Pros

Dependable team

Pros

Our maintenance team finally got rid of paper timesheets and the custom reporting works perfectly for our vacation rental billing. We've got 7-11 techs using the mobile app every day and they all find it really user-friendly. Set up went smoothly once we planned everything out and got our locations, categories and parts imported. When we've needed support, the team has been friendly, quick and dependable.

Cons

I'm really hoping they'll roll out a fully functional offline mode soon especially for status updates, timers and parts tracking. It's been in development forever it seems. Working in such a remote area where our techs are constantly switching between spotty cell service and resort wifi creates some real service gaps when we're out in the field.

They know their stuff

Pros

The customer service really stands out to me whether I reach out through chat, phone, email or meet face-to-face, I always get help from people who really know their stuff. This tool has made a huge difference at my company and basically guided me through learning how to operate a CMMS system. Between the training university and having staff always ready to answer questions about the software, maintenance records and reliability topics, it's been a total game changer for both me and my workplace.

Cons

The system should prevent closing work orders until all required fields are filled out, just like it does with requests. Technicians need to be forced to enter notes, log their time and complete all tasks and checklists before finishing up.

Great for team collaboration

Pros

I love being able to describe problems and attach photos right alongside the description. Plus sharing these reports with multiple team members for review and completion makes collaboration so much smoother.

Cons

Sometimes I forget the steps for running certain reports but that's more about me not remembering the right filters and options rather than any real issue with the software.

Clean interface

Pros

The interface is clean and doesn't take long to figure out. Occasionally runs into some odd behavior but nothing too frustrating.

Cons

Scheduling preventive maintenance is a real headache and if you need to change a PM date, forget about it. You'll have to delete the whole thing and start from scratch. Pretty inconvenient if you ask me.

They keep adding new features

Pros

easy access from my phone

Pros

Not Too Happy So Far

Pros

If the system functioned properly, I would be delighted with it. Unfortunately, at the moment, it is exasperating to work with.

Cons

I reached out to [sensitive content hidden] in customer service regarding the scrolling problem I'm facing. They brought it up at a "Bug" meeting three weeks ago. Unfortunately, I haven't seen a resolution or received an update. They provided me with a temporary workaround, but it's not ideal for my needs. Additionally, none of the technicians have been able to get the bookmark feature to function properly.

Excellent tool for technology company that needs affordable CMMS

Pros

UpKeep can be easily customized and is highly adaptable to suit our unique business model. The support team has been exceptional throughout the implementation process and continues to deliver exceptional service, guiding us through new challenges. I appreciate the relatively affordable pricing compared to the market, allowing us to scale with the product and add licenses without significant expenses.

Cons

The platform is primarily designed for a more conventional workforce management application focused on reactive maintenance. Consequently, we've had to adapt some of our (albeit evolving) procedures to align with the platform's capabilities and capture the desired data and level of detail.

Work orders works well on mobile app.

Pros

Technicians find it effortless to use (mobile app), and the preventive maintenance scheduling is exceptionally comprehensive.

Cons

The overall user interface feels sluggish, and it heavily relies on cloud-based functionality (with limited or no "offline" mode). The search parameters are restricted, as are the options for tracking locations. There's no aggregate or average cost information available for items, and the parts browser lacks a purchase order lookup feature. Part categories can be assigned arbitrarily, and purchase order dates are not automatically assigned (unless manually entered and manipulated). The purchase history is limited, and pricing updates only occur upon fulfillment of purchase and work orders. Removing items outside of work orders can only be done through "inventory adjustments," which can also be used to add inventory without a purchase order. There's a lack of a purchase order approval process for management, and the ability to view purchase orders is only available at the administrator level of security access. Furthermore, an internal messaging system is noticeably absent.

Joy of Maintenance

Pros

The prominent advantage is improved communication. Before using UpKeep, work orders would be submitted, and their status would remain unknown. With UpKeep, we receive updates and emails providing detailed information on the work order's progress.

Cons

One thing that comes to mind is the availability of training resources for administrators and technicians. It would be beneficial to have a PowerPoint presentation specifically tailored for view-only users and requestors. As an administrator, I was responsible for UpKeep and had to present it to the group prior to launch. However, I encountered challenges because the administrator permissions differed from those of view-only users and requestors. Needless to say, my first training session was a learning experience for both the view-only users, requestors, and myself.

Cons

I believe that maintenance applications, including UpKeep, could benefit from more frequent interface updates and comprehensive overhauls. While it may seem like users have full control over various aspects, there's still a lack of flexibility when it comes to generating personalized reports. this is perhaps the main issue. It's not just about being able to view job orders; it's the little things that seem unfixable unless you specifically request and implement suggestions from your most dedicated customers.
