Suitable for our church

Pros

What I appreciate most is how well the system is tailored to church needs providing a centralized setup that keeps our HVAC controls in one place. It also handles the complex, multi-step event management workflows for me so tasks get processed reliably. On top of that, I genuinely love how smoothly it oversees all of our facility maintenance work orders.

Cons

As the platform expands and gains more features, I find myself clicking through more screens than before which is understandable given the added capabilities but I'm optimistic it will become more organized over time since improving workflow efficiency is clearly a priority at eSpace.

Not a problem for non-technical users

Pros

Although I'm not very tech-savvy, I find it simple to use. I can usually use the system without help and when I do make a mistake, correcting it is easy.

Cons

When a requester clicks on the site, it automatically reserves every room in the facility so I have to go through each request manually to make sure no rooms were accidentally selected which isn't a huge problem but does eat up a lot of my time.

New features are rolled out regularly

Pros

For our end users, I find that submitting a work order is simple which matters a lot and I also appreciate how easy it is to route or assign tickets to various groups. On top of that, I really like that new features and tools are rolled out frequently and that the platform receives regular updates.

Cons

I often find it frustrating and time-consuming to track down a particular work order unless I already have its reference number. The way comments are handled adds to the confusion because they sit on a separate tab rather than being integrated into the main work order where they would be more visible and useful.

simple to add tasks

Pros

I especially like how simple it is to add tasks to be done using the app on my phone because at our fairly large facility with multiple buildings it's convenient to open the app whenever we notice an issue that needs attention and create a work order on the spot. My managers and the colleagues who are authorized to generate work orders have remarked on how user-friendly the app is and how useful the paper trail it builds can be. Our management team relies on the reports and mapped locations of issues to identify and track repeat problems across the property. Also assigning work orders to specific people introduces a meaningful level of accountability that I find very effective.

Cons

Pulling reports is much simpler when I'm at a computer rather than using the mobile app and although adding work orders from the phone is simple and quick, I often struggle to reach other features because they're not presented as accessibly or are harder to find.

Time saving integrations

Pros

There are many ways you can adjust the program to your needs. I love that it hooks into their other apps because that kind of integration saves me valuable time. Besides that, the program is simple enough that anyone can learn to use it without much trouble.

Cons

One thing I've found frustrating is the pace of changes and constant feature rollouts, which makes it hard for me to keep up. I've also felt that the Wi-Fi thermostats that connect to the system could be improved to offer better performance and reliability.

Very detail-oriented

Pros

What I love most is that it flags scheduling conflicts with other events which saves me time and prevents double-booking. And because it's so detail-oriented I can tweak many settings, plus customizing it is pretty simple so I can tailor it to my needs.

Cons

I'm not a fan of the multiple tiers because they become hard to follow and it often leaves me confused about permissions. Also I'd like the calendar to display larger so I can see more at a glance.

Data backs up automatically

Pros

it's hosted online so my data is backed up automatically and the interface feels user-friendly with helpful color-coding for different categories.

Cons

One thing that bugs me is that I can't 'uncancel' an event if I accidentally cancel it and on top of that some reports come out blank when printed so I'd love a bit more flexibility in designing custom reports.

easy to learn

Pros

In my experience, getting it up and running was simple. Our users pick it up quickly and I can teach them how to use it with little effort.

Cons

I'd appreciate a simpler way to edit user profiles because there are items such as passwords that I wish I could update much more quickly than the current process allows.

Improved our efficiency

Pros

We've found the dashboard view to be a real hit among our users. Being able to view all events and related information in a single place rather than using multiple screens has noticeably increased efficiency. At this point, our staff are reporting that they find the interface very easy to use.

Cons

I find the event-side reporting somewhat limited. The built-in, pre-formatted reports don't match our requirements and the Excel export is missing several fields we need so I'm really hoping the developers will enhance the reporting capabilities to include the additional data and customization options we require.

Can review all work orders anytime

Pros

On a Sunday morning when everything is hectic, I really value being able to log an issue quickly so nothing gets missed and I also appreciate that I can pull up all the work orders to review them and talk through progress with my team. iPad and iPhone mobile apps are surprisingly capable and make managing things on the go much easier.

Cons

I wish the mobile app made uploading photos more simple because right now attaching pictures feels complex and slows me down. It would be great if I could also assign projects to other people so they can follow updates directly. The app sometimes behaves glitchily which undermines confidence when I need it to be dependable.

tidy interface

Pros

I'm pleased that the interface is tidy and easy to use. I also appreciate having public forms available for use and the mobile app mirrors the web version closely which makes switching between them smooth.

Cons

I find some parts of the hierarchy configuration awkward to manage, particularly when assigning rooms and equipment.

I can attach files to events

Pros

One feature I really appreciate about this software is the ability to attach files and items directly to events because that lets me quickly visualize and confirm how the setup should look saving me time and avoiding guesswork when organizing.

Cons

It frustrates me that I can't attach a separate floor plan or drawing to each individual space when I'm coordinating an event that spans several rooms because it forces me to manage layouts outside the system and increases the chance for mistakes.

Amazing video tutorials

Pros

The video tutorials are great and customer support team is very patient and friendly. I notice continual improvements. The development team actually pays attention to user feedback and moves quickly to implement fixes or tweaks.

Cons

While it's not as user-friendly as it could be, I found that once you get the hang of its quirks, it starts to make sense. Getting to a power-user level requires practice and in my experience daily use for about one to two weeks is what it takes.

love the hover details and filtering for planning

Pros

What I like most about it is its calendar because when I hover over an entry it pops up all the event details which makes planning so much smoother. Additionally, I appreciate being able to narrow down the view by filtering for specific rooms or equipment since that helps me quickly find what I need without scrolling through unrelated bookings.

Cons

At one point we had a repeating booking and I mistakenly thought I was removing only a single occurrence but instead I wiped out every instance of that series, which was a frustrating and time-consuming mistake to recover from.

Simple site

Pros

Using the site has been fairly simple for me, especially after the recent updates the team rolled out. I love the clear color-coding that lets us quickly tell which items still require approval and which events belong to my group versus the church. It also automatically sends emails to contacts and supervisors when events get approved or denied.

Cons

The calendar layout feels pretty cluttered to me and I find that loading or switching between months takes an unreasonably long time, which disrupts my workflow. Additionally I don't receive any warning emails when upcoming events are still pending approval so it's easy to miss things.

Too many fields to fill out

Pros

Being able to view what's already scheduled for other events is really useful and I can see the names of other users so I know who I'll need to coordinate with when changes arise.

Cons

It annoys me that the form demands so many fields to be completed because I personally just want a quick dibs option and don't require all those extra details to reserve a meeting room.

Convenient dashboard

Pros

I found the dashboard and quick-view panels to be genuinely useful and I especially like that they let us apply filters so we can pinpoint exactly what we need without feeling swamped by too much information.

Cons

It would be really helpful if the system could send some kind of email reminder for items that have been pending beyond a certain threshold since I'd appreciate not having outstanding events slip through the cracks.

cost-effective solution

Pros

im happy with the price and the value it delivers. Generally I've found it pretty easy to use, I like that I can access it online from any computer. Printing multiple calendars at once is simple.

Cons

for me, setting up custom recurring events at multiple different times is complex and limited. although I've noticed gradual improvements with recent updates, the app itself still feels weak and underpowered.
