“Centralized records and billing”

Pros

Having everything in one place really helped me manage my practice better. It kept patient information organized in a central hub and made the billing process much more manageable.

Cons

The charting layout wasn't my favorite. Compared with the other tools, it felt less organized and a bit clunkier to work with.

“impressive support turnaround”

Pros

A big difference for me has been how much their customer service has improved. I ran into a software glitch on Thursday and reached out to support by email. By Friday, I already had more information and then on Saturday of a holiday weekend, they let me know my account had been updated and the issue was fixed. I had left a negative review about support a few years back so I really wanted to come back and revise that. Overall, the system works very well and I appreciate that they continue to innovate. These days I almost never need to contact support because problems get resolved quickly and the platform has been cleaned up a lot. I was genuinely impressed that they handled the fix on a Saturday during a holiday weekend.

Cons

Sending labs is still more difficult than it should be. Another thing that has been frustrating is that they require me to enter the patient's date of birth when creating a patient account, instead of letting the patient type that in themselves. Even with that, I'm very happy with it overall as an EMR.

“Hassle-free navigation”

Pros

The platform feels user-friendly to work with and clients can navigate it without much trouble. I also appreciated how quickly the company adapted and responded to pandemic-related needs.

Cons

The lack of immediate customer support when something urgent comes up is an issue. The online responses are fairly quick but it often takes several back-and-forth messages to get to what you actually need. On top of that some promised features take a long time to be released.

“Telehealth outages and poor support”

Pros

Its simple to handle and the interface is clean and simple to work with.

Cons

The biggest problem has been the telehealth feature going down at least once a month, leaving clients unable to join their sessions. Other telehealth platforms work without issues so it's clearly not a user error yet customer support refuses to properly acknowledge the problem. The help forums are full of people reporting that cameras stopped working in telehealth after the software update. Instead of admitting the update caused issues, support gives terrible responses and tells people to update even brand-new computers. It happened again yesterday for the second time this month and the whole site was down for two hours. It makes our practice look unprofessional and it's incredibly frustrating to keep getting dismissed by the so-called customer service team, who always send the same generic reply saying it's rare even though it happens every couple of weeks. They really need to pay attention to their own help forums.

“everything at one spot”

Pros

Everything is in one place and the platform is very user-friendly, including the billing tools. The text reminders are a big help and having insurance claims connected with payments saves me a lot of time.

Cons

It does get a little expensive if you process insurance through them. Since there's a fee for every claim you submit, the cost can really add up when you're seeing a high volume of clients.

“missing billing details”

Pros

It's pretty simple to use and if your client load is smaller, it does the job well.

Cons

The billing reports don't include all the information needed to properly track payments and insurance reimbursements. One report might show the service date and amount paid but leave out the payment date or the clinician attached to it. Another might include the service date, client and clinician but not the payment amount or when it was paid. Because of that, we have to maintain records outside the system which creates HIPAA-related record-keeping concerns. It's also frustrating to pay for a platform that still doesn't meet all of our needs. Another major issue is that it doesn't support patient medical record numbers in a usable way and they've said they don't plan to add that in future updates. When the billing reports are incomplete and there's no functional way to assign and use medical record numbers, following HIPAA record-keeping guidelines becomes very difficult. You can technically assign a medical record number but there's nowhere meaningful to store it for reporting or searching so once again, you're forced to track it outside the system.

“Ideal EHR during COVID”

Pros

Since 2016, I've watched it continue to improve and it's been nice to see new features added that make the platform more accessible and user-friendly. It ended up being the ideal EHR when COVID started, especially because the telehealth tools were already built in and ready to use.

Cons

Running a group practice, I do think the reporting side could be more accessible. There's a lot of useful data in the system that could be pulled into reports more effectively to better support business operations.

The calendar is simple to use and the client portal makes things very convenient for clients when they need to complete their paperwork.

Cons

The video telehealth feature was pricey and missing some important functions and creating forms was difficult to navigate.

“Superb insurance billing feature”

Pros

Setup process was simple and using it day to day has been just as simple. The insurance billing feature has also been really helpful and works well for my needs.

Cons

The telehealth side feels limited so I've had to pay for a separate service to cover that piece.

“smooth payment posting”

Pros

It has made automatic payment posting into the accounting side of the software really convenient. It's a relief not to have to track down EOBs or enter everything manually.

Cons

invoicing feature feels complex and I'm not even sure it's necessary. There's also no option to create statements in batches so every statement has to be done one at a time. That becomes incredibly time-consuming when you're handling a large number of patients. I've requested this feature multiple times over the past few years but nothing has changed.

“Paperless charting”

Pros

Being able to document charts without taking up file storage was a plus and it also cut down a lot on paper use.

Cons

The software itself didn't work well for me, especially the scheduling and I also had concerns about privacy and confidentiality with online charting.

“covers the basic functionality well”

Pros

Right away, it feels simple to use. The platform is very user-friendly, includes all the core functionality I need and the built-in clearinghouse makes submitting and reviewing claims really convenient.

