clear reports. I can check the status to see which of my requests are done and which are still pending and the option to attach photos is extremely helpful since sometimes words alone won't resolve the confusion but a picture usually clears things up.

Cons

I've noticed the app can be slow at times and seems to get bogged down, which slows things when I'm trying to report something quickly. Also while I was briefly an admin before being moved back to a regular user, I was getting far too many emails and I can easily see how that volume would become a major headache for the other admins if it's not controlled.

Saves a lot of time

Pros

When I'm adding or modifying an entry, the time required has dropped dramatically so I spend far less clock time on those updates than before. The interface is easy to handle.

Cons

My only real recommendation deals with how conflicts are displayed and explained in the system. I'd love a clearer way not just to identify who I'm conflicting with but to quickly understand exactly what resource is causing the overlap because sometimes I request a combined space like the gym and the bathrooms and it's unclear whether the clash is for the gym or the bathrooms. If the conflict is strictly for the bathrooms that's typically not an issue in my environment since multiple users can occupy that area at the same time so it would be helpful if the bathrooms could be treated as a subset of the overall space rather than as a separate, standalone item in the request column which would prevent unnecessary denials or confusion. All told, ESpace has been an excellent addition this year.

Tracks work related issues

Pros

I can easily track every work-related issue and assign tasks to specific people or outside vendors and I can quickly view all work orders tied to anyone at my company so I can keep close tabs on them.

Cons

I've noticed a few quirks in the workflow that are noticeable but not critical. I wish there were a way for me to assign a user at the moment I create a work order rather than having to do it afterward.

Accessible from any device!!

Pros

Since it's web-based, I can reach it from any computer or my mobile device. I appreciate how simple it is to attach equipment requirements to a reservation while also being able to send email notifications to everyone involved in the event.

Can submit special requests

Pros

I really like that I can book a room quickly and immediately see what's available. It makes it simple to locate spaces that match the group's needs. I also value being able to submit special requests when necessary.

Cons

Sometimes I start the booking process but don't finish it. There have been occasions when I've struggled to modify or add details to an existing event. Additionally, the help pop-up boxes often obstruct my view and interfere with completing tasks.

Ensures our team remains organized

Pros

For me, what stands out most about this software is how quickly and effortlessly I can keep our team organized, focused and operating at peak efficiency using just a few keystrokes which makes it easy to ensure we have a great workspace.

Cons

Honestly, some of the questions during the reservation flow feel repetitive and I find myself clicking through what seems like one screen too many before I can finish the booking.
