Useful for planning my tasks

Pros

It has been helpful for organizing how our campus spaces are used and we managed to tailor it so that it aligns precisely with our facilities, equipment and setup procedures. Since my responsibilities center on event setup and teardown, I routinely rely on this software as a practical, effective tool that helps me schedule, coordinate and plan those tasks in a way that reduces confusion and saves time.

Cons

It took me a bit longer than I expected to become familiar with the system and to feel at ease using it, which I attribute largely to the fact that I was not required to use it on a daily basis. Additionally, one frustration I encountered was that certain important details that appeared on the desktop version did not synchronize to my iPad, forcing me to cross-check information and sometimes recreate items when working from the tablet.

let down by a sluggish, confusing interface

Pros

For me, it provides an excellent system for handling meeting room bookings and it helps our office staff stay organized around scheduling, making the logistics of running meetings much easier to manage.

Cons

I found the interface somewhat confusing the first time I used it because identifying which rooms are booked versus which are free seems to require too many steps rather than giving a simple view. Ideally I should be able to click on the calendar and immediately see reservations but instead I'm forced to run through the filter sequence to narrow the calendar every single time. In short, the layout could be pared down to simpler flows and when I tap between tabs the response could feel snappier and less sluggish to improve the overall experience.

Well laid out

Pros

I'm impressed by the design and by the range of functions and events you can add to it, which makes building and customizing workflows feel simple.

Cons

To be honest, I'm a bit unsure because I'm new to eSPACE and still in the process of learning how the software works and where everything is located.

can't edit titles, pop-ups break zoom

Pros

I appreciate being able to modify just a portion of an event or space instead of having to rebuild the entire thing from scratch, which really saves time.

Cons

For me, being unable to change an event's title is quite limiting and on top of that the hover pop-up that appears when I move across the calendar consistently disrupts the Zoom software I run during meetings.

Calendar feature is my favorite

Pros

Lovely calendar feature! Its simple to use.

Cons

Updating the entries can be an issue because I've often had to resubmit events when making changes, which becomes time-consuming.

Clean dashboard

Pros

I find the dashboard pretty tidy and simple to use.

Cons

When I'm unsure of an event's exact title, the calendar views become difficult for me to scan and pinpoint specific entries, making it hard to locate what I'm looking for.

Calendar view shows all events in one place

Pros

I really like the calendar view because it gives me a single place to spot every event and with the filter feature I can quickly sort and narrow things down in that same calendar view.

Cons

The options for how I receive notifications feel too limited and to make matters worse every alert just dumps onto the dashboard with no clear way to distinguish or prioritize them.

meets our needs

Pros

Having one platform that covers all our company's needs has been fantastic because I no longer have to toggle between multiple tools every time I need to arrange or schedule something.

Cons

I've found the dashboard can feel overcrowded at times and it's been frustrating that events often require resubmission. Many colleagues assume that making a general update would be sufficient which isn't always the case.

Quick calendar function

Pros

Love how userfriendly it is. I can rely on the calendar feature to be fast and simple when I need to schedule or check events.

Cons

However, what frustrates me most is being forced to press the submit button after every small change, which interrupts my workflow and feels unnecessarily repetitive whenever I'm editing entries.

Convenient to complete work orders

Pros

Logging in every day, pulling up my assigned tasks and completing work orders is consistently smooth for me and I haven't faced any problems doing it.

Cons

I wish there were an in-app option that would let me give feedback directly to administrators about the task lists attached to my work orders because right now I have no simple channel.

Useful for future knowledge about setups

Mobile app is hard to read

Pros

Pretty easy to get the hang of and it seems to offer a great deal of configurability to fit our organization's needs.

Cons

The mobile app is difficult to read, particularly the calendar view so I typically revert to using the full website even when I'm on my smartphone.

Easy to submit maintenance requests

Pros

I love how simple it is to submit maintenance requests through the app and I also like being able to follow the maintenance crew's updates and responses as they work on issues.

Cons

The UI feels a bit clunky to me and attaching photos is awkward as well. I wish there was a way to preview images directly within the request so I could confirm I'm sending the right picture.

Smooth transition!

Pros

Moving from EventU to this platform was a smooth transition for me and I really appreciate the cleaner interface that makes it nicer to to move around. I've found that locating rooms available to sign up for is noticeably easier than it used to be.

Cons

As with most management systems, we tend to get out of eSPACE exactly what we put into it and in our experience that means some of the custom workflows we wanted haven't fully materialized for example, our team asked for a client-facing form that would route requests spanning multiple teams but that feature never really came together. I also think the approval model needs flexibility because there should be more than one person on each team who can sign off on requests within the app. The calendar takes a bit of getting used to. When you land at the end of a month, you often have to scroll all the way to the current day so hitting 'today' should actually jump to today (or the day view could be the default), which would save clicks. The condensed calendar makes events look grayed out and almost like they have been canceled, which is confusing and another pain point is that there aren't any easily discoverable building maps in the tool. Finding floor plans or room layouts is frustratingly difficult.

Accessible from anywhere

Pros

Because the platform runs in a browser, our team and volunteers can book rooms or spaces from practically any location and everyone on staff has instant access to an up-to-the-minute calendar showing events and their locations.

Cons

I'm a bit computer-challenged so I'm finding the learning curve for this new software steeper and taking more time than I'd prefer as I try to get comfortable with its features.

Excellent calendar feature

Pros

The calendar feature in eSpace is something I rely on constantly and I genuinely appreciate the extensive set of filtering options.

Cons

I've found that the initial calendar layout before applying any filters can be cluttered so when my schedule is packed it becomes hard to visually pick out specific dates or follow later weeks because our Sunday roster is so overloaded I end up having to apply very narrow filters just to avoid endlessly scrolling down the page in order to reach the events scheduled for the following weeks.

Well-organized interface!

Pros

The filters are great and I find the interface very well-organized. It's simple to locate what I need and because we mainly use the platform to manage events, being able to view everything scheduled for the upcoming month is especially helpful. All in all, for how I use it, it meets my needs.

Cons

What frustrates me is that the event request form forces answers to specific questions we don't need, which feels unnecessary and because of that I occasionally have trouble finding what I'm searching for.

Pros

At this point, I haven't had sufficient time using it to form a proper opinion so I can't reliably point to any particular positive features yet.

Cons

Great compatibility between different areas

Pros

I've discovered that the platform offers excellent interoperability across different areas and departments so multiple stakeholders can view and access the same information, which makes it easy for me and my colleagues to stay aligned and work from a shared perspective.

Cons

There were several fields that I was required to complete which in my view weren't really relevant to the specific event I was trying to set up and as a result I found the extra, unnecessary information made it harder for other teams to interpret the entry and added avoidable confusion.
