Zoom worked out to be a very cost-effective option for a larger business. We've since moved away from it but it had plenty of advantages while we were using it such as integrations with other tools were simple, end-to-end encryption was a big plus and the platform really supported collaboration and communication well. Also the AI features were useful for transcribing and summarizing video meetings. Audio and video quality consistently felt better than with other platforms we tried. Customer support responded quickly and helped resolve the issues we ran into. It also kept improving the product over time by fixing bugs and rolling out updates which mattered a lot. Plus it was easy to manage recordings and files for future reference. When bandwidth was strong enough, HD calls, screen sharing and breakout rooms all worked very well.
Cons
For a smaller business the pricing can become a real problem over time as the team grows. As paying per user each month can drive costs up quite a bit compared to other options.

We use�it�at my company as a backup option for video calls and from an admin perspective, I really dislike dealing with�it. Starting with pricing, the value just isn't there.�It�is expensive and the subscription structure has several tiers. The free plan comes with a lot of restrictions, like the 40 minute meeting cap and limits on participant access. Once you move to paid licenses, the cost becomes high enough that you seriously hesitate before assigning one to a user. On top of that�it�is buggy. Too many things go wrong with�it�more often than they should. Its integrations with Microsoft Office apps perform poorly and I end up having to reinstall the software far too often. The interface is another frustration.�It�looks simple at first but once you start using�it, the layout feels illogical. Since we work in a Microsoft 365 environment and already rely on Teams for collaboration and file management,�it�really doesn't fit well for an M365 based organization. I cannot comment on customer support because we usually handle all troubleshooting internally.

Compared with Teams and Google Meet in 2026, the thing that truly puts Zoom ahead is the AI Companion. Unlike Microsoft which makes you pay separately for Copilot, this tool already includes its AI in the paid plans and it's incredibly useful. The meeting summaries are about 95% accurate and do a very good job of separating action items from all the extra conversation. Another huge advantage is how stable the video codec is. I have used it on rural connections with less than 2 Mbps and it intelligently prioritizes audio and key frames in a way Teams just cannot match. If your job involves external meetings with clients who have weak internet or older computers, I would say it is the only option that doesn't leave you embarrassed by lag or random crashes.
Cons
The interface feels like stepping back in time. While other platforms have moved toward cleaner, more modern designs,�it�still packs in buttons and tabs inside menus that look like they belong to the Windows XP era. If you're not already familiar with�it, setting up shared audio permissions or figuring out where a local recording was saved can be frustrating. On top of that RAM usage is a real issue. If you already have 15 Chrome tabs open, Slack running and some design software or an ERP in the background,�it�can push your system into heavy swapping. And the 40-minute limit on the free version is hard to defend now. In 2026,�it�no longer feels like a technical restriction but more like a productivity hostage tactic to force an upgrade.

One thing that really works well with it is how people can join a call without needing a Zoom account or even installing the app on their device. Screen sharing, including sharing audio, is very easy too and on the Mac app I can move the call window over whatever I am presenting which helps me arrange my screen in a way that suits how I work. The whiteboard feature is also very useful. I also like that when I record meetings, I can just send a link to the replay page instead of having to upload the video to YouTube or somewhere else first.
Cons
Storage for recorded calls fills up very quickly at the start. And since the cheapest annual business plan is already quite expensive, I usually have to download the recordings I want to keep and free up space for only the meetings I want to leave available through a replay link. On top of that the settings pages feel too complicated and seem to get rearranged often. That makes it frustrating to find what you need especially when setting up workshop sessions ahead of time.

Being able to record meetings and save them in Zoom Workplace has been a big plus. Our business runs webinars and it's a budget-friendly way to make sure we always have a replay ready for attendees.
Cons
Using�it�for webinars took some time to figure out so there was definitely a bit of a learning curve. I also wanted to screen share my PowerPoint without showing the presenter notes and�it�took quite a bit of troubleshooting with ChatGPT to get that set up correctly.

Their customer support has been very helpful. Plus compared to Teams, it uses much less CPU so my device doesn't slow down or lag during meetings.
Cons

Pros
After trying a bunch of other video calling tools, this still ends up being the one I trust most. My guests haven't enjoyed the alternatives nearly as much and one of them only records whoever is speaking which makes reviewing the video later pretty frustrating. It handles all of that really well. The AI note taker is useful, the summaries it generates save time and having both audio and video recordings available is a big plus. On top of that it gives you a lot to work with during calls, like screen sharing sound sharing and even filters that help everyone look a little better. At this point it really feels like they've thought of everything.
Cons
Honestly I am a little tired of�it�and would love to switch things up with something new. I have tried other options for that reason but I always end up coming back because�it�still feels like the best one out there.