Cons

A frustrating part is the insurance enrollment process through the clearinghouse since it takes a long time to go through and you can't even start enrollment until you already have a client with that specific insurance. For example, Medicare can take 8-12 weeks just for approval before you're even able to submit claims. I'm also not a fan of the support setup, there's no 800 number to call so you're pushed toward message boards and forums to hopefully find an answer. You can submit a question and wait for a response but the turnaround time is often longer than it should be.

“Simplified booking process”

Pros

Connecting it to our current website platform was very simple and it has made the booking and billing process much simpler for my client.

Cons

It's built for a pretty specific industry so I wouldn't suggest it for every client since there are some limitations around the types of appointments it can handle.

“eliminates paperwork”

Pros

Moving away from paper files has been a huge plus and the platform is very simple to use overall. Features like appointment reminders, the option to create and upload your own documents and the built-in templates have all been really helpful. I've used three other systems before this one and SimplePractice has definitely been my favorite.

Cons

I may have to change systems because the cost keeps climbing. As my practice grows, my bill with SimplePractice grows too and it doesn't seem like there's any price cap. I also don't like having to pay extra for administrators and interns. Another frustration is the lack of hands-on tutorial options since everything is video-based. On top of that, I wish the Wiley feature were more user-friendly because right now it feels confusing and doesn't make the best use of the resource.

“Psychiatry-focused EMR”

Pros

Running a solo psychiatry practice, I had tried several EMRs that advertised themselves as psychiatry-specific but this is the first one that truly feels built for that purpose. It isn't overloaded with features I never use and it still offers a really impressive level of customization within reasonable limits. I can handle scheduling, fully customizable notes, prescribing and lab integrations and billing much more efficiently than with the systems I used before. The pricing is also very competitive. More than anything, the customer support has been outstanding. Even as a solo provider, I've consistently received prompt, helpful responses every time I've reached out. They listen to feedback and are genuinely supportive whenever problems come up. I'm extremely pleased with this platform and honestly relieved to have found something that works so well. It has allowed me to run a medium-sized psychiatry practice without staff which is huge. My patients also seem very happy with the portal since they can generate their own superbills for insurance and it keeps our communication organized in one place instead of forcing me to dig through emails and scattered messages.

Cons

A few parts of the interface could definitely be improved from a design standpoint and some features still feel like they are actively being developed and refined. One example is the form and note builder which doesn't perform especially well on my computer. It can take a lot of time to use and sometimes changes don't save which is frustrating. That said, if you want their team to build forms for you, they'll do it at a very reasonable cost. I'd also appreciate more built-in chart structure such as dedicated sections for medical history, outside providers and similar information. Still, with some planning, there are workable ways around that. Fax integration is still in progress so the only separate service I need is a HIPAA-compliant fax line which I was able to get inexpensively through SRFax. Reporting and accounting tools could also be more powerful and it would help to be able to move appointments on the calendar with simple click-and-drag functionality. Even so, these are relatively minor drawbacks for me, especially considering how responsive the company is and how well the product fits the needs of my practice.

“Keeps improving”

Pros

Managing a private practice feels much more simple with this software because it covers everything I need, from intake forms and scheduling to compliant documentation and billing. The usability is excellent and that has made a big difference day to day. I was already using the telehealth feature before the pandemic and it has consistently worked really well. On top of that, I appreciate that the platform keeps improving with modern, forward-thinking updates.

Cons

Honestly, there's very little about this software that I dislike. The only real downside is that the pricing can feel a little expensive when I want to add part-time supervisees to the practice.

“Fantastic self-scheduling tools”

Pros

It's very user-friendly and the customer support has been fast whenever I've needed help. The self-scheduling tools and the ability to program my availability make a big difference, cutting down the time and effort it takes to manage my calendar and keep the business organized.

Cons

I'm still working through insurance billing since it took me some time to understand how to use it for billing an insurance company. I'm still learning that part. Another limitation is with family appointments, right now, there isn't a way to add multiple family members to one appointment. Because of that, I have to create separate appointments for each person and then copy and paste the progress note into each file. Since many therapists already provide family sessions, I'd really like to see that improved in a future update.

“feature-packed program”

Pros

Packed with features, this software has been especially useful for building highly customized online intake forms and setting up autopay for automated batch credit card billing. There's also a large library of video tutorials and customer support is responsive and attentive, even if they can't always fully fix every issue.

Cons

It offers its own telehealth add-on but if you use a different platform for virtual sessions, it's harder to present a professional image to clients. Another problem is that the first office location entered is the one shown on both the client portal and superbills, with no option to keep those separate. In my situation, that causes the post office where my PO box is located to appear as my practice address on the portal, complete with a map. Users who use it's telehealth feature are able to enter a separate billing address.

“Handles client onboarding well”

Pros

Handling client onboarding through it has been a huge help. I work as a contractor within a larger organization and have been using it with their team since I started nearly two years ago. It makes uploading my own disclosures and policies simple and I can securely send them to clients for electronic signatures and have everything stored right in their portals. I can also sync my SimplePractice calendar with Google Calendar without any hassle and clients are able to request appointments through the portal. From paperwork and onboarding to clinical notes and documentation, it has made the whole process feel much more manageable.

Cons

An area that has given me some trouble is the newer Couple profiles update. It is definitely a useful addition but entering payment details has been tricky when the clients originally had separate individual profiles. Aside from that issue, there really is not much I would want changed in SimplePractice.
