Easy to submit maintenance requests

Pros

I love how accessible this makes maintenance requests. Anyone can submit them even when they don't have all the details upfront. The mobile photo feature is brilliant since you can actually draw on images to show exactly what needs attention. What really impressed me was being able to jump right in with basic functionality and gradually expand by adding areas, equipment, contractors and spare parts as needed.

Cons

Setting up vacation coverage and managing accounts with multiple access points can be tricky though I suspect that's more about my IT skills than the system itself. Thankfully our account manager always resolves these small issues within 24 hours.

Reduces costs and downtime

Pros

Very easy to use. Even someone like me who got thrown into a maintenance manager position without any background could figure it out quickly. Between the software and their helpful blog resources, we've managed to cut down on equipment downtime and parts costs significantly. Most importantly, we've shifted from constantly putting out fires to actually staying ahead of maintenance issues which has been a game-changer for our team of inexperienced techs.

Cons

It can be tricky to set up recurring work orders and sometimes preventive maintenance happens way too early. Takes quite a bit of trial and error plus solid communication with the team to get it working right.

All functions I need under one roof

Pros

I can bring together multiple company operations like handling production requests, managing logistics, tracking work progress, dealing with accounting tasks and organizing archives under one platform.

Cons

The item filtering and searching is a bit complicated. You can't modify work order masks which is frustrating. Would be great if we could add customizable location mapping for items too.

Timesaving program

Pros

The organized workflow structure helps me tackle company improvement projects efficiently. It's quick and simple which cuts down on wasted time significantly.

Cons

Work orders are only visible to assigned individuals which is really limiting. I think all users should be able to see every work order even if there not directly attached to the project.

Helpful Requester Portal

Pros

The Requester Portal has been great for us. Our volunteers and staff can now just scan a QR code on any door to create work requests when they spot issues. No more hunting down team leaders or dealing with scattered texts and emails.

Cons

I wish there was a spot in the app where we could upload all our floor plans. Right now I have to hunt down the paper copies or dig through seperate PDFs to find what I need.

Great user experience

Pros

I've been using this for our entire maintenance department. We can organize everything from inventory tracking to detailed procedure breakdowns all in one place. What really stands out is how their engineering team schedules weekly check-ins with us to work through any problems we run into. The user experience has gotten so much better over the last year. Our downtime has dropped significantly and productivity is way up.

Cons

I honestly can't think of any downsides to this platform.

Gives us full view of our sites

Pros

We switched from paper logs to this platform and now have complete oversight of all our locations. The team was fantastic during the setup process for our facilities.

Cons

Haven't run into any problems so far and we've been using this across five locations for about two years now. Just expanded it to all twelve of our sites recently.

Pros

Lets us send work orders to our MTs instantly

Pros

Used to rely on printed work orders and physical binders to track everything, what a nightmare that was! Had to make multiple copies for maintenance techs, filing, tenant folders and sometimes even faxing. The whole process ate up so much time it was ridiculous. Now we can send work orders to our MTs instantly and handle tenant requests way more efficiently. The paperless approach has simplified everything beautifully.

Transformed how we manage maintenance operations

Pros

It covers everything I need like asset and parts inventory, PM schedules, SOPs, vendor details, cost tracking, labor management and efficiency metrics. The mobile app works perfectly for field teams in real-time while the desktop version keeps us running even without wifi. Love the reporting features that give me solid insights for weekly, monthly and yearly analytics. The messaging system keeps everyone in the loop and cuts down on all those inefficient back-and-forth communications. I can easily track what's assigned to each team member, see priority rankings, monitor progress (and understand any delays), check parts costs, labor expenses per repair and time spent on each work order. It's completely transformed how we handle maintenance operations and dramatically improved our customer response times.

Cons

I wish there was more flexibility in selecting custom date ranges for analysis instead of being stuck with the preset options like monthly, quarterly or yearly periods.

Requester side of the app is incredible

Pros

I like the requester side of the app so much. Customers stay informed about their work request status and it's really simple to use. Keeping records organized and accessible has become so much easier for us. For our monthly preventive maintenance, this tool has made a huge impact on maintaining compliance.

Cons

The main drawback is I haven't had enough time to really dive into all the features during my day-to-day work. With some big projects on the horizon, I need to invest more time figuring out how to integrate everything properly into my workflow.

The simplest system I've come across

Pros

I appreciate getting notifications for requests on my phone regardless of where I am. Since I travel frequently for work, being able to monitor my maintenance team and incoming requests helps me complete tasks more efficiently. I also enjoy how simple it is to customize the PM's specifically for different equipment types and track all functions through daily and weekly checks. After working with several different CMMS systems, this one is definitely the most easy to use!

Cons

I honestly can't think of much to complain about. The MaintainX team has been great at taking my suggestions and actually implementing them to make the system work better for us.

Effective for team communication

Pros

Managing hotels for five years has given me perspective on maintenance platforms and this one really stands out for tracking work and communication between maintenance teams. The customization options are impressive, plus it runs fast and lets you store photos while monitoring who completed each work order. I'd definitely reccommend it to anyone in hospitality and it's become essential for our daily operations.

Cons

Could use more storage space for photos and videos without extra fees.

We use it to monitor expenses

Pros

I've been able to keep much better tabs on our warehouse inventory using this system and it's really helped us monitor expenses more effectively.

Cons

The mobile app for Android could use some work. It feels pretty complex and unfinished compared to the desktop version.

Keeps things organized

Pros

I love how this tool keeps everything well-organized. Organization matters a lot to me. Tracking parts, vendors and assets is simple. Being able to communicate with team members across different locations and see their parts and procedures has been very useful.

Cons

Some small issues could be pointed out but I'm hopeful these will be addressed in future updates.

Keeps our business transparent

Pros

It lets us create real accountability across our business operations. The setup process was not difficult. The support team responds quickly and never leaves me waiting for answers. Thanks to the preventative maintenance plan I implemented, our equipment condition has never been better!

Cons

More reporting options would be nice and maybe add dollar amounts to the meters.

Glad with their team

Pros

Managing repairs made easy

Pros

Managing repairs across our campus has become so much simpler with this app. It's convenient and I love being able to prioritize different repair requests and attach photos for better documentation.
